direct line reporting relationship to the SU´s Manager of Programming

ROLES AND RESPONSIBILITIES
/ c" K! k( b$ _: u. M6 N  E6 t; j+ ]The duties of the Operations Manager - SU Venues are diverse and  
" @; I0 m. N, g$ K7 @0 y) }7 b$ ^extensive, and are targeted at the all round smooth operation and  - w9 U' {" Z% e% W' Y
financial and operational success of the Horowitz Theatre as well as  
- G$ ]0 j0 E; J, \9 Hthe logistical organization and smooth rental of the additional  % c- y3 A5 @1 U
venues within the realm of the Students´ Union.  In the light of that  5 ]4 X3 K, f# ?9 I2 L- V9 a; M
breadth and complexity, it is not possible to fully define or  - g* n. D! D) N$ }0 t  F/ ~) j# b
describe all roles and responsibilities in a document of this kind.   
) d- D3 S/ L' G1 r0 hHowever, the main roles and responsibilities of the Operations  
+ Z* L  |* g7 F  e3 ]) y! B* NManager are as follows:

a.   To ensure, at all times, that the venues listed below meet the  # H( n# _2 g# G! `7 A8 g
appropriate standards, requirements and needs, and contributes in a  
2 u% s- b) |3 a2 T; S, b. hpositive way to the smooth operation and success of the individual  3 M( Q. `1 _7 T3 k. w
renter.

8 p) n5 }$ M; R7 |b.   This includes, but is not limited to, the following:' v0 M& r5 R$ \6 S5 l
·     To plan the capital and supply expenditures to meet the  8 g# \2 P4 @( e3 {5 S1 j; k0 A
production and facility requirements.1 j8 c' h3 r0 Q5 }
·     To ensure the day-to-day compliance of the venues with existing  . W2 Z- ?' Q! z' S/ u8 q
safety regulations and building policies.6 N3 A1 Z2 h: B8 j% _
To ensure that the maximum potential of renters is met.

2.        Marketing and Promotion
. B. B3 D. B  r5 S3 H5 ?, Y7 x, z$ w: q
a.   To develop and implement a marketing plan for the venues that  
. T' r8 d# R# F$ bfocuses upon advertising and promoting the venue to faculty,  0 B- I' C* X# c; |" h
students, and internal and external clients on an on-going basis.  ( I1 }# h" Z. c' @
This strategy will include implementing and/or delegating the following:. `7 {% ]; ?* R0 k6 J. D# K3 V( X
·     To develop and maintain promotional materials, the Horowitz  2 t! f# L. M9 N5 E, ^$ `9 a. @' I
Theatre and SU Venues home page, newspaper and other advertising; to  
5 Q, O% w! N: F6 H0 @* Y  l6 ~take advantage of other internal and external advertising  
4 z+ U/ y' m! r* g5 Nopportunities; and to develop press releases and other promotional  4 P4 d; A) }3 V
literature on an ongoing basis.
$ u1 w& e4 W6 D0 {$ N+ I# G·     To coordinate tours of the venues for potential renters.
0 q& y) \; O$ d- }9 h+ N% t* `·     To promote upcoming events in the Horowitz Theatre through the  1 R/ M* h1 H6 Q$ p- d1 _8 u: R/ Z0 K
use of the Horowitz Theatre Home Page and the SU Events Calendar.' u% f0 e( |$ j$ l- {( D
·     To develop new external clients for the venues.3 C- P/ _+ J3 }$ ^  s7 s* u

