and Venues.

ROLES AND RESPONSIBILITIES
6 i" b4 L8 q% d: x/ Z0 [The duties of the Operations Manager - SU Venues are diverse and  
) Z7 _. \- ?, m% p; Hextensive, and are targeted at the all round smooth operation and  ' T% i2 x  C- H3 \9 M
financial and operational success of the Horowitz Theatre as well as  : \# s9 H8 z3 B0 H8 J/ {
the logistical organization and smooth rental of the additional  
& n" a/ D- Z0 W# Y  _$ M% y( }* [% rvenues within the realm of the Students´ Union.  In the light of that  
' A; l' Q) F/ p0 f. S* N- Nbreadth and complexity, it is not possible to fully define or  
( g; z% X# A" r7 K: h% Cdescribe all roles and responsibilities in a document of this kind.   
& B$ a7 _& S6 I$ GHowever, the main roles and responsibilities of the Operations  ' R' l) L5 D; C& o; }! k

a.   To ensure, at all times, that the venues listed below meet the  
) k/ G8 m% X4 Kappropriate standards, requirements and needs, and contributes in a  
4 {7 V( h" u* N! I( ppositive way to the smooth operation and success of the individual  . H+ s1 u/ W7 H
renter.
& Q' R! H' p5 X) a' _·     Myer Horowitz Theatre9 D8 [3 s& l0 |5 [
·     Dinwoodie Lounge8 `/ n1 y6 d# t; ]

3 C, N' K7 o3 j& [3 w: a" Z( [2 y) O3 cb.   This includes, but is not limited to, the following:. s) U* V5 F  Q
·     To plan the capital and supply expenditures to meet the  
. v" c! k; X4 K0 t  Y3 Pproduction and facility requirements.! ]: @+ \9 O8 g5 x/ o$ Q
·     To ensure the day-to-day compliance of the venues with existing  6 `% h- h' D# O1 n$ A
safety regulations and building policies.3 ]$ q3 [! ~. P8 g% I+ j4 O
To ensure that the maximum potential of renters is met.

2.        Marketing and Promotion
5 G6 `3 I. ?( h6 A2 a; ~' I' {4 y+ B  V/ v
a.   To develop and implement a marketing plan for the venues that  4 R+ A' Y1 x' s- f0 B2 S3 j9 |
focuses upon advertising and promoting the venue to faculty,  0 g/ {% t  o( o/ K7 [4 H
students, and internal and external clients on an on-going basis.  ' T  J) J% P( R; Z, J
This strategy will include implementing and/or delegating the following:# Y' |3 |1 B1 r5 U% \# o
·     To develop and maintain promotional materials, the Horowitz  
2 m- s( w$ n- aTheatre and SU Venues home page, newspaper and other advertising; to  
5 S0 L; e% [$ m2 {: H. ntake advantage of other internal and external advertising  % e$ m8 T. K0 f3 {3 Z8 t2 o
opportunities; and to develop press releases and other promotional  : W/ r* [! l" q% ^9 M; v) d: {
literature on an ongoing basis.8 d, V: _2 V& Z9 g0 e- D% B; c- j
·     To coordinate tours of the venues for potential renters.' }/ x( j8 w+ X+ m: b5 X2 E
·     To promote upcoming events in the Horowitz Theatre through the  
/ `4 j8 C- p  z6 H8 m9 Y8 _# ?5 huse of the Horowitz Theatre Home Page and the SU Events Calendar.
- Z6 s0 @7 N4 `# ]·     To develop new external clients for the venues.% P% f) E* w/ H7 i) Q+ P4 u1 N

