The duties of the Operations Manager - SU Venues are diverse and % n- E: h" q- l+ h
extensive, and are targeted at the all round smooth operation and 1 e% }7 A5 l# Q) m
financial and operational success of the Horowitz Theatre as well as ! K c; y% k( j6 w: I/ Q) f4 ^, }5 |
the logistical organization and smooth rental of the additional
( ^) c# C' Q' @% i% Vvenues within the realm of the Students´ Union. In the light of that

2. Marketing and Promotion

focuses upon advertising and promoting the venue to faculty, , x2 z2 Q7 Y4 y4 k
students, and internal and external clients on an on-going basis. ' \, `& }! _7 U) j5 [1 _* }
This strategy will include implementing and/or delegating the following:( W) b3 l. b: N6 p( P: N, S0 Y
· To develop and maintain promotional materials, the Horowitz ( N3 {6 r G, ?
Theatre and SU Venues home page, newspaper and other advertising; to ( @! z8 W: r* y5 X5 b5 N4 a! a
take advantage of other internal and external advertising
5 _0 m) y/ m! w' z, nopportunities; and to develop press releases and other promotional 3 B7 Y$ ]) X( u9 g3 @( r9 s; Q
literature on an ongoing basis.
: o/ C' \7 z7 s" Z8 E/ G1 ]: ]$ d) s9 X· To coordinate tours of the venues for potential renters.
$ E" X- `/ i2 a- o3 r U· To promote upcoming events in the Horowitz Theatre through the

· To develop new external clients for the venues.

3. Staff and Supervisory Roles and Responsibilities

a. To ensure, at all times, that the venues are adequately and cost-
7 r- e+ v$ c; E4 ?; Qeffectively staffed, and that the staff utilized by or within the
8 q9 }" u5 k" {& Vvenues meet the appropriate standards, requirements and needs, and + Y3 O0 X/ ^ Y
contribute in a positive way to the smooth operation and success of
7 u% u. T# d6 Uthe renter´s events. This includes, but is not necessarily limited
' E: e& R0 S9 Ato, the following:# H. {( y# t# F8 Y/ `
· To be responsible, under the direction of the Manager of Venues : m6 p. U) D. C- \; ]% R
and Programming, for all staff issues including hiring, disciplining, ( N P# a, @% R7 w0 z
evaluating and terminating, as necessary.& `& |$ W3 A% L0 J1 ~+ o4 y, s
To ensure that the Horowitz Theatre is adequately supervised at 0 r6 y% U! `, d6 G$ d" ]8 F: _
all times, this includes the development and implementation of such 6 [& b! E( t# G% _3 z' x
schedules and rosters as may be necessary to ensure the effective and 9 I/ g5 v" e& g
cost-effective supervision of the venues at all times during which it
7 d4 _7 A) Y/ p- `2 Ais in operation or needs to be in operation.
- k7 E# z( b. g: `' B- t+ A· To work with the Technical Director, when necessary, to ensure
6 U9 O1 l4 Y( ~$ c' Zthat an adequate and appropriate level of part-time staff exists to
$ s9 w, I+ {# s7 S- @7 Lfacilitate the smooth operation of the venues and to ensure all

· To work with the Technical Director to ensure that the skills
6 y% \/ @$ P+ ?: L0 \! uand attitudes of all subordinate staff are appropriate in light of

" {5 Q, u2 n" d, \effective training (and re-training) in all applicable and " N) w4 X' L9 e% t% m9 d
appropriate areas, and ensuring that the Policy and Procedures manual

· To ensure all staff are trained in and committed to providing

scheduling. To handle payroll related matters, under the guidance : @. v( l# f& g% K# ~
and direction of the Manager of Venues and Programming, concerning

4. Overall Financial Performance

appropriate standards, requirements and needs, and contribute in a
4 l. p$ \& z" \$ b% w' `positive way to the smooth operation and success of the venues. This
. U, n$ C* p: u' B7 dincludes, but is not necessarily limited to, the following:

& e+ H8 F0 s4 ^; c J4 O9 BProgramming and Venues and to discuss and refine those budgets

