Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

K- Z8 N* u( J* oCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

! o/ v% O5 m! Y0 L. c, `• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.7 e  C# n! ]8 E5 H0 `% l

+ e& H$ Q; r' O8 d0 C& x+ ^• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.+ B7 H7 g: c, T

4 `5 i3 {; S, G" {5 s3 Z; E• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.3 t  r6 G. ?( W4 e; |

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.8 c0 V& I) V! n; `

• Meet weekly with Program Managers to define priorities.( q/ p5 T, k# J" }

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

, r' ~0 ^, _/ M& k% g$ I: k• Manage mail outs for fund development or education purposes with support of Program Managers.

& Y; x0 j+ d& g% E: w3 @• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Compile information packages for fundraising and promotional purposes.

$ s( A! G8 ^; P% S. u3 e0 F! c8 }• Manage database and support distribution of print publications.

) b7 k' s0 I0 M- G1 q• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

4 W0 G  M4 M1 @# u• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.1 r7 P9 m- X' }5 s. m

Term:

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