) i& Q" z  E" z3 y1 o1 V8 \3.        Staff and Supervisory Roles and Responsibilities  x. `6 a' u0 i4 o! U
( W; t! k( a* l/ U- f3 A* Q
a.   To ensure, at all times, that the venues are adequately and cost- 0 s" z% l- L+ {2 i/ e' c- o
effectively staffed, and that the staff utilized by or within the  ( j% [5 r% e9 ^7 z% R2 C
venues meet the appropriate standards, requirements and needs, and  % s! h  s8 H. D, @1 x' ]
contribute in a positive way to the smooth operation and success of  
  T9 Q# q/ r$ c5 }2 m+ B; ithe renter´s events. This includes, but is not necessarily limited  
  \" g! t& U/ bto, the following:- I( Q6 ?  f9 d2 X. q% K! h
·     To be responsible, under the direction of the Manager of Venues  
8 V7 ]+ I2 z/ ~$ z3 f* Q5 @and Programming, for all staff issues including hiring, disciplining,  6 u. c/ X* c( t! ]
evaluating and terminating, as necessary.
0 G$ a, ?4 t; M5 S4 R% L To ensure that the Horowitz Theatre is adequately supervised at  * r- }0 \" l% n
all times, this includes the development and implementation of such  - V0 h+ ~- w3 Q) K& }! j7 S
schedules and rosters as may be necessary to ensure the effective and  
, K4 i' e* s! n3 t/ F! Ycost-effective supervision of the venues at all times during which it  - u# v- v8 _  s3 P' X
is in operation or needs to be in operation.
/ [. B# T% [) j, a·     To work with the Technical Director, when necessary, to ensure  
: T- @9 R! n" P% H* J: Qthat an adequate and appropriate level of part-time staff exists to  , z0 F2 R- n2 m( B# E, B
facilitate the smooth operation of the venues and to ensure all  ) O# d  @- Q3 G: R/ U1 }
renters needs are met.; u, n2 N* e0 [# ~" e% W
·     To work with the Technical Director to ensure that the skills  / k( W& |1 ~9 X( R/ W2 }% [
and attitudes of all subordinate staff are appropriate in light of  1 v; C" j# ^# G9 }1 j* [+ u1 b
the roles they must perform. This includes providing adequate and  
  q( v) B4 n& E; K/ l2 N5 @effective training (and re-training) in all applicable and  
3 L; c; J$ [7 v& N5 aappropriate areas, and ensuring that the Policy and Procedures manual  
& _+ g, G6 S$ W: R1 xis kep up-to-date at all times.7 c8 ?; R0 g( u+ r& I3 u0 i& y0 T
·     To ensure all staff are trained in and committed to providing  - P5 w0 M+ d* @4 `1 k! y
excellent customer service to all renters.- _2 G* Z$ y. ]" v1 N6 S: |
·     To work with the Technical Director to arrange staff  * h0 o% r3 W5 i3 J% s3 U
scheduling.  To handle payroll related matters, under the guidance  
( k. n* q: c' Q0 I) U- vand direction of the Manager of Venues and Programming, concerning  2 ]. I* L6 ^% N3 s
the staff of the venues.
5 P8 o! b. ^  H9 E: U·     Working with the Manager of Facilities and Operations to ensure  8 l( v. b$ b, p7 j" s! n
the appropriate setup/tear down of each venue., X4 X2 E9 t" g3 m4 \$ |* }
·     Working with the Manager of Programming and Venues to ensure  ) t; `1 U8 s; B
that additional requests such as licensed receptions are arranged.