· To manage the venues in a manner which adequately and effectively

· To function as the key player in the submission of financial and

& h: a# v3 K$ g# E$ y0 ?costing systems to be used in connection with the determination and # J- K9 J6 W* r9 i, @. K2 k3 a
setting of appropriate prices for rental and staffing rates for 9 s% e2 v; F8 Y$ s
events held in the Horowitz Theatre.% \! q# @- p7 ]+ b6 @
· To develop accurate documentation to be used in connection with 6 L) r4 O8 j8 C1 l" C. Y$ [+ e2 b; k
the billing clients, and to forward such documentation in a timely

· To recognize, address and handle all matters relating to financial

the requirements of the SU´s Manager of Programming and Venues and 3 L" y q/ G8 ?# F% ^
Manager of Finance and Administration, and in a manner which + \2 v- z# j) P) H" j
contributes positively to the smooth operation and success of the ( W: `- T+ O i( _+ J
venues.

5. Overall Roles and Responsibilities. {% ] F- {! B- ]% b" I7 j
a. To ensure, at all times, that the systems and processes used in
- }) E! Y' ~1 c3 \+ l* ]& J7 Urenting the venues meet the appropriate standards, requirements and
) _$ F" L, G! i5 \needs, and contribute to the smooth operation and success of the " y/ R( u3 E: R1 q1 U- Z' }) o8 g- E1 R8 Z
venues. This includes, but is not limited to, the following:

· To recognize, develop and set in place such rental procedures as 8 |( M+ z3 n' T% n y
may be necessary to ensure the smooth operation of the venues, this
: w) \. p' Y4 v8 r! G+ sis to include but not necessarily be limited to systems and processes
# n# J9 @# s- g1 ^in the areas of contracts, inventory management, contract evaluation, % H" O6 G# {) T; J: X3 ?- i" B& E" k
pricing, costing, equipment usage, rental/contract invoicing, ! e8 I1 H |2 R4 c# H6 k
together with such other systems and procedures as may be necessary ) K7 o3 |' X( r* G' d8 _
to ensure the smooth, secure, efficient, cost-effective and
t+ x( Q. `1 s; L( D0 Yfunctionally-effective operation of the Horowitz Theatre.

as may be necessary to ensure the smooth, efficient and cost- 9 U, l9 o) U6 Q) p3 t1 w
effective operation of the venues.1 G- t/ @% e5 H, O
· To negotiate rental lease agreements (contracts) relating to & [0 P& d6 ^5 E Z. {3 |
dates, rates, staff and miscellaneous charges.
+ `1 k# f. l1 o6 l, f) t1 h* W- S6 Y· To ensure that adequate inventory is available at all times and
# W" F7 v" r( y0 I [: W" l7 n8 Mthat such inventory is stored and issued in effective and secure ways." J. |2 D& `6 r0 g6 q# ~ F. R
· To consult with renters as to facility issues in producing their / J7 ?6 p/ E. }2 W8 O x* ]

· To provide the venues on-site staff with such documentation and & M; c$ W2 b& |1 F
supporting information as it may need to effectively fulfill the ( X5 v4 ~! b F/ `
roles they are to perform to ensure the success of the renter´s event.5 I$ ~ r. m4 }" z# k+ x
· To produce quotes in respect to staffing costs for a particular
6 \& e. J5 F2 {+ Q, S$ jrental with consultation with the Technical Director.: I3 @( P" {& {3 M' Z+ W9 ~
· To ensure that all queries raised with the venues whether from the - ?$ v0 \! }+ q4 X' j7 d7 k
SU or renters, are promptly and effectively handled and adequately 9 o2 C# \# E$ [
answered, and to ensure that such action as may be necessary in
F' x; K2 o, ^9 E) z' @9 x f) Afollow-up to such queries is taken in a timely manner., K R0 d. B% k# P$ ]7 A
To ensure that the venues and its capabilities are adequately,
3 w9 p! `$ _" q) K' U8 Seffectively and cost-effectively advertised and promoted, and that . m! S/ m) c# \ S
the cost of such endeavors does not exceed the budgetary provision : E9 H) X/ p$ b! H: @$ T
made for them unless prior approval is given by the Manager of 6 Q& Q# k A3 K6 b5 ?9 Q

· To act as an informed and knowledgeable resource in the case of 1 R- B1 v% J& p, i- f* b1 F' N
significant challenges and/or problems surrounding the tasks of . G0 y, @ z; B
marketing, administration, operations, and any such other matters as

· To attend such meetings as may be required to support the smooth
