1 y9 \, M# ]( p3 r" c( g. iChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.4 K2 a" L5 T6 G

( @/ L. q  Q! k+ ?  B+ p3 V& HCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

2 M: `' o$ p, @* r$ v0 j* V* a• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

/ y, e- X4 G4 H9 T• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Meet weekly with Program Managers to define priorities./ P) r3 H# b0 d% x, n  [9 Z1 X% g  r

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.* ~. v* X$ @: O% f

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling./ w( D& o3 X+ B5 j: g! A$ t4 G" o; A

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources., U/ L8 g' z- Z. p4 G4 h7 r. ~

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.3 x3 \  B8 ^* O4 u

& j+ X7 x  J/ D/ }9 H+ y2 R5 [• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions# G6 N2 ?+ {6 T

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

: Q5 r, r# F- t$ G6 ?• Coordinate volunteers for some fundraising events such as Casino and annual sales events.7 e& X6 P, b5 J" K; Y

• Assist in administrative tasks related to donor recognition and event reconciliation as required.0 x. x- F& `" q2 I: a) F

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Term:

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