4.          Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative  # K: j& Q! h; u
systems and processes utilized by or within the venues meet the  
0 x- i8 B" s0 z( H' fappropriate standards, requirements and needs, and contribute in a  4 I4 L1 P5 H9 n8 o# U
positive way to the smooth operation and success of the venues. This  * l5 M9 M, {9 D( U+ [* g  b
includes, but is not necessarily limited to, the following:
% [; S, y( |  w5 l To provide input and expertise in the formulation of appropriate  2 b- T' ?3 O. o. z8 Q
operating budgets covering the venues to the SU´s Manager of  ; L' K" f+ q9 u3 c# q, |3 q/ o
Programming and Venues and to discuss and refine those budgets  
& Q( v& O% p9 D* ^- {Manager of Programming and Venues, and Manager of Finance &  
: I8 C/ p( a" c/ s+ C7 TAdministration prior to their submission for final approval.
6 v# B5 _: c! m; U, G' t·  To manage the venues in a manner which adequately and effectively  
$ ~- X' E/ a1 j* u1 H" greflects the budgets approved for the venues and/or which reflects  
% a# `' H  Z/ O) N( N6 G' i  fthe best interests of the venues and the Students´ Union.5 O6 E# Z7 ?& m* n, H  L3 H
·  To function as the key player in the submission of financial and  
) {5 e- _4 b- d4 {8 F+ I( ^, `) cadministrative documentation covering the venues to be used in the  
# e1 a$ @& M" v  w  bcompilation of monthly and annual financial statements, and such  
: C5 O% f. ]4 `) _* P5 Gother reports as may be necessary.
4 m) {4 |" p# V9 k; W·  To discuss those financial statements and other reports, together  ) g' J3 C% V4 A! I" f/ W
with all financial and administrative procedures, with the SU´s  
5 p, j  e4 \: H5 FManager of Programming and Venues and Manager of Finance &  
7 I: ^1 ], P; a' T( ?Administration with a view to determining and implementing action  
4 Q+ O; {4 W3 r# S+ {, E+ Z8 \5 U$ Caimed at improving the financial and/or functional effectiveness of  
2 S) c1 Q! F% v7 Qthe Horowitz Theatre.
* O- K. |/ v  Q5 i  G8 _·  To ensure the existence of adequate, effective and accurate job  
" w8 F4 a( F2 V! P5 J$ Ncosting systems to be used in connection with the determination and  
* Y& h* v( i: X- Y- h0 u4 [setting of appropriate prices for rental and staffing rates for  6 g8 f  N4 z/ j  h  m* P1 n
events held in the Horowitz Theatre.7 _( @9 l6 Y, w4 u: N/ C0 b
·  To develop accurate documentation to be used in connection with  
$ k$ e8 F) A0 a1 Rthe billing clients, and to forward such documentation in a timely  " j) m+ U1 U/ \: O( g+ _( s$ q
manner to the Accounting Department.
0 t/ ~7 Y% b: ^·  To recognize, address and handle all matters relating to financial  / g7 e3 P) B. x+ W, @  n
and administrative procedures and systems in a manner which reflects  
2 ?3 g5 d6 ?1 c  k$ T' {5 C0 Tthe requirements of the SU´s Manager of Programming and Venues and  - e  [7 l% C7 R. k) G* g& r1 U9 h0 o
Manager of Finance and Administration, and in a manner which  6 P2 I7 y7 o" H: S6 D
contributes positively to the smooth operation and success of the  
4 w5 _! z  z6 e/ s( r5 N& evenues.

