describe all roles and responsibilities in a document of this kind.

2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that
. T' r8 d# R# F$ bfocuses upon advertising and promoting the venue to faculty, 0 B- I' C* X# c; |" h
students, and internal and external clients on an on-going basis. ( I1 }# h" Z. c' @
This strategy will include implementing and/or delegating the following:. `7 {% ]; ?* R0 k6 J. D# K3 V( X
· To develop and maintain promotional materials, the Horowitz 2 t! f# L. M9 N5 E, ^$ `9 a. @' I
Theatre and SU Venues home page, newspaper and other advertising; to
5 Q, O% w! N: F6 H0 @* Y l6 ~take advantage of other internal and external advertising
4 z+ U/ y' m! r* g5 Nopportunities; and to develop press releases and other promotional 4 P4 d; A) }3 V
literature on an ongoing basis.
$ u1 w& e4 W6 D0 {$ N+ I# G· To coordinate tours of the venues for potential renters.

3. Staff and Supervisory Roles and Responsibilities. E8 B4 c; u( j j
- j O' W/ T' ~" M% \4 `2 za. To ensure, at all times, that the venues are adequately and cost- 7 j! F ~7 W8 F" C: j7 a
effectively staffed, and that the staff utilized by or within the
8 Z. I# t( r# [. l0 s, cvenues meet the appropriate standards, requirements and needs, and M# N- Q4 Z% h$ |
contribute in a positive way to the smooth operation and success of
* z d" p3 Q! Z1 I! qthe renter´s events. This includes, but is not necessarily limited
" A- U) P/ _( p- x6 ?to, the following:3 C/ L: X- L- {4 [7 k
· To be responsible, under the direction of the Manager of Venues
- \' r! g: ~1 ] B, \" ~+ a( l7 Oand Programming, for all staff issues including hiring, disciplining,
* s/ A$ x2 p8 P; v5 b' p; k0 E2 cevaluating and terminating, as necessary.* `$ b+ i# Q! l9 v5 W% z
To ensure that the Horowitz Theatre is adequately supervised at ! h4 w, S, i! y2 y, F2 e
all times, this includes the development and implementation of such
4 Z; ^: E- p, z( u1 f* q1 ^9 Mschedules and rosters as may be necessary to ensure the effective and * k* W" Z3 |& f# K" v/ ?
cost-effective supervision of the venues at all times during which it & L* E7 g2 T9 q( T0 p
is in operation or needs to be in operation.; @7 \- I& T# ?. ~+ z, \5 T
· To work with the Technical Director, when necessary, to ensure
6 u% Y3 i4 h* ~8 I: Cthat an adequate and appropriate level of part-time staff exists to ) k7 L5 _$ o0 ~' V; o6 n2 d2 Y
facilitate the smooth operation of the venues and to ensure all / C0 O8 V$ [2 Q1 d5 X3 U$ J
renters needs are met.
' [8 H. I: D% C· To work with the Technical Director to ensure that the skills ) b* t; w& o6 g
and attitudes of all subordinate staff are appropriate in light of
+ n/ T) E' I& ythe roles they must perform. This includes providing adequate and
! ^% H3 ]$ ] X: `effective training (and re-training) in all applicable and 4 n0 [) H- K+ `/ @1 I$ Y
appropriate areas, and ensuring that the Policy and Procedures manual 2 M- G/ e5 a* G9 B& S- u! S
is kep up-to-date at all times.2 v1 M3 H b. E% a+ N9 t
· To ensure all staff are trained in and committed to providing " G- `( Q: s$ ~6 n7 P% }
excellent customer service to all renters.

scheduling. To handle payroll related matters, under the guidance 7 v/ v7 `7 n! c; F& d! i
and direction of the Manager of Venues and Programming, concerning

1 o, b+ m: ~0 [· Working with the Manager of Facilities and Operations to ensure
/ |3 k4 u: S+ o, kthe appropriate setup/tear down of each venue.

