The duties of the Operations Manager - SU Venues are diverse and  7 O  h8 g2 P" J0 E& W7 H
extensive, and are targeted at the all round smooth operation and  : v5 f# s! \: s! W: l7 U; K  D1 h
financial and operational success of the Horowitz Theatre as well as  
1 c& j& U  ]/ L" j+ Mthe logistical organization and smooth rental of the additional  5 q& u5 x6 \3 w# ^
venues within the realm of the Students´ Union.  In the light of that  0 Z3 ^/ L1 o- S  @9 \/ D
breadth and complexity, it is not possible to fully define or  
) |! ?7 |  i! R, ~# ]describe all roles and responsibilities in a document of this kind.   8 F' f0 g" O  R- P% u& G* D
However, the main roles and responsibilities of the Operations  . v# v- z' l7 `) j" |

a.   To ensure, at all times, that the venues listed below meet the  
# W- z( }; A. L  w2 q' u# `& Tappropriate standards, requirements and needs, and contributes in a  
1 E! R$ `/ T7 U5 F7 B0 ^5 j% P( spositive way to the smooth operation and success of the individual  ) o! \3 b) U7 ]+ y1 r" b& I

·     Myer Horowitz Theatre) G- m& _! T% N& u
·     Dinwoodie Lounge

·     To ensure the day-to-day compliance of the venues with existing  + @  y( m, S* g: ^9 D% v9 |. B3 G$ X, t
safety regulations and building policies.

) _! s5 c4 M! D% B9 J7 {5 t2.        Marketing and Promotion
! ?8 T+ I7 n: K; x' H6 x/ v: l4 x$ ^6 Z8 \4 {8 M5 \
a.   To develop and implement a marketing plan for the venues that  * b0 y7 n8 C9 V* H5 [
focuses upon advertising and promoting the venue to faculty,  
- M; ^& B' H, M, r. x- V. Xstudents, and internal and external clients on an on-going basis.  
3 l+ [/ m9 J& G8 {' K3 L7 k' mThis strategy will include implementing and/or delegating the following:7 R! O/ O. @# I5 @4 Z7 M- I
·     To develop and maintain promotional materials, the Horowitz  ! Q# U, y7 V" \
Theatre and SU Venues home page, newspaper and other advertising; to  2 W! e* H- s% z; W) V* G
take advantage of other internal and external advertising  
6 s+ ]1 M: H+ B2 q7 Y! [' Uopportunities; and to develop press releases and other promotional  
/ a) c6 J, `* i) T" D/ J7 w. ~literature on an ongoing basis.) F. H' M! r1 ]
·     To coordinate tours of the venues for potential renters.
, P* |: S% `  a6 J( D+ Y·     To promote upcoming events in the Horowitz Theatre through the  . F+ Z. b2 C, v0 I6 y, T$ u7 X* o
use of the Horowitz Theatre Home Page and the SU Events Calendar.* H9 ?# v- n& f* t
·     To develop new external clients for the venues.
$ b$ N* ]; g# r! N) S9 p' R- J8 M
, F3 C; E( x% `( Z' I7 w; @2 s. ?( t  ?- M# r- Q) u
3.        Staff and Supervisory Roles and Responsibilities$ q/ S# K# a. I

