Receptionist

The YWCA is recruiting a Receptionist. The Front Desk is the central point for internal and external communications for all departments, programs and events. A sound understanding of overall activity of the agency is essential. This is a position that requires strong customer service skills, as it works collaboratively with staff and volunteers to provide the best possible information and assistance.

• Greet and provide assistance to incoming visitors
7 V$ t# U1 Y' ^ {" n$ O- E• Answer multi line telephone system! o. h3 A/ L7 f- r5 k& Z$ Q
• Receive and distribute mail and deliveries
; t+ l" a- }9 o# L* x$ z• Arrange courier services for all departments
J( [9 b, f& H& t4 U7 ~- ^• Oversee Y-Knit program; provide support to its volunteers

Administration
) | O! s. U5 E% G4 r( l• Receive sort and distribute mail and packages; post outgoing mail. ^1 O8 c( b, r p
• Sort and distribute mail and deliveries
( @" j. B$ L4 J8 T6 G• Provide clerical support (e.g. word processing, data entry, photocopying, faxing, e-mailing, printing labels, mail-outs, and filing) to all departments of the agency * w E/ f' R% q& C3 j8 _
• Update and maintain databases as assigned, including those for Fund Development and Administration C% M4 k. ^& X2 T7 E; @+ o/ x2 ?
• Assist with task management for administrative volunteers % d4 p$ l% [9 i* I( O
• Create monthly staff bulletin and prepare for distribution
+ T- j* V$ N1 I Z• Assist Business department with weekly bank deposit and processing payments 9 ]' M# k* K. ]! ]# E
• Assemble and forward information packets as requested- |: D( l- v5 `

• Accept and process registrations for participants or attendees at various special events and staff training0 j7 J. d. t3 I3 L B M; X
• Process payments for ticket orders and registrations+ T) J8 r- f/ {6 P0 p
• Assist YoWoChAs Outdoor Education Registration as required

Qualifications:
! Y# _4 c! S( M5 Y: h' Y: [! G1 n# c8 W0 I# p% q; K
• Minimum 2 years office experience in areas related to office reception, and office procedures* l9 Q) d' D2 L
• Experience and proficiency in Microsoft Office including Word, Excel, and PowerPoint.
* h q# ~9 F6 ]& l$ r3 @/ b• Skill in Desktop publishing is an asset- G6 n8 G! C3 x
• Excellent verbal and written communications skills

• Able to interact in a positive manner with diverse population
