2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that 4 g4 `8 A+ n/ S0 y( G1 V, w
focuses upon advertising and promoting the venue to faculty, ' [) S R: S+ |1 e+ N
students, and internal and external clients on an on-going basis.
- q! K- e1 E3 T" q bThis strategy will include implementing and/or delegating the following:
+ e1 E! ]" U- Q5 l1 I, d- f7 d· To develop and maintain promotional materials, the Horowitz
, k& F/ f, p" l- cTheatre and SU Venues home page, newspaper and other advertising; to 0 k9 S4 V" V) }* F# F4 N
take advantage of other internal and external advertising 5 |, q I+ f( h) E2 t' U& Q
opportunities; and to develop press releases and other promotional
- O& x q3 n8 A! F* o5 Rliterature on an ongoing basis.

· To promote upcoming events in the Horowitz Theatre through the

; A; M% w. n5 \6 m3. Staff and Supervisory Roles and Responsibilities. {+ b3 n" v* D* [ v- E
1 ~" _0 O! O# G( a4 w( ^a. To ensure, at all times, that the venues are adequately and cost-
* x6 H8 x: t* i6 z meffectively staffed, and that the staff utilized by or within the
3 y! R$ D3 {. o' J/ T) ~) J2 mvenues meet the appropriate standards, requirements and needs, and
7 N* j7 W& m, k* W. o4 L# y" c5 ycontribute in a positive way to the smooth operation and success of
/ x1 O0 ~/ Q' L) Y% `" w: v( nthe renter´s events. This includes, but is not necessarily limited 0 R: Y1 [# |4 b5 H9 [! ]
to, the following:" v4 e& K$ P+ u4 k1 {8 e
· To be responsible, under the direction of the Manager of Venues
6 K& F0 ]6 `: c6 d$ k+ zand Programming, for all staff issues including hiring, disciplining,
; u5 p& M) V. z* I1 W. d' E, devaluating and terminating, as necessary.
* [6 R8 A& `% h& V$ I To ensure that the Horowitz Theatre is adequately supervised at " {* b& e+ c5 Q$ Q% B& b
all times, this includes the development and implementation of such Q. E/ p$ q6 K( a. d; D
schedules and rosters as may be necessary to ensure the effective and 0 ~ w! n/ M& M! M$ D' L% y/ k8 F1 r
cost-effective supervision of the venues at all times during which it 7 [: W$ f }9 ~: _7 m! ^6 g
is in operation or needs to be in operation.
2 N3 V& j" O& y# ?) t; V- k9 |* x· To work with the Technical Director, when necessary, to ensure : | h# ~& ]5 v
that an adequate and appropriate level of part-time staff exists to
9 |" C6 m5 Z- I0 K' Ffacilitate the smooth operation of the venues and to ensure all * w& {! b4 r) t3 a; W# y5 v
renters needs are met.
9 a. J# m. Q/ z+ K% b e1 ^1 H· To work with the Technical Director to ensure that the skills 5 C9 Z' q# d2 D
and attitudes of all subordinate staff are appropriate in light of 5 Z2 T2 q, C- U: V3 E9 v& j
the roles they must perform. This includes providing adequate and & H; r+ _1 W3 ]9 `* g' ]: x( k% b
effective training (and re-training) in all applicable and
4 |: C7 N7 B" w2 M( G! \, d9 Gappropriate areas, and ensuring that the Policy and Procedures manual 4 b" ~1 V2 ?& j k8 w: a9 X, G' s
is kep up-to-date at all times.

: M0 f+ @$ `/ _1 B( Oexcellent customer service to all renters.
0 c" u L1 O2 k3 _; B' W· To work with the Technical Director to arrange staff ; C* @& X2 W* p x& `/ M' G
scheduling. To handle payroll related matters, under the guidance

the staff of the venues.

· Working with the Manager of Programming and Venues to ensure

systems and processes utilized by or within the venues meet the
' ^) V2 Y+ O2 n+ @9 U# B# cappropriate standards, requirements and needs, and contribute in a
9 z" R; o3 ]2 ?2 {. xpositive way to the smooth operation and success of the venues. This

operating budgets covering the venues to the SU´s Manager of ' l0 [, R* Y3 r' M8 K
Programming and Venues and to discuss and refine those budgets ) N; o8 x* U+ \( h
Manager of Programming and Venues, and Manager of Finance & * ]! ~1 Y, ?, f( \ o$ N \
Administration prior to their submission for final approval.
1 N7 V4 f* X9 E+ o· To manage the venues in a manner which adequately and effectively
H4 Z/ B- j' ~reflects the budgets approved for the venues and/or which reflects , e* u' O1 c: j% H: U+ x, H
the best interests of the venues and the Students´ Union.
4 O& }- M+ C6 ]1 x# Q; f5 l· To function as the key player in the submission of financial and
( ?) A7 X. D3 Q7 }administrative documentation covering the venues to be used in the
# A5 H, y4 L$ V; d5 p8 [5 H5 s4 Rcompilation of monthly and annual financial statements, and such / x1 P& z! K( V- Y0 ~" r
other reports as may be necessary.6 g# S. h1 D7 z) W9 |
· To discuss those financial statements and other reports, together 8 t& @' J- c1 x& u+ a+ P
with all financial and administrative procedures, with the SU´s 1 Y" ^7 J$ E- o: ]8 L

aimed at improving the financial and/or functional effectiveness of

costing systems to be used in connection with the determination and # H# N2 ]4 q/ i/ E. I! Y$ H( K
setting of appropriate prices for rental and staffing rates for

