The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.5 j9 \! b: U" Q1 b1 q8 b; N) G
& |( [4 l' Q+ B8 R% j! y4 [4 cThis is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.

Job Responsibilities:

OPERATIONS- T$ q2 [( N& o/ ^3 n* D; g3 m
• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.* z. l n' ~8 ?, I' |
• Assist in development and implementation of policies and procedures for volunteer services.
4 v2 N- I3 K$ v1 g' h, \/ m- U# z• Maintain the volunteer files and update the database using Raisers Edge7 R q. H2 f. A7 H3 H
• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
' R' ]% y/ F7 M6 u• Develop and implement a comprehensive volunteer recognition program.7 h" B, t. m7 h
• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours./ m/ K Y5 G% h+ ~
• Identify and implement best practices in regards to volunteer development.
5 A8 b y. U" c0 N: p9 H- G• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities% b) R# b( \5 @* u5 m
• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required" v- g( X4 K2 V9 C) Q& r

SPECIAL EVENT PLANNING
! W. a. [; w f$ E" Y• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO
0 U* U( P& T) A0 a/ S• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

ADMINISTRATION
% r7 \( ?3 R0 s) Y8 X7 f• Develop and maintain job descriptions for each volunteer position% `( \4 a- {! D3 Q) g, r
• Maintain secure volunteers files in accordance with privacy legislation
; o. A9 H6 B$ ^6 r• Provide feedback on volunteers’ performance, as appropriate' O4 o1 l3 K0 ~# {: N
• Ensure Human Resource policies and procedures are adhered to within the department
! ^% p- G0 l# Y) p+ R) Z0 R• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
0 j. `. g. z, ]$ X& J5 {; }' N• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency2 [! X9 i2 h! ?9 l# t& o
• Develop resource and orientation materials for Volunteer Services
. h7 Y1 v% J( _+ A" z b" g7 }+ Y• Maintain monthly and yearly volunteer statistics for reporting purposes

• Ensure the program operates within approved budget and be familiar with potential variances; g3 n2 q8 K1 Y; V) x
• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

5 C( I H, _! RINTERNAL/EXTERNAL RELATIONS
1 X8 A3 _7 V5 p, B1 P" L' u• Act as liaison to the Y-Knit group of volunteers! e+ f2 C; l% W( e' V; v) l2 A! z' B. U
• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
0 l! }0 ~4 K# w4 ]9 e* {! Y7 V• Follow up with correspondence to outside agency volunteers as appropriate 1 [9 x+ r$ f. c# D% ^6 r
• Attend external functions such as volunteer fairs, trade shows, and special events as required! e J! k9 Q5 H+ l0 F5 r% o

• Minimum 2 years experience in Volunteer Coordination& u* [2 \3 s3 R" B
• Excellent organizational skills and multi-tasking ability T9 ?2 m0 T* T/ B$ ^- `
• Demonstrated superior volunteer supervision skills
9 a& z* u# \! b" L3 h1 \( c• Collaborative working style and excellent interpersonal skills

• Ability to work in a team-based environment, with cross-functional work teams on projects

• Knowledge of Raisers Edge software would be beneficial # P* i" q6 `' D# N; c/ D* ]
