Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.2 V, z2 A, S- h+ B+ [; Y" ?

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

4 Z2 |1 b1 Y6 y3 y• Complete data entry in various programs.5 ?; _8 |* q. W9 P! k

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.6 @" V' `' c. d% z7 S# E$ R/ D( r* _) ]

. i3 m. T5 d: {% s5 \4 e$ i+ w0 d• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

* ]  y2 Y3 T2 p• Meet weekly with Program Managers to define priorities.: Q# X( S* y, w0 a

% X" D4 w" `' z. g4 i8 x/ P• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

Key program support duties

• Maintain inventory of communication materials.2 Q* _( g, _+ w! w+ u) R

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

0 i. f  J2 k4 H9 z* [$ b( U% R• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.5 M0 e8 g* P+ }/ h; A8 R- Q% w

7 j( _) l# `. u5 K& i% c3 {• Support the management of requests for CFCA information and resources at public events.

! c* ]5 D1 B, r, G• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.) }+ `: i% l2 g! U+ b# b

• Provide logistical support for key fundraising events such as silent auctions. o- E6 W. Q- ^. ~; a* F

/ e, r% ^: q: M! x3 w0 \• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

. m. r( t! `3 s' r( M+ N/ V• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.1 W& q9 W( D) C( i: ^2 k

" X8 z: M8 n0 M! d. bSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

This position is Permanent part time (20 hours per week during regular office hours).

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