3 W8 @# r: d6 s9 E! c. H7 e· To develop accurate documentation to be used in connection with ; ~& r: s5 P) {# i# k% D I; w
the billing clients, and to forward such documentation in a timely
% l5 \7 b' n# c3 ymanner to the Accounting Department.
" l; Z% ~- I) Y; l6 n· To recognize, address and handle all matters relating to financial
" t" h6 @9 z u- ?5 W6 sand administrative procedures and systems in a manner which reflects

contributes positively to the smooth operation and success of the

5. Overall Roles and Responsibilities* l9 {0 v+ \7 V2 D
a. To ensure, at all times, that the systems and processes used in
# R) f0 f3 H5 @renting the venues meet the appropriate standards, requirements and
0 ~+ O f# ~9 `+ Hneeds, and contribute to the smooth operation and success of the
\' x5 S* S" Q0 r, xvenues. This includes, but is not limited to, the following:/ @& i/ b, w7 y7 U7 z! C
# G7 ^/ Q1 Z# V0 Q· To recognize, develop and set in place such rental procedures as
* N) N9 X0 h. j" @7 `) Imay be necessary to ensure the smooth operation of the venues, this
! C( Z4 y, ~3 P7 ]( d4 Jis to include but not necessarily be limited to systems and processes
: L- e2 B* S; R- {* t0 f. nin the areas of contracts, inventory management, contract evaluation, / s6 c0 M1 ^$ E% `2 Z0 e7 F
pricing, costing, equipment usage, rental/contract invoicing, 8 y/ r" _7 j6 @& K C
together with such other systems and procedures as may be necessary Z8 G0 C6 q7 p3 a
to ensure the smooth, secure, efficient, cost-effective and / p2 z, q B- k' H& K2 E
functionally-effective operation of the Horowitz Theatre.
) X. p* R9 E' \8 Z8 t· To recognize, develop and set in place such operational procedures 1 J) x0 O+ C; Q8 v9 V8 c/ i( \
as may be necessary to ensure the smooth, efficient and cost- ( ^4 U1 ]: ^7 m# ` K% m" w' b
effective operation of the venues.: g. @" X9 E0 i' i
· To negotiate rental lease agreements (contracts) relating to ( ~! N) v8 F- J" l1 _' [5 ?
dates, rates, staff and miscellaneous charges.
: P! x/ p. q0 r6 ~' L: Y· To ensure that adequate inventory is available at all times and
Z ~& y7 ^% Zthat such inventory is stored and issued in effective and secure ways.1 N; m( ?9 o6 W! E+ \1 g# q+ I# U
· To consult with renters as to facility issues in producing their 0 z1 c# c3 v( |. N' C( r% y
particular event in the venues.( `$ R0 z" Q. |! o
· To provide the venues on-site staff with such documentation and
- N9 e$ \: D) ~supporting information as it may need to effectively fulfill the , `( B+ [# b2 y+ o7 M2 y! A
roles they are to perform to ensure the success of the renter´s event.2 P8 L2 y6 v Q2 t8 h, k" d, V
· To produce quotes in respect to staffing costs for a particular

· To ensure that all queries raised with the venues whether from the # C% {2 l5 ^2 Q- X+ I. |$ G, \
SU or renters, are promptly and effectively handled and adequately ( x* K3 ?& }1 z. b' g/ j
answered, and to ensure that such action as may be necessary in * u/ d& J9 O" g; H+ ] j
follow-up to such queries is taken in a timely manner.3 i9 r. S; g3 p8 l& b! j
To ensure that the venues and its capabilities are adequately, % a$ @( r; F2 K; h+ S t4 y9 ^
effectively and cost-effectively advertised and promoted, and that 1 e2 o) ?1 d% _- F9 i
the cost of such endeavors does not exceed the budgetary provision
9 o( t$ y# Y5 E' T9 W$ Emade for them unless prior approval is given by the Manager of + G6 S3 `& N0 p0 f: H! k

· To act as an informed and knowledgeable resource in the case of $ j) p( D; |% b/ ]; {, N. v, q
significant challenges and/or problems surrounding the tasks of ( v" z, Y: I! R: x F. Z: H
marketing, administration, operations, and any such other matters as
