Receptionist

The YWCA is recruiting a Receptionist. The Front Desk is the central point for internal and external communications for all departments, programs and events. A sound understanding of overall activity of the agency is essential. This is a position that requires strong customer service skills, as it works collaboratively with staff and volunteers to provide the best possible information and assistance.

Reception
4 E6 `; Q S, v& b• Greet and provide assistance to incoming visitors
; `0 W+ X" l2 j9 n0 u; w• Answer multi line telephone system0 s; w+ r$ K R( h
• Receive and distribute mail and deliveries0 m5 P/ h: m/ a7 W' A H7 m# K
• Arrange courier services for all departments. o1 U6 s% o2 e i+ U* Y
• Oversee Y-Knit program; provide support to its volunteers+ }7 A5 i, }4 }. o
7 L2 z* v) c) B1 d N9 ?; v7 c" B
Administration
0 _. B7 R2 D3 E• Receive sort and distribute mail and packages; post outgoing mail
6 r8 L% c( e7 ~5 G• Sort and distribute mail and deliveries
- V7 H1 V3 U: |6 ]; e• Provide clerical support (e.g. word processing, data entry, photocopying, faxing, e-mailing, printing labels, mail-outs, and filing) to all departments of the agency $ U% V l8 z" V3 u
• Update and maintain databases as assigned, including those for Fund Development and Administration
6 ]; }8 _, ]' S- B# D0 \7 [• Assist with task management for administrative volunteers
. _7 E) g+ a/ Y- j• Create monthly staff bulletin and prepare for distribution6 \- }' N5 T' J8 }
• Assist Business department with weekly bank deposit and processing payments * U. E+ z8 ?# @: k5 f0 T% k. O+ I* {
• Assemble and forward information packets as requested3 X& L; g, R* T5 c

Qualifications:
& B0 n7 G! I6 g! | B6 f8 p$ K( x& T- R7 w3 w
• Minimum 2 years office experience in areas related to office reception, and office procedures3 ]# w; _" Z8 [# o' i* R
• Experience and proficiency in Microsoft Office including Word, Excel, and PowerPoint.$ m0 V+ [( W0 L
• Skill in Desktop publishing is an asset
/ z9 ?0 y# V3 n5 y- D6 V• Excellent verbal and written communications skills ( y7 @* u0 A! s6 R: a
• Mindful of need for accuracy, detail and discretion7 t2 b) i9 u8 S. e$ V; T
• Able to interact in a positive manner with diverse population0 a7 V# E6 t0 B) G: {7 F
• Strong customer-service skills