9 Y, Y$ `- f: I" K- q6 n2 y
3.        Staff and Supervisory Roles and Responsibilities. E8 B4 c; u( j  j

- j  O' W/ T' ~" M% \4 `2 za.   To ensure, at all times, that the venues are adequately and cost- 7 j! F  ~7 W8 F" C: j7 a
effectively staffed, and that the staff utilized by or within the  
8 Z. I# t( r# [. l0 s, cvenues meet the appropriate standards, requirements and needs, and    M# N- Q4 Z% h$ |
contribute in a positive way to the smooth operation and success of  
* z  d" p3 Q! Z1 I! qthe renter´s events. This includes, but is not necessarily limited  
" A- U) P/ _( p- x6 ?to, the following:3 C/ L: X- L- {4 [7 k
·     To be responsible, under the direction of the Manager of Venues  
- \' r! g: ~1 ]  B, \" ~+ a( l7 Oand Programming, for all staff issues including hiring, disciplining,  
* s/ A$ x2 p8 P; v5 b' p; k0 E2 cevaluating and terminating, as necessary.* `$ b+ i# Q! l9 v5 W% z
To ensure that the Horowitz Theatre is adequately supervised at  ! h4 w, S, i! y2 y, F2 e
all times, this includes the development and implementation of such  
4 Z; ^: E- p, z( u1 f* q1 ^9 Mschedules and rosters as may be necessary to ensure the effective and  * k* W" Z3 |& f# K" v/ ?
cost-effective supervision of the venues at all times during which it  & L* E7 g2 T9 q( T0 p
is in operation or needs to be in operation.; @7 \- I& T# ?. ~+ z, \5 T
·     To work with the Technical Director, when necessary, to ensure  
6 u% Y3 i4 h* ~8 I: Cthat an adequate and appropriate level of part-time staff exists to  ) k7 L5 _$ o0 ~' V; o6 n2 d2 Y
facilitate the smooth operation of the venues and to ensure all  / C0 O8 V$ [2 Q1 d5 X3 U$ J
renters needs are met.
' [8 H. I: D% C·     To work with the Technical Director to ensure that the skills  ) b* t; w& o6 g
and attitudes of all subordinate staff are appropriate in light of  
+ n/ T) E' I& ythe roles they must perform. This includes providing adequate and  
! ^% H3 ]$ ]  X: `effective training (and re-training) in all applicable and  4 n0 [) H- K+ `/ @1 I$ Y
appropriate areas, and ensuring that the Policy and Procedures manual  2 M- G/ e5 a* G9 B& S- u! S
is kep up-to-date at all times.2 v1 M3 H  b. E% a+ N9 t
·     To ensure all staff are trained in and committed to providing  " G- `( Q: s$ ~6 n7 P% }
excellent customer service to all renters.
/ z8 A$ e- i8 a. }- F·     To work with the Technical Director to arrange staff  ( V% W5 C% {; ~
scheduling.  To handle payroll related matters, under the guidance  7 v/ v7 `7 n! c; F& d! i
and direction of the Manager of Venues and Programming, concerning  
. Z1 h8 Z# h  g' G  J5 ^, I# A: vthe staff of the venues.
1 o, b+ m: ~0 [·     Working with the Manager of Facilities and Operations to ensure  
/ |3 k4 u: S+ o, kthe appropriate setup/tear down of each venue.
6 [" T- v. N3 @+ f·     Working with the Manager of Programming and Venues to ensure  
0 P+ _8 ?, c% B4 L& G6 q( d  ^that additional requests such as licensed receptions are arranged.( J+ u" n; A! K$ Q7 S