4. Overall Financial Performance

systems and processes utilized by or within the venues meet the

To provide input and expertise in the formulation of appropriate 6 }/ y5 R+ w* G1 M, C9 j- L
operating budgets covering the venues to the SU´s Manager of ! F3 z) y4 r5 ^; z& e% f
Programming and Venues and to discuss and refine those budgets
/ t# F4 m6 V ]" z! LManager of Programming and Venues, and Manager of Finance & 2 ]9 z2 r9 h O* _' r% u+ w
Administration prior to their submission for final approval.1 [2 t9 p0 V/ Z$ f& u+ h7 ^1 J4 U+ v
· To manage the venues in a manner which adequately and effectively

the best interests of the venues and the Students´ Union.

other reports as may be necessary.

Administration with a view to determining and implementing action

· To ensure the existence of adequate, effective and accurate job

· To recognize, address and handle all matters relating to financial ! o+ g% e. b! }, C6 r/ b4 _9 l
and administrative procedures and systems in a manner which reflects

renting the venues meet the appropriate standards, requirements and
9 ]+ @+ S! K* e7 l/ qneeds, and contribute to the smooth operation and success of the
+ Z n( `! X. J# W! }venues. This includes, but is not limited to, the following:% d. M9 p) f- d# e! U% B5 e
8 U8 l4 y4 e2 r2 R" M, D3 r· To recognize, develop and set in place such rental procedures as 5 g7 h x* K) k8 ~" e0 I( y
may be necessary to ensure the smooth operation of the venues, this * y: ?" v" O& ~+ f3 G2 t
is to include but not necessarily be limited to systems and processes 8 i) H" ^# n9 t( o8 v
in the areas of contracts, inventory management, contract evaluation,
3 H$ N! e, A3 ]( ] k" O4 w! [pricing, costing, equipment usage, rental/contract invoicing, ! _. t, c5 R& W$ R. J8 t+ w
together with such other systems and procedures as may be necessary
9 a; x: j' I( Cto ensure the smooth, secure, efficient, cost-effective and & a. F3 h; a& I5 |8 R/ l
functionally-effective operation of the Horowitz Theatre.# z+ F2 n% c7 J3 O) z- y0 Q
· To recognize, develop and set in place such operational procedures
* K, [+ d: [6 p# R; }. @& Has may be necessary to ensure the smooth, efficient and cost-
8 m8 Q/ T" C# V) e1 D# G. J# Aeffective operation of the venues.
, ~2 ~1 i7 k. k+ R+ b+ @· To negotiate rental lease agreements (contracts) relating to
! q& i7 S" q# A$ _1 X. h9 Wdates, rates, staff and miscellaneous charges.
; A) ]4 l: h' _) d% ]% y$ H2 V/ ^· To ensure that adequate inventory is available at all times and
- [7 w. G* P# A- Sthat such inventory is stored and issued in effective and secure ways.
" L7 H3 B) p: [- H9 i, `+ w· To consult with renters as to facility issues in producing their
V' K( C2 q. _% G4 j Rparticular event in the venues.
; d+ G0 ~$ v2 D· To provide the venues on-site staff with such documentation and
$ A4 x' d7 A. n9 w! V; isupporting information as it may need to effectively fulfill the
% N1 T' \ z- a# Y8 ]. lroles they are to perform to ensure the success of the renter´s event.
% S6 c3 i: c. ^· To produce quotes in respect to staffing costs for a particular 5 W# S( ~. [4 K9 p! ]' @
rental with consultation with the Technical Director.
3 ~) F. O; ~7 E· To ensure that all queries raised with the venues whether from the 1 ?3 T1 x% {' Y. y% F
SU or renters, are promptly and effectively handled and adequately * z) w& H7 a% @: k. N6 z$ l2 O% d
answered, and to ensure that such action as may be necessary in $ t) u' ?" s# \
follow-up to such queries is taken in a timely manner.
6 b. K. E) d$ ~& G, I# o, \" H To ensure that the venues and its capabilities are adequately,
+ {5 w; y/ @6 h; C7 veffectively and cost-effectively advertised and promoted, and that
d- W+ Q& \) f: `" l/ ythe cost of such endeavors does not exceed the budgetary provision - E2 R4 |7 Q; d
made for them unless prior approval is given by the Manager of

· To act as an informed and knowledgeable resource in the case of
