U- N* v* rChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.  V; y! CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.6 |8 }: W! Q# h. s) P4 ?! j

" T5 N5 w7 `8 {5 X  }! g4 c- U• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.) H/ C  H; h5 r1 H. p$ e2 t" m; z

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.+ V+ l# [! p& T' q' ~0 Q

• Support effective internal communication by recording and distributing all meeting minutes.8 H7 r  ?: m3 p6 W

6 E" u* }& W& y+ ?• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.3 i. v9 ?% M! e* h" _  x3 q

5 a% q6 C% u8 b0 y: m; S1 X• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.. E5 K) W; A  V0 x& H2 q( E* ?

• Support the promotion of CFCA events in Alberta through online and print publicity resources.' T6 a# A. j& r' b! B

' h  q9 f! t1 ]6 s% s0 y• Support the management of requests for CFCA information and resources at public events.

$ V$ t1 w) [) D• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.* ?( P; q  ?4 e  R% T

- S5 {& \! J1 W0 ~. j• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.! Y( ]7 F# K' C5 z% {

Fund Development

/ S* i2 N1 Y7 Y( t0 G• Provide logistical support for key fundraising events such as silent auctions) Q: b& O4 j: |! @0 V" r' s- G
! O3 Z7 |) w, L) M8 c  _3 q
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

8 [  z- k1 W  s8 ~/ K" K• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

4 r, ]9 r& B, U! `' x4 C$ Y• Support logistical work required for CFCA’s Annual General Meeting

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.+ o' [; r1 c' b1 l  v6 _

Spanish language abilities are an asset.' @3 C6 t+ t% D! y

This position is Permanent part time (20 hours per week during regular office hours).

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
