The Operations Manager - Venues and Programming will operate with a  + W+ y& w" d& @* h4 x  e

& Q- s2 H1 ~$ u+ O/ qThe duties of the Operations Manager - SU Venues are diverse and  3 p3 T8 o. u: x1 ?" g4 M
extensive, and are targeted at the all round smooth operation and  7 w7 p& {5 l2 G; w0 f$ A
financial and operational success of the Horowitz Theatre as well as  
# p& v" {- L% a4 T$ gthe logistical organization and smooth rental of the additional  
6 }; n( t$ m) ]: @% t3 B3 {; dvenues within the realm of the Students´ Union.  In the light of that    W' K8 N! f/ t( s; k* G
breadth and complexity, it is not possible to fully define or  6 \2 H8 `# b% Q8 U
describe all roles and responsibilities in a document of this kind.   * E9 \( y7 {, ?
However, the main roles and responsibilities of the Operations

1.        Space Roles and Responsibilities

9 u" s' i& A, q1 y5 s& Aa.   To ensure, at all times, that the venues listed below meet the  
. F) ~) G! A0 c- w7 \3 Fappropriate standards, requirements and needs, and contributes in a  
5 Z" b  ?  a' h& ~, Spositive way to the smooth operation and success of the individual  
' ^2 \! f% X4 S1 X8 Z3 Nrenter.

·     To plan the capital and supply expenditures to meet the

) `  j" P- P7 ~; q; t) S1 W2.        Marketing and Promotion
* f* c" `& @) H; H1 j3 I) l" S4 O/ E' w/ U
a.   To develop and implement a marketing plan for the venues that  " `- x% E3 V9 X
focuses upon advertising and promoting the venue to faculty,  
, D, }' c; W3 W9 A1 p- r0 Nstudents, and internal and external clients on an on-going basis.  
" N5 j6 j0 i3 Y* \: W- h+ XThis strategy will include implementing and/or delegating the following:" G2 Y- b( s' v9 p4 P1 m; I
·     To develop and maintain promotional materials, the Horowitz  
+ b: e4 e2 B* M7 o: JTheatre and SU Venues home page, newspaper and other advertising; to  5 c% h7 t" Z3 k0 I# |! e
take advantage of other internal and external advertising  
4 v# B! @$ m/ b8 fopportunities; and to develop press releases and other promotional  
2 c: \& T7 T% Gliterature on an ongoing basis.8 _$ P- }, F* W  k# p! \
·     To coordinate tours of the venues for potential renters.9 A+ o, d" j, f- l: l0 j  Z
·     To promote upcoming events in the Horowitz Theatre through the  
, j0 W) O8 r4 s! Juse of the Horowitz Theatre Home Page and the SU Events Calendar.6 m) j& n  F& b) G# E2 K- P
·     To develop new external clients for the venues.

3.        Staff and Supervisory Roles and Responsibilities
, q; w& y' A0 l0 e, _% z6 o. c% J5 t2 v# z# l* `5 T( n
a.   To ensure, at all times, that the venues are adequately and cost-
4 c) |. \  W9 l' q* [effectively staffed, and that the staff utilized by or within the  $ Y, q- `0 S2 b6 _  E/ D3 v
venues meet the appropriate standards, requirements and needs, and  9 B7 ^4 l: W! s; H1 Y
contribute in a positive way to the smooth operation and success of  . Z# L7 I# r+ t2 G5 f9 a
the renter´s events. This includes, but is not necessarily limited  
  p; Z  w  W$ |+ u2 v& }to, the following:
7 ?2 ?5 I% S2 L! C: G1 E·     To be responsible, under the direction of the Manager of Venues  
6 S1 E& C2 f7 ?% O) d3 ~( Sand Programming, for all staff issues including hiring, disciplining,  
+ d  j: x) q. E" A8 K; ~$ |evaluating and terminating, as necessary.' N/ z3 v2 S: f5 b/ |
To ensure that the Horowitz Theatre is adequately supervised at  5 p- Q' |( `* e6 }3 w3 q# X
all times, this includes the development and implementation of such  
7 w0 j  Q) C# t, z) I- jschedules and rosters as may be necessary to ensure the effective and  ; N7 ~, C; I2 q
cost-effective supervision of the venues at all times during which it  
' ?+ j* ^2 ?' Y  f# z: Fis in operation or needs to be in operation.
& p; x# m+ |+ T·     To work with the Technical Director, when necessary, to ensure  , `8 B. y0 ?' a# C3 w& r1 v9 p
that an adequate and appropriate level of part-time staff exists to  ) x* e; O0 X; \/ R% U2 n
facilitate the smooth operation of the venues and to ensure all  
1 P) E& O, A4 w8 _! e( V; x+ E" Yrenters needs are met.% s1 ^6 {9 {& n8 P* |
·     To work with the Technical Director to ensure that the skills  
1 F7 f4 M4 i  c/ Iand attitudes of all subordinate staff are appropriate in light of  
" d" ~2 `* L1 T/ G; ~the roles they must perform. This includes providing adequate and  
7 ?2 h+ g5 j8 B5 Reffective training (and re-training) in all applicable and  " K" m  F3 \* C
appropriate areas, and ensuring that the Policy and Procedures manual  " u/ g% l2 S! z, H) h; ?3 `/ j$ \
is kep up-to-date at all times.
! d) x. \$ a' A. {+ W  z·     To ensure all staff are trained in and committed to providing  % E! v/ a' ~6 P. W$ u9 C1 d
excellent customer service to all renters.
. O, p& K8 n8 }6 V: ?3 p·     To work with the Technical Director to arrange staff  3 d* b: J2 g) X3 z' y: c0 Q5 o
scheduling.  To handle payroll related matters, under the guidance  . M* N. W+ z- Q
and direction of the Manager of Venues and Programming, concerning  4 o, V- K! P" @  m
the staff of the venues.
* G5 q5 ~3 I2 @5 h. R1 H·     Working with the Manager of Facilities and Operations to ensure  " l6 ?* w0 p; g2 C' K
the appropriate setup/tear down of each venue.( N5 E) G5 u. b& J
·     Working with the Manager of Programming and Venues to ensure  $ S- \4 D) H% O0 P# |% F- @
that additional requests such as licensed receptions are arranged.

