The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.: O5 {; L1 j# Y- U5 ^4 l

This is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.% a7 T$ [+ o/ [/ b

Job Responsibilities:

+ p- ]" A% @& Y) S• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events./ q9 A& M. p$ v6 V6 S% y
• Assist in development and implementation of policies and procedures for volunteer services.
* V6 N: W* \( U( r8 \- ?• Maintain the volunteer files and update the database using Raisers Edge
, _+ [$ M$ W; B, }! \) Q• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.% ?4 P/ Y4 X1 U
• Develop and implement a comprehensive volunteer recognition program. B7 X3 g K' S, A$ U. p
• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.6 f+ R5 R' U, Y! b
• Identify and implement best practices in regards to volunteer development./ s+ L; o1 k- F* x' G. v
• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities& E4 w( g* f: l8 A, k4 O
• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required' L, { ]8 _6 e

SPECIAL EVENT PLANNING
7 g1 l# z) a4 ]' Q |• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO+ X4 }4 ~3 m* Y; G% b
• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up3 W! l$ q. z+ P- y0 S

ADMINISTRATION
; \0 X6 h9 M4 b0 W7 L• Develop and maintain job descriptions for each volunteer position1 o/ m, s8 [: R, C4 v+ N7 {# H# W/ Q
• Maintain secure volunteers files in accordance with privacy legislation
- _+ Q+ Y: v( o/ b( j/ _9 Y* U• Provide feedback on volunteers’ performance, as appropriate
4 _7 ~4 F" @0 V• Ensure Human Resource policies and procedures are adhered to within the department! X8 n8 i, o+ y/ j2 x6 H9 d
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required 8 Z4 k- _* M2 u7 e$ }% g
• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency- \' ^7 d6 \% a$ G) G6 r( L: @
• Develop resource and orientation materials for Volunteer Services1 i+ V* Y2 R3 Y! z$ Q* ^& O
• Maintain monthly and yearly volunteer statistics for reporting purposes

• Ensure the program operates within approved budget and be familiar with potential variances1 z# ]. }& ]4 M& {( o8 A6 E
• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

' z6 V# ^& P' s( x- M( Q5 WINTERNAL/EXTERNAL RELATIONS$ L8 M; @7 S8 X* ]
• Act as liaison to the Y-Knit group of volunteers1 l N' x* `# ^2 N
• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
2 F/ @+ B8 H/ F& h• Follow up with correspondence to outside agency volunteers as appropriate ' q) x; T& s1 x
• Attend external functions such as volunteer fairs, trade shows, and special events as required

• Minimum 2 years experience in Volunteer Coordination2 J; @3 m. |, m7 z2 z4 q
• Excellent organizational skills and multi-tasking ability
9 w5 }3 Y1 c$ v" _, o% m0 F• Demonstrated superior volunteer supervision skills
* `$ d/ `$ W- u" e4 z• Collaborative working style and excellent interpersonal skills

• Ability to work in a team-based environment, with cross-functional work teams on projects