4.          Overall Financial Performance
4 x3 k+ p" V: K1 Y+ C, w6 J
" G5 ], c% P, t$ i. Pa. To ensure, at all times, that the Financial and Administrative  : ~" \7 U, Z3 U7 j  A9 Q8 T; P9 ^
systems and processes utilized by or within the venues meet the  
: K- U2 O# b0 v  d3 R+ G  ?/ x" {appropriate standards, requirements and needs, and contribute in a  
1 W; f0 r2 |3 L: O4 R  A! x. v- Vpositive way to the smooth operation and success of the venues. This  ! E  C' I7 G$ {% p
includes, but is not necessarily limited to, the following:% K2 b+ S. o) m/ i8 ]7 N
To provide input and expertise in the formulation of appropriate  6 }/ y5 R+ w* G1 M, C9 j- L
operating budgets covering the venues to the SU´s Manager of  ! F3 z) y4 r5 ^; z& e% f
Programming and Venues and to discuss and refine those budgets  
/ t# F4 m6 V  ]" z! LManager of Programming and Venues, and Manager of Finance &  2 ]9 z2 r9 h  O* _' r% u+ w
Administration prior to their submission for final approval.1 [2 t9 p0 V/ Z$ f& u+ h7 ^1 J4 U+ v
·  To manage the venues in a manner which adequately and effectively  
* u0 s( a3 z0 d( i: P# yreflects the budgets approved for the venues and/or which reflects  + f! d) v. t5 z  f. t
the best interests of the venues and the Students´ Union.
, T4 K4 O3 r' c) d·  To function as the key player in the submission of financial and  + a& S, {+ W8 Q( p6 [/ w: |; ?: r9 @
administrative documentation covering the venues to be used in the  " n* i: `/ K5 B# X
compilation of monthly and annual financial statements, and such    m. w- I, S9 d1 l+ k
other reports as may be necessary.
6 M: _& n* x2 o* C. O·  To discuss those financial statements and other reports, together  
* i( ]! L6 k/ ~! Y. J0 ]; owith all financial and administrative procedures, with the SU´s  
4 v. Y$ }6 a3 _* s. jManager of Programming and Venues and Manager of Finance &  ' l, F# x4 S+ y) g: w: w
Administration with a view to determining and implementing action  
6 k3 ~/ I6 T0 n- S# x5 M1 {aimed at improving the financial and/or functional effectiveness of  
9 g0 p2 N% a+ b$ K* }& Nthe Horowitz Theatre.+ t# O2 B; {' J7 U7 l6 w' B& C. O
·  To ensure the existence of adequate, effective and accurate job  
1 o; N" [/ s7 v# w; s- B6 j. l5 Ocosting systems to be used in connection with the determination and  $ i$ J( q& ~' H/ R$ l7 c/ B. G
setting of appropriate prices for rental and staffing rates for  4 s& f' S: B. x1 [; d" f4 @0 u! v
events held in the Horowitz Theatre., l- C) H# f( O. ~
·  To develop accurate documentation to be used in connection with  2 X8 c, N* \! _% m
the billing clients, and to forward such documentation in a timely  3 M# e3 R+ s! K5 |: U- M/ P3 i
manner to the Accounting Department.! b$ o# d3 E. b4 A% w5 T
·  To recognize, address and handle all matters relating to financial  ! o+ g% e. b! }, C6 r/ b4 _9 l
and administrative procedures and systems in a manner which reflects  
; p3 n% T4 L4 ^2 J7 ^& c1 Ethe requirements of the SU´s Manager of Programming and Venues and  
" o# w6 D7 R: s7 v- Y) O8 iManager of Finance and Administration, and in a manner which  
+ L$ t0 C% F/ s' S0 kcontributes positively to the smooth operation and success of the  
+ k2 M0 o2 c6 p4 [( L3 Svenues.2 p7 |( v" m* _, L/ Q

5.          Overall Roles and Responsibilities6 q4 W: ~. C9 l- T+ ^1 C) l5 h2 @
a.   To ensure, at all times, that the systems and processes used in    Y4 J( T  s& C0 }
renting the venues meet the appropriate standards, requirements and  
9 ]+ @+ S! K* e7 l/ qneeds, and contribute to the smooth operation and success of the  
+ Z  n( `! X. J# W! }venues. This includes, but is not limited to, the following:% d. M9 p) f- d# e! U% B5 e