a. To ensure, at all times, that the Financial and Administrative  
7 O% {/ m; Z  Q3 R6 r" q5 }3 |systems and processes utilized by or within the venues meet the  
/ H4 c: f% q9 J, r8 p5 ?8 P4 aappropriate standards, requirements and needs, and contribute in a  
: h( \+ b3 @0 ?* @( ?positive way to the smooth operation and success of the venues. This  : q) o: M( {& n& @, _
includes, but is not necessarily limited to, the following:
/ t# c1 m  D" @* D" y1 x! x To provide input and expertise in the formulation of appropriate    F1 D6 ?; H. ?
operating budgets covering the venues to the SU´s Manager of  * y& I* m  v/ d# n
Programming and Venues and to discuss and refine those budgets  2 [! a) K, G8 q) H9 T' _1 [- @
Manager of Programming and Venues, and Manager of Finance &  & y' E% ?# x6 Q5 O2 m
Administration prior to their submission for final approval.
8 b2 A3 j" f1 R$ B1 U+ B( H·  To manage the venues in a manner which adequately and effectively  
2 I+ |0 [1 H7 {5 e6 g6 Freflects the budgets approved for the venues and/or which reflects  6 c5 J3 k" a1 v! T, \% t$ k
the best interests of the venues and the Students´ Union.8 P8 a- c% D3 e* q4 R
·  To function as the key player in the submission of financial and  
5 O5 B6 y5 [( f) eadministrative documentation covering the venues to be used in the  
. s7 g9 [2 W/ v4 G6 l( R% dcompilation of monthly and annual financial statements, and such  5 |" g- p3 G) g) n/ F( m
other reports as may be necessary.
' E, I% I0 |+ I9 O! c" k% q# W·  To discuss those financial statements and other reports, together  6 D/ T* k, l6 {% g& p# ]+ @! u
with all financial and administrative procedures, with the SU´s  ) a- j2 l! z/ g1 P
Manager of Programming and Venues and Manager of Finance &  
: E* m, ?9 h, b- e" SAdministration with a view to determining and implementing action  , G1 t* Y5 A3 m7 f  e0 M
aimed at improving the financial and/or functional effectiveness of  
: H7 N3 a1 F6 X6 o/ p  l; nthe Horowitz Theatre.
9 D2 M8 U! B* f7 I·  To ensure the existence of adequate, effective and accurate job  
0 `: a( ?7 p+ B% Bcosting systems to be used in connection with the determination and  
- O" e) m, O7 G5 p& p% Usetting of appropriate prices for rental and staffing rates for  + F& g: K& {- D' p$ k
events held in the Horowitz Theatre.5 v: m& }; V. Z$ A5 O! P
·  To develop accurate documentation to be used in connection with  5 q, Y2 i2 a. J  E( K9 P
the billing clients, and to forward such documentation in a timely  * U2 M3 x5 @0 F2 h
manner to the Accounting Department.7 y" d$ k: J3 Y! @" Z4 c- q0 U
·  To recognize, address and handle all matters relating to financial  
6 p+ p8 e3 ?- U5 xand administrative procedures and systems in a manner which reflects  
. B1 t, O( m9 \1 Ithe requirements of the SU´s Manager of Programming and Venues and  
# Q9 y' L6 _( c  l! B. }Manager of Finance and Administration, and in a manner which  
) {3 z$ r) s. I* U$ \" d3 @' ycontributes positively to the smooth operation and success of the  : J# c; a8 T) Y3 y, Y( [9 _
venues.
) G- M/ z% W6 d1 f6 R  }7 {0 W! v# X( A( v$ h; T+ F0 q
5.          Overall Roles and Responsibilities
$ s; S6 b, Z! G1 S' Sa.   To ensure, at all times, that the systems and processes used in  0 |$ X- p; _: z2 Y- p: w2 ~5 X* ~
renting the venues meet the appropriate standards, requirements and  
9 S+ x% ~9 [7 h* A& c3 B4 v* yneeds, and contribute to the smooth operation and success of the  
; t! y4 ]& g% b2 o' k' ^" O, }venues. This includes, but is not limited to, the following:

+ D! ^! Y$ C5 C& C·  To recognize, develop and set in place such rental procedures as  
  c5 u* |7 h5 m- d. xmay be necessary to ensure the smooth operation of the venues, this  , {. j7 `* w" Q- J- ]6 r! X$ N1 v
is to include but not necessarily be limited to systems and processes  2 v& \, c, |4 i+ q8 d5 F1 U3 \: q
in the areas of contracts, inventory management, contract evaluation,  
$ Z% D$ h& C: U2 i1 {( l& |pricing, costing, equipment usage, rental/contract invoicing,  
: D% y  x$ ?. D0 r& t4 t/ ~together with such other systems and procedures as may be necessary  
: P* r% I- H2 x5 B% `; mto ensure the smooth, secure, efficient, cost-effective and  % \7 f3 ?( M8 p, _
functionally-effective operation of the Horowitz Theatre.9 K0 U& ?. b, v8 ?: Y% m
·  To recognize, develop and set in place such operational procedures  
/ u! C: H* W, q0 Ras may be necessary to ensure the smooth, efficient and cost- ! E1 ]/ w* ~0 i4 m2 o- L3 q: @
effective operation of the venues.' B' O2 q! h+ E! k
·  To negotiate rental lease agreements (contracts) relating to  
' M% N2 x' D  o! H. F' Z( A7 Xdates, rates, staff and miscellaneous charges.& v# Z' l/ m1 k  o/ M; N- b
·  To ensure that adequate inventory is available at all times and  
' c0 C; ~; o5 J1 e- \& R4 Nthat such inventory is stored and issued in effective and secure ways.
; N. }, E: u, N·  To consult with renters as to facility issues in producing their  
, @2 ^2 M0 R7 U2 y3 dparticular event in the venues.
! p, }7 g3 X3 c( c# g! m% ~* h3 ^  l2 u·  To provide the venues on-site staff with such documentation and  $ n2 [" y% u7 A* `8 \% u6 x
supporting information as it may need to effectively fulfill the  
* n; i/ h6 ]2 ?7 @, H4 X5 Rroles they are to perform to ensure the success of the renter´s event.) y( ^/ m1 V) o3 v! D) |6 F6 f% f
·  To produce quotes in respect to staffing costs for a particular  " n; e: u+ x- a: k: q2 m# U
rental with consultation with the Technical Director.
) C# f( W! j8 L5 p. W) Z·  To ensure that all queries raised with the venues whether from the  
* f5 v( K- U# e. p# C9 L# vSU or renters, are promptly and effectively handled and adequately  
. k$ p( ?0 w' f" `% tanswered, and to ensure that such action as may be necessary in  
9 L& D- [; V3 i( P; w) W2 l$ ifollow-up to such queries is taken in a timely manner.
/ b$ ?: u! i: n& G* h; w  x: I0 ~* C To ensure that the venues and its capabilities are adequately,  3 N+ U5 q4 Z8 i; @' G% X
effectively and cost-effectively advertised and promoted, and that  
1 a% i& K4 o4 E' H$ B9 U9 Zthe cost of such endeavors does not exceed the budgetary provision  8 Y7 B; {% _! C% M
made for them unless prior approval is given by the Manager of  * v6 U* d4 N  @2 m. e( [
Programming and Venues.1 |% ~" _) _9 O! A+ B% C
·  To act as an informed and knowledgeable resource in the case of  6 v; p  m* n: ~  n( }  y0 M' z
significant challenges and/or problems surrounding the tasks of  
2 V% c* y( ~& x% g' i# [marketing, administration, operations, and any such other matters as  
: p" d3 B" A) w4 {may provide such challenges and/or problems.& G3 Q' y7 Z5 e. \- {
·  To attend such meetings as may be required to support the smooth  + ^/ Z5 b& k3 T; S
operation of the venues or the Students´ Union as a whole.
! l0 Y8 X5 `3 ]·  To perform other job-related duties as may be required by the  4 o; l  k9 i! V4 w
Manager of Programming and Venues in order to ensure the smooth and  9 D% p' U0 h6 }7 z. G

·  To recognize, address and handle all matters relating to overall  
; Q7 o- B" S) t0 V9 C, B1 R+ ooperations in a manner which reflects the requirements of the SU´s  ( f2 ~! A' D  e3 g5 }; I
Manager of Programming and Venues, and Manager of Finance and

1)             Minimum two years related post secondary education, or  ( L# d$ k8 B& R% _/ j6 Y7 g; j) |
an acceptable combination of education and experience.
* e% ]/ p0 F2 w* r* }2)             Supervisory experience.