5.          Overall Roles and Responsibilities: R. W6 M8 G3 o) G
a.   To ensure, at all times, that the systems and processes used in  6 V$ {, A8 K% M: A/ p
renting the venues meet the appropriate standards, requirements and  . U. @; h" N1 n) j# F4 D
needs, and contribute to the smooth operation and success of the  
* K- [5 l& m4 i' ^) L" N# fvenues. This includes, but is not limited to, the following:
# |/ f# V* J  `$ s( W1 G3 M0 ^" z# {6 S9 Q+ T7 _5 Z5 @
·  To recognize, develop and set in place such rental procedures as  
( x* k" ~# Q! l/ p# \" G9 qmay be necessary to ensure the smooth operation of the venues, this  0 {4 }4 [! }% R- _
is to include but not necessarily be limited to systems and processes  
; t" ]7 U9 R1 v3 f! t' ^in the areas of contracts, inventory management, contract evaluation,  
/ a" |, h; d( M0 p3 G' Gpricing, costing, equipment usage, rental/contract invoicing,  3 U  f& E: \- K  Y, [+ @
together with such other systems and procedures as may be necessary  
$ T- ]: k: n" O/ Ato ensure the smooth, secure, efficient, cost-effective and  1 N3 P: [7 O) Q6 Y/ b
functionally-effective operation of the Horowitz Theatre.
$ L) v! O  q1 C6 B3 M3 f, ?·  To recognize, develop and set in place such operational procedures  
! H& `  p$ _7 R: e; E3 c) m6 O! Has may be necessary to ensure the smooth, efficient and cost-
! P: f. F. I; `/ l7 h% P) u2 geffective operation of the venues.8 l4 E# L0 p2 f- r& H4 z5 ]
·  To negotiate rental lease agreements (contracts) relating to  2 b- `' h! E% @* T/ M
dates, rates, staff and miscellaneous charges.
; o, k. d, g6 q1 x! }) |' p·  To ensure that adequate inventory is available at all times and  
  ^4 ~( Y' @" |% A) |( V' w7 o9 o* t/ {that such inventory is stored and issued in effective and secure ways.- A' S. Z& f' ?0 w
·  To consult with renters as to facility issues in producing their  
* s* u% c. R) N  Q7 d- m2 A- eparticular event in the venues.: o% w* T; y9 P- |
·  To provide the venues on-site staff with such documentation and    G$ d6 R* r8 c9 R, {, F
supporting information as it may need to effectively fulfill the  : j; H9 E) Q; r( _
roles they are to perform to ensure the success of the renter´s event.1 v6 w, A9 w* `' \; k4 v
·  To produce quotes in respect to staffing costs for a particular  
( P( u/ y- R' A; j$ M/ g8 U# mrental with consultation with the Technical Director.0 m7 R% p. w7 `/ I  {
·  To ensure that all queries raised with the venues whether from the  9 _. e5 |' u% }8 T( X$ e0 o& q
SU or renters, are promptly and effectively handled and adequately  # y. E* L) j) M" b1 a# N" b: @. g1 }
answered, and to ensure that such action as may be necessary in    u3 w* B7 y* G3 F1 [' J0 b
follow-up to such queries is taken in a timely manner." K  O& O) A. G% c. s: Z2 I, a
To ensure that the venues and its capabilities are adequately,  
) U: {8 j+ E  ^* Seffectively and cost-effectively advertised and promoted, and that  
# m6 B- V0 [( F  Y/ pthe cost of such endeavors does not exceed the budgetary provision  . k. X) a7 [  W4 y! h6 ]4 K
made for them unless prior approval is given by the Manager of  
' u" j* i5 {* t$ @4 `7 a8 t/ s' a; bProgramming and Venues.
8 X- H+ i1 m. X" Q+ Y, X" d, u) L4 G·  To act as an informed and knowledgeable resource in the case of  8 f: s$ P) G1 q
significant challenges and/or problems surrounding the tasks of  
7 _, l+ a0 q) H* c" C1 ]  t, bmarketing, administration, operations, and any such other matters as  
5 ?' U" S3 C; Z0 ~may provide such challenges and/or problems.
% N- F% V) e7 U) C$ Y·  To attend such meetings as may be required to support the smooth  $ i. N' M6 j; v" p3 |. k
operation of the venues or the Students´ Union as a whole." f; `- `% u6 s4 C
·  To perform other job-related duties as may be required by the  
$ ~5 ]% G/ z, M4 h* WManager of Programming and Venues in order to ensure the smooth and  
8 n- j0 z) |6 T$ T5 i/ ?8 Xsecure operation of the venues.

* `$ A  Y9 n/ ~9 O1 ^operations in a manner which reflects the requirements of the SU´s  
: ~/ o/ b4 }( a+ O! ~Manager of Programming and Venues, and Manager of Finance and  
* S: V* R! H1 K: T; z. v/ pAdministration, and in a manner which contributes positively to the  
) Z2 K- t/ t: e" l7 C8 M0 _smooth operation and success of the Horowitz Theatre.

3)             Ability to create new initiatives with little or no  ' F9 ?  s' @2 u* k0 f( }