/ }! F" R" h/ T& ]a.   To ensure, at all times, that the venues are adequately and cost-
3 \% h; ]- c3 @( ueffectively staffed, and that the staff utilized by or within the  
0 m4 d" d% X+ M1 U6 m8 ~, wvenues meet the appropriate standards, requirements and needs, and  
9 _5 x9 b( K, [/ S6 xcontribute in a positive way to the smooth operation and success of  
* _  `+ o9 Y. I! Uthe renter´s events. This includes, but is not necessarily limited  % h! @$ Q+ a- j9 C3 H* G3 Z
to, the following:  a$ B8 ~* m. w% t: [
·     To be responsible, under the direction of the Manager of Venues  
$ Y+ L- q: U/ i, l0 x) g* Mand Programming, for all staff issues including hiring, disciplining,  2 u5 Y+ G  B) s9 d2 Y2 W
evaluating and terminating, as necessary.6 c' _, u3 V- @' l
To ensure that the Horowitz Theatre is adequately supervised at  : P3 \7 z" c% Q  o( n' R
all times, this includes the development and implementation of such  7 b: h7 b. w2 ^8 W1 ?7 i! d& X! |; c
schedules and rosters as may be necessary to ensure the effective and  
% F% p6 t5 z! n1 \cost-effective supervision of the venues at all times during which it  0 p7 Y: s% ?% a0 U# e& x
is in operation or needs to be in operation.
3 p- r; i0 m" `; c7 }; e·     To work with the Technical Director, when necessary, to ensure  
3 P0 ~7 j# F" P0 ?; S% }/ T: ?; Mthat an adequate and appropriate level of part-time staff exists to  5 b. w% l: N# x7 P# M8 B% E& {
facilitate the smooth operation of the venues and to ensure all  
+ c8 a& t0 Z; u7 O1 Orenters needs are met.4 N0 R5 k) L& Y8 U- I' F
·     To work with the Technical Director to ensure that the skills  
4 K0 i' @$ j! Y. y: a  cand attitudes of all subordinate staff are appropriate in light of  
( D9 v/ P8 _' e" Jthe roles they must perform. This includes providing adequate and  
- ]1 D$ }; G' c1 q# ^effective training (and re-training) in all applicable and  
( E% n7 K1 h' q- \4 P" L. g' _appropriate areas, and ensuring that the Policy and Procedures manual  
2 F$ W3 {6 D3 {4 y( Vis kep up-to-date at all times.
2 \: U) @7 ~" `$ C, c. X·     To ensure all staff are trained in and committed to providing  
$ A" Z! ?# @9 g. U7 P5 k9 eexcellent customer service to all renters.
# p1 \2 V& i5 G$ T·     To work with the Technical Director to arrange staff  
: y/ e; V3 H# D) Ischeduling.  To handle payroll related matters, under the guidance  , |5 c3 A; Z" h& H
and direction of the Manager of Venues and Programming, concerning  
5 e) g* S" M) T: E! ]! d5 P- e0 |! Ethe staff of the venues.. \- Z9 s  e: U
·     Working with the Manager of Facilities and Operations to ensure  0 g7 Y& Y2 s9 W/ i/ A5 M) T
the appropriate setup/tear down of each venue.
* [$ A. c; c) [! K·     Working with the Manager of Programming and Venues to ensure  8 k: A7 b2 X9 c2 g( C7 U' S
that additional requests such as licensed receptions are arranged.& V# n& O. o% S9 q! F8 ]+ H
# G1 c& c" m& Q, _/ b; X/ J

