extensive, and are targeted at the all round smooth operation and 5 T& O6 a, i8 M% M7 }
financial and operational success of the Horowitz Theatre as well as
/ X. {0 w* P" V; ^the logistical organization and smooth rental of the additional
6 S, u. z! I4 Y- @( y# Jvenues within the realm of the Students´ Union. In the light of that ' _+ u, H4 c- s! B* M$ v
breadth and complexity, it is not possible to fully define or : w0 f+ _- ?8 n6 o5 K; j
describe all roles and responsibilities in a document of this kind. ( \$ {$ a# i7 D; C1 L
However, the main roles and responsibilities of the Operations

a. To ensure, at all times, that the venues listed below meet the

renter.

2. Marketing and Promotion5 S% _" H! I% f" l' X4 {
* e B" F' ?0 @. c$ r5 La. To develop and implement a marketing plan for the venues that
# t% a2 u8 C9 S+ gfocuses upon advertising and promoting the venue to faculty,
+ U+ ~' E% U& P* hstudents, and internal and external clients on an on-going basis.

& g4 e: ?9 |% i+ h! }" I( c· To develop and maintain promotional materials, the Horowitz , c: }; c( q7 ?& C8 ?
Theatre and SU Venues home page, newspaper and other advertising; to
* A" M, k) s8 Y. O' H1 ]take advantage of other internal and external advertising 7 k; l/ T( Y- Q! y% T+ J) C' a& A* e. L
opportunities; and to develop press releases and other promotional
/ i+ h- g4 v9 _" Rliterature on an ongoing basis.# `5 x" r0 a7 d) s
· To coordinate tours of the venues for potential renters." V" i1 s# T& a' k
· To promote upcoming events in the Horowitz Theatre through the 7 s1 S" ?% z$ M5 D& R" R
use of the Horowitz Theatre Home Page and the SU Events Calendar.4 J, n8 j9 T7 q1 }0 m9 L
· To develop new external clients for the venues.4 k; ]8 z, t1 W0 ~# d

3. Staff and Supervisory Roles and Responsibilities
@" p0 l4 Q$ ? z6 I* T! S. h4 S" ?
a. To ensure, at all times, that the venues are adequately and cost- 9 e& N2 g7 ]2 q4 k0 W5 R" o8 y
effectively staffed, and that the staff utilized by or within the
5 I" e1 g; K* @3 A9 r3 Z$ a/ fvenues meet the appropriate standards, requirements and needs, and
5 f1 ]+ I g Acontribute in a positive way to the smooth operation and success of
& w" b+ E& d5 g+ fthe renter´s events. This includes, but is not necessarily limited $ k) Z- D* u+ @% W& x
to, the following:
( _7 v H5 _+ t! T3 a· To be responsible, under the direction of the Manager of Venues + T& v' W2 _" i& @( N
and Programming, for all staff issues including hiring, disciplining,
, Q- K2 { p1 z# T! _/ C& ^* ~evaluating and terminating, as necessary., D8 ?* g. L( j' L$ O. `4 E. k! @* E
To ensure that the Horowitz Theatre is adequately supervised at ; Q* U; g S4 ^0 Y' i; c2 U# l
all times, this includes the development and implementation of such 7 m) r3 h( s6 N6 X
schedules and rosters as may be necessary to ensure the effective and
8 z t& `1 G5 U9 w0 s+ Ccost-effective supervision of the venues at all times during which it
1 d! s* W4 ^8 u( his in operation or needs to be in operation.
$ b2 N3 g u' @5 p; T0 g· To work with the Technical Director, when necessary, to ensure 1 D q8 r# r, ? w9 k% D
that an adequate and appropriate level of part-time staff exists to
" @: {, q; ~$ Z8 G1 n" ~facilitate the smooth operation of the venues and to ensure all
+ d1 F! N9 A9 C5 M* m5 brenters needs are met.. Z9 `1 h5 s* S- S/ e9 V& X0 E5 U
· To work with the Technical Director to ensure that the skills
5 U# p- Y. f0 @, k( @and attitudes of all subordinate staff are appropriate in light of
, t: v) i9 D! r9 H2 fthe roles they must perform. This includes providing adequate and : f" E0 m$ \+ |$ Y: N; _
effective training (and re-training) in all applicable and % f( Z) f8 C/ m% J$ I+ _
appropriate areas, and ensuring that the Policy and Procedures manual

· To work with the Technical Director to arrange staff

and direction of the Manager of Venues and Programming, concerning

· Working with the Manager of Facilities and Operations to ensure ) s& W' u7 A. t: h5 k7 ?7 z
the appropriate setup/tear down of each venue.2 l) }9 p2 b/ n( A) l
· Working with the Manager of Programming and Venues to ensure 2 a* O4 d& J( z+ I* b
that additional requests such as licensed receptions are arranged.

