The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.0 m+ k' D! t$ V2 C3 Q* s- f" A

This is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.

- S3 L& u2 U' K2 N9 v) _OPERATIONS
: q& q; s1 @2 T• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.. w# \; q% V" M/ n+ w
• Assist in development and implementation of policies and procedures for volunteer services.
3 m6 q1 X! b+ D/ _• Maintain the volunteer files and update the database using Raisers Edge
4 z$ v- r+ q0 T7 x, Q( r• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
& @6 P) s0 }& p# u, t• Develop and implement a comprehensive volunteer recognition program.
: R3 R$ u0 t- S/ }$ a/ B! T; o• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.
7 c" V4 d7 J C0 i• Identify and implement best practices in regards to volunteer development.
# p5 n) X; D8 e0 E$ `1 y• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities
: @& [2 K9 I# P. c8 i& \; V• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required' {8 `# U { _9 `8 T

3 p! `: [/ b# ]3 @7 E• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO
# J* v. ~7 a/ i- H, N• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

• Develop and maintain job descriptions for each volunteer position9 Z. i/ d# P5 n! |/ r% G) w* o
• Maintain secure volunteers files in accordance with privacy legislation
: Y6 \" Y6 e2 D; M( G; G% ?4 }• Provide feedback on volunteers’ performance, as appropriate
( b+ P* W3 J; @# O• Ensure Human Resource policies and procedures are adhered to within the department' _$ b% j. v2 K: }' Y) y9 B0 T2 v
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
$ k0 \9 ]" g& k: Q' \• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency
$ T! V, u0 l8 N! N• Develop resource and orientation materials for Volunteer Services) |; m# D. b" ?! _1 }2 D0 S
• Maintain monthly and yearly volunteer statistics for reporting purposes* r& F( k9 c; x! d, T" A! y
• Prepare a regular monthly program report

FINANCE
- a! N E4 y2 [6 s& L d' w• Ensure the program operates within approved budget and be familiar with potential variances# K b4 E; w$ |& r5 S. x
• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

/ V6 K! z3 E0 h+ c ^INTERNAL/EXTERNAL RELATIONS Q9 \7 x' K+ ^. F2 W4 D
• Act as liaison to the Y-Knit group of volunteers
+ l j8 h' H4 q( b0 P• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)9 m! t# }; B& {: X+ C
• Follow up with correspondence to outside agency volunteers as appropriate $ ?! S" l. U8 d. t; n9 r
• Attend external functions such as volunteer fairs, trade shows, and special events as required

Qualifications:

9 z5 y& k9 f4 ?' O0 V! f5 A' D; Z• Minimum 2 years experience in Volunteer Coordination
; k4 p1 |7 Q/ w; D• Excellent organizational skills and multi-tasking ability8 |& H. S5 I5 P7 U
• Demonstrated superior volunteer supervision skills
7 e1 Q! b# s4 C: V0 \% \, z• Collaborative working style and excellent interpersonal skills

• Ability to work in a team-based environment, with cross-functional work teams on projects