; U( G4 a$ m8 ?: E6 ?7 f7 _3 M$ Q4.          Overall Financial Performance
' L, u; ^* F) @. U( Y2 k; k( s& j1 _6 W' E
a. To ensure, at all times, that the Financial and Administrative  
" z" K% V) s: l" @+ p! v( nsystems and processes utilized by or within the venues meet the  ! N# d; G3 D4 i: ~7 N- x
appropriate standards, requirements and needs, and contribute in a  / T, e- O2 F  T6 Q8 F# _
positive way to the smooth operation and success of the venues. This  
: e& o- y- F5 v9 |includes, but is not necessarily limited to, the following:1 }; b& m" j$ S
To provide input and expertise in the formulation of appropriate  7 w5 ]) G* o' ^* K+ ?2 H! a& ]( W
operating budgets covering the venues to the SU´s Manager of  
% A! v- P. u1 g" p" P0 @% A2 UProgramming and Venues and to discuss and refine those budgets  
+ m, r$ O0 t8 I) n# \Manager of Programming and Venues, and Manager of Finance &  
8 u  q1 B8 M$ ]9 j7 j* WAdministration prior to their submission for final approval.4 N2 Z  J& }5 @+ R/ s' _/ L* a. z
·  To manage the venues in a manner which adequately and effectively  ; K. F2 P* y5 \' ~4 i
reflects the budgets approved for the venues and/or which reflects  $ N3 F% f. ^- b- ~
the best interests of the venues and the Students´ Union.
  s$ Z5 n, `! q$ j# A' c0 T# {) Q·  To function as the key player in the submission of financial and  # }! _- C8 v# m4 y2 j
administrative documentation covering the venues to be used in the  $ e1 a; }& i/ z1 L
compilation of monthly and annual financial statements, and such  0 G% ?- S0 [) i* l, I
other reports as may be necessary.
/ X9 n5 @+ V1 G$ s# h* c; |7 K3 i! s6 @·  To discuss those financial statements and other reports, together  # `+ t( |' H9 Q+ y% N( V2 I4 w4 [! A
with all financial and administrative procedures, with the SU´s  4 X# t% W4 ^2 j$ ~2 H" J- \
Manager of Programming and Venues and Manager of Finance &  
0 m: W& @; s) h9 _7 p- _# n7 ^Administration with a view to determining and implementing action  
, `0 {) O' E5 haimed at improving the financial and/or functional effectiveness of  
4 B8 z% O0 Z- D+ ythe Horowitz Theatre.  e: p2 @* ^8 I
·  To ensure the existence of adequate, effective and accurate job  
0 G/ L5 m. J7 H; tcosting systems to be used in connection with the determination and  9 U% l" z3 l% D8 Z6 b9 D) a
setting of appropriate prices for rental and staffing rates for  
- x" K4 N+ M: o: m0 T) H- S& T5 vevents held in the Horowitz Theatre.
! k- `* x% r! n* K: z4 K6 M·  To develop accurate documentation to be used in connection with  
  j6 W( [, h/ p$ d" b$ k4 ithe billing clients, and to forward such documentation in a timely  
+ e6 K! Z( Y' e+ a8 g2 zmanner to the Accounting Department.
8 n9 |2 V8 r) X0 v·  To recognize, address and handle all matters relating to financial  
* j' l  @  b+ g  I# H% T+ J% Kand administrative procedures and systems in a manner which reflects  
( f! W  H! A2 {the requirements of the SU´s Manager of Programming and Venues and  
( v  |  t7 t) ]* v, q  [( bManager of Finance and Administration, and in a manner which  & p. `. [8 j0 p9 c
contributes positively to the smooth operation and success of the  
' A' D6 y4 o5 |0 W6 gvenues.
( u9 g  q0 G3 N6 t5 r* s0 G) e
5.          Overall Roles and Responsibilities3 P* G5 m, o/ o; z9 Q- u9 C
a.   To ensure, at all times, that the systems and processes used in  * B* v3 @" {- D: w
renting the venues meet the appropriate standards, requirements and  $ A4 |( |, l5 r& N/ q, F7 P
needs, and contribute to the smooth operation and success of the  
1 G2 F: r  q$ C+ S3 u0 W* p- mvenues. This includes, but is not limited to, the following:2 z+ |; |; y* p- T: a3 s( ^- b) }- W