4. Overall Financial Performance

systems and processes utilized by or within the venues meet the
7 m) P) e0 u$ G+ q# U; Z# k7 Lappropriate standards, requirements and needs, and contribute in a
; S9 ^+ M1 p J' ]( Z- g. npositive way to the smooth operation and success of the venues. This

To provide input and expertise in the formulation of appropriate

Programming and Venues and to discuss and refine those budgets

· To manage the venues in a manner which adequately and effectively

the best interests of the venues and the Students´ Union.

`( ]* R# Y: C( w( l3 \administrative documentation covering the venues to be used in the
/ ]( G+ R* ^/ l9 {. ~9 Xcompilation of monthly and annual financial statements, and such
3 O/ L) @3 }: m+ \& W( u% {other reports as may be necessary.

% c; X+ s/ r2 m! t+ {0 |with all financial and administrative procedures, with the SU´s

Administration with a view to determining and implementing action
, y! T1 N8 d2 ?aimed at improving the financial and/or functional effectiveness of $ h) Q7 c( d# b0 {" q9 i# P$ ^

· To ensure the existence of adequate, effective and accurate job ^- p1 l& q9 d, a. ]( X$ ^
costing systems to be used in connection with the determination and 2 t! N6 N% b0 {! V8 G7 x j/ b
setting of appropriate prices for rental and staffing rates for * o3 |. v# G$ ~" x5 q+ r: Y6 A
events held in the Horowitz Theatre.
J) r0 A _: K. P @7 p' l# ?· To develop accurate documentation to be used in connection with
/ \0 b% j6 v5 Gthe billing clients, and to forward such documentation in a timely
) H* b2 h3 Q/ n# v5 ^manner to the Accounting Department.
' A: }3 j5 r6 K· To recognize, address and handle all matters relating to financial

5. Overall Roles and Responsibilities

needs, and contribute to the smooth operation and success of the

· To recognize, develop and set in place such rental procedures as
C2 L! j0 Q/ Z# b3 }" i4 u1 ~may be necessary to ensure the smooth operation of the venues, this
" Z, Z& L9 ?1 }# a0 _is to include but not necessarily be limited to systems and processes
7 f- O/ |: W$ u8 d4 ?9 [# _8 X& bin the areas of contracts, inventory management, contract evaluation,
* i: z5 V( e, |% d8 l5 y( b) a; Xpricing, costing, equipment usage, rental/contract invoicing,
9 e; E& l, k9 O: i- Ftogether with such other systems and procedures as may be necessary
' |1 `- t( W# H5 Y$ v7 X- z3 Pto ensure the smooth, secure, efficient, cost-effective and # @( k5 z" t+ V' t
functionally-effective operation of the Horowitz Theatre. d# y5 M) {0 u- B
· To recognize, develop and set in place such operational procedures
+ e! o r" H9 Y( [2 C* yas may be necessary to ensure the smooth, efficient and cost-
: S; D. h* @& \! j- d3 U Reffective operation of the venues.5 {$ a% U$ b, ?) Y! S0 ?% G
· To negotiate rental lease agreements (contracts) relating to
/ `! _. V- h/ s" Fdates, rates, staff and miscellaneous charges.
0 X$ z# j, {/ X4 o) _" r2 P; H$ U% f1 v· To ensure that adequate inventory is available at all times and & ]) M9 x+ Z! d( v
that such inventory is stored and issued in effective and secure ways.

particular event in the venues.
7 G' R; ^, H( C5 m/ h· To provide the venues on-site staff with such documentation and
& d- L3 C: q/ N. N4 w: zsupporting information as it may need to effectively fulfill the 5 M! n. a1 k) n5 L+ K! U1 t* \
roles they are to perform to ensure the success of the renter´s event.
1 a! p* u3 M. ]* H· To produce quotes in respect to staffing costs for a particular * R% S1 |* h/ Z1 [, I* L. E
rental with consultation with the Technical Director.
6 ~) g7 y7 {9 o' S7 n: O· To ensure that all queries raised with the venues whether from the
4 O: @% n" Z. Z" NSU or renters, are promptly and effectively handled and adequately % J4 i& C; C- y8 e. Y+ z
answered, and to ensure that such action as may be necessary in + F, G9 L+ {( S; R& m
follow-up to such queries is taken in a timely manner.
# S3 |: P5 ]2 }* C, I7 t# U) B+ I To ensure that the venues and its capabilities are adequately, , E: R- _, t! U$ b" Z% p5 h, `5 I& b
effectively and cost-effectively advertised and promoted, and that
* M6 H4 p6 L' Athe cost of such endeavors does not exceed the budgetary provision
4 y* T' P7 S% Z- @# D* I( Imade for them unless prior approval is given by the Manager of
/ Z1 A: @7 e# a3 G0 K9 jProgramming and Venues.8 M. k% S) Q; n8 P3 K
· To act as an informed and knowledgeable resource in the case of 2 }/ f( ~ ?8 H' N) g4 L& }
significant challenges and/or problems surrounding the tasks of

may provide such challenges and/or problems.

operation of the venues or the Students´ Union as a whole.

2) Supervisory experience.
