Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.1 k2 w* _" ^4 z, A: S0 e! x/ \

8 \6 w' o/ O. v% j• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

8 v2 `; m% l, A) y9 B$ A# a  D0 P• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.0 g" ]! \5 l! W; E3 [

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.8 z7 l( I7 L- `  G: f0 K7 X1 Y+ [

• Support effective internal communication by recording and distributing all meeting minutes.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

• Maintain inventory of communication materials.

/ K( `" U5 g2 R; E: V5 X, C, G* @: u• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Compile information packages for fundraising and promotional purposes.

• Provide administrative support for public engagement events and mail outs.# }+ d& ?4 V3 R& e1 L9 {

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.2 x+ d; |* ^% y* O

• Provide logistical support for key fundraising events such as silent auctions/ y/ b0 Z1 \" m$ J9 i; L9 v3 A, _

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.! v0 r; Z" Y2 s" P; U' ]

0 d7 {4 H$ C5 ^7 P• Coordinate volunteers for some fundraising events such as Casino and annual sales events.) M% J0 O* M' i: e% O. o* y) n$ X

• Support logistical work required for CFCA’s Annual General Meeting* a2 K9 x* F! O' v

+ c. D& ^) [- V3 n# V• Assist in administrative tasks related to donor recognition and event reconciliation as required.

1 x% }1 r- w0 HSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