8 U8 l4 y4 e2 r2 R" M, D3 r·  To recognize, develop and set in place such rental procedures as  5 g7 h  x* K) k8 ~" e0 I( y
may be necessary to ensure the smooth operation of the venues, this  * y: ?" v" O& ~+ f3 G2 t
is to include but not necessarily be limited to systems and processes  8 i) H" ^# n9 t( o8 v
in the areas of contracts, inventory management, contract evaluation,  
3 H$ N! e, A3 ]( ]  k" O4 w! [pricing, costing, equipment usage, rental/contract invoicing,  ! _. t, c5 R& W$ R. J8 t+ w
together with such other systems and procedures as may be necessary  
9 a; x: j' I( Cto ensure the smooth, secure, efficient, cost-effective and  & a. F3 h; a& I5 |8 R/ l
functionally-effective operation of the Horowitz Theatre.# z+ F2 n% c7 J3 O) z- y0 Q
·  To recognize, develop and set in place such operational procedures  
* K, [+ d: [6 p# R; }. @& Has may be necessary to ensure the smooth, efficient and cost-
8 m8 Q/ T" C# V) e1 D# G. J# Aeffective operation of the venues.
, ~2 ~1 i7 k. k+ R+ b+ @·  To negotiate rental lease agreements (contracts) relating to  
! q& i7 S" q# A$ _1 X. h9 Wdates, rates, staff and miscellaneous charges.
; A) ]4 l: h' _) d% ]% y$ H2 V/ ^·  To ensure that adequate inventory is available at all times and  
- [7 w. G* P# A- Sthat such inventory is stored and issued in effective and secure ways.
" L7 H3 B) p: [- H9 i, `+ w·  To consult with renters as to facility issues in producing their  
  V' K( C2 q. _% G4 j  Rparticular event in the venues.
; d+ G0 ~$ v2 D·  To provide the venues on-site staff with such documentation and  
$ A4 x' d7 A. n9 w! V; isupporting information as it may need to effectively fulfill the  
% N1 T' \  z- a# Y8 ]. lroles they are to perform to ensure the success of the renter´s event.
% S6 c3 i: c. ^·  To produce quotes in respect to staffing costs for a particular  5 W# S( ~. [4 K9 p! ]' @
rental with consultation with the Technical Director.
3 ~) F. O; ~7 E·  To ensure that all queries raised with the venues whether from the  1 ?3 T1 x% {' Y. y% F
SU or renters, are promptly and effectively handled and adequately  * z) w& H7 a% @: k. N6 z$ l2 O% d
answered, and to ensure that such action as may be necessary in  $ t) u' ?" s# \
follow-up to such queries is taken in a timely manner.
6 b. K. E) d$ ~& G, I# o, \" H To ensure that the venues and its capabilities are adequately,  
+ {5 w; y/ @6 h; C7 veffectively and cost-effectively advertised and promoted, and that  
  d- W+ Q& \) f: `" l/ ythe cost of such endeavors does not exceed the budgetary provision  - E2 R4 |7 Q; d
made for them unless prior approval is given by the Manager of  
3 G. F: b; F  ZProgramming and Venues., {* u2 Y  r' H# m, y( [
·  To act as an informed and knowledgeable resource in the case of  
6 `7 A& k, D$ i5 Ysignificant challenges and/or problems surrounding the tasks of  
8 w1 U, y, R  i2 W" }5 N6 n8 smarketing, administration, operations, and any such other matters as  
* F% j! B* ~+ d% ?5 Omay provide such challenges and/or problems.
- @9 u4 K# A% a5 B+ S) z·  To attend such meetings as may be required to support the smooth  
9 t; Q) }7 [; w2 joperation of the venues or the Students´ Union as a whole.

Manager of Programming and Venues in order to ensure the smooth and  / z9 G7 v  ^2 f. v) |0 A
secure operation of the venues.

Administration, and in a manner which contributes positively to the

QUALIFICATIONS:& W4 X& f9 c  @; n9 z/ g8 p' T1 n" i
1)             Minimum two years related post secondary education, or  ; u# A& M- F7 N' `
an acceptable combination of education and experience.
$ \9 W- M% I  g2)             Supervisory experience.
* {, J3 ?; @5 [" `9 @3)             Ability to create new initiatives with little or no  ' f8 q; M7 A$ ]. O9 K) k
supervision.
