Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.3 a) e" h8 t! _3 U5 j

Key administrative duties:

1 N, g* ]5 T* m/ V: U• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

4 S1 a. F2 P0 [" y5 C• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.3 U0 ^% @' d* \. H/ F

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual." ~/ R. J+ h6 \7 ?+ `

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups. j: _3 N; M( E. o

• Support effective internal communication by recording and distributing all meeting minutes.5 m$ m3 A3 W+ I# G9 m

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.

1 Y1 C' o+ T; v! P8 M9 U$ B6 N• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

• Provide logistical support for key fundraising events such as silent auctions+ N, w5 P5 p3 N4 g6 f( o

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.6 r* K( G6 H" E, s9 s* x

• Coordinate volunteers for some fundraising events such as Casino and annual sales events." K$ _. O2 J0 R4 r. m

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.+ S" }2 e; Y5 E& i

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