  E6 L, a! N  `2 d3 N·  To recognize, develop and set in place such rental procedures as  # K7 d0 |6 i, K0 i$ r+ M8 W2 u
may be necessary to ensure the smooth operation of the venues, this  
" m! c( e0 X9 `$ l8 e4 {is to include but not necessarily be limited to systems and processes  
0 x: x8 W: F: c0 y3 y4 i( Hin the areas of contracts, inventory management, contract evaluation,  
4 V! f2 a  X, N7 o% C# ^pricing, costing, equipment usage, rental/contract invoicing,  
/ Z. w* I( s( T5 ?; qtogether with such other systems and procedures as may be necessary  
4 S' ~& \& r- W/ ?to ensure the smooth, secure, efficient, cost-effective and  ) |; M, q% d8 ^/ [. ~! {3 n
functionally-effective operation of the Horowitz Theatre.* @: w/ \2 F7 b8 Y
·  To recognize, develop and set in place such operational procedures  
1 v0 m: ]! w& g" ^/ s% ~0 ]  X# _as may be necessary to ensure the smooth, efficient and cost- 6 [: G6 G% N8 R9 h. R. {8 B
effective operation of the venues., i& u4 J$ K, C5 g" l8 J6 C) J
·  To negotiate rental lease agreements (contracts) relating to  ' X/ x* ^' R1 r+ w/ f; O
dates, rates, staff and miscellaneous charges.5 U5 l' Z/ _, ]- O  e
·  To ensure that adequate inventory is available at all times and  
* w" ^5 n9 X+ ^( s$ {9 Lthat such inventory is stored and issued in effective and secure ways.8 p4 K# J0 R0 |' I$ G6 U* \' r
·  To consult with renters as to facility issues in producing their  
# c  D4 G) {, N& Sparticular event in the venues.' t8 M% ^8 D' b+ |
·  To provide the venues on-site staff with such documentation and  5 R% q5 L) ?/ S- n4 y1 m3 V
supporting information as it may need to effectively fulfill the  2 {! m% G' x+ @
roles they are to perform to ensure the success of the renter´s event.' {( Y1 j, S* Z- W) _0 G( z9 y. v
·  To produce quotes in respect to staffing costs for a particular  * g6 a0 x$ ]& r+ v1 q. a. D5 H
rental with consultation with the Technical Director.0 d0 L: A6 t& h$ C5 p
·  To ensure that all queries raised with the venues whether from the  
9 ^9 s/ c: T: ~$ t5 G8 X' pSU or renters, are promptly and effectively handled and adequately  - u6 X$ ?4 \# M2 ~3 k% Z! N
answered, and to ensure that such action as may be necessary in  
* }& z1 @. x0 T' b! O  pfollow-up to such queries is taken in a timely manner./ @5 U: j9 P- s+ j
To ensure that the venues and its capabilities are adequately,  ! j) _! A4 M4 A! L6 e) w$ G/ T
effectively and cost-effectively advertised and promoted, and that  
5 `" ~/ S" M* g) {; h1 b) Wthe cost of such endeavors does not exceed the budgetary provision  
3 A- O  P& w4 O2 hmade for them unless prior approval is given by the Manager of  
* t5 m* F$ R4 C6 mProgramming and Venues.  i9 j& I4 r6 G
·  To act as an informed and knowledgeable resource in the case of  
3 A  ~' o9 @# A6 |significant challenges and/or problems surrounding the tasks of  
% b0 a( E/ i2 x$ _% F; V; omarketing, administration, operations, and any such other matters as  & l4 W# _0 }! S, C3 I& v& v
may provide such challenges and/or problems.
# k% t" M- l# ~: r( S·  To attend such meetings as may be required to support the smooth  
# ~; I7 n$ R" E6 G$ g- m$ Aoperation of the venues or the Students´ Union as a whole.
3 ^4 |, q9 r5 k/ p( v, [·  To perform other job-related duties as may be required by the  
- H% a* G  ~( I! b) U+ BManager of Programming and Venues in order to ensure the smooth and  2 U" R) x# A$ T; O5 F/ F5 F
secure operation of the venues.+ `) j4 d! S6 z/ n' p
·  To recognize, address and handle all matters relating to overall  
+ h" h5 G! ^! i8 Y2 q& R- ]) @operations in a manner which reflects the requirements of the SU´s  0 U+ o3 c: F) F3 g
Manager of Programming and Venues, and Manager of Finance and  ; r5 t, D+ I2 N3 C
Administration, and in a manner which contributes positively to the  
  _" l& {! T- csmooth operation and success of the Horowitz Theatre.4 L% o9 J% O+ z  T

QUALIFICATIONS:
' k+ D: o, V9 q5 K4 d: w3 U1)             Minimum two years related post secondary education, or  
% h; C. y/ q2 C# i% x$ ]an acceptable combination of education and experience.
8 j) J7 G' e+ A( i% ~7 G1 M0 `' {2)             Supervisory experience.
& ^1 ]! ^2 N) _1 m2 l3)             Ability to create new initiatives with little or no
