( N. _2 C+ a% l5 }  ?The duties of the Operations Manager - SU Venues are diverse and  ( @1 N9 M$ Y- G0 a* S
extensive, and are targeted at the all round smooth operation and  9 A0 m* g9 Z/ U. U& X4 a' O  v- N
financial and operational success of the Horowitz Theatre as well as  . j5 h. a# _$ S' \3 P+ ^0 ]8 ]+ P
the logistical organization and smooth rental of the additional  3 @* n: I1 y8 @+ l0 v
venues within the realm of the Students´ Union.  In the light of that  
4 t' [% d$ X4 vbreadth and complexity, it is not possible to fully define or  3 \0 D% K. S( R) H/ B
describe all roles and responsibilities in a document of this kind.   5 s5 W+ v+ R  x
However, the main roles and responsibilities of the Operations  
- s4 \2 q, o3 i, [  N6 PManager are as follows:

a.   To ensure, at all times, that the venues listed below meet the  
( L9 z$ E+ q# v! O" jappropriate standards, requirements and needs, and contributes in a  $ {8 ~- L" V% D  B2 \! |
positive way to the smooth operation and success of the individual  
. p4 E" a% j/ P8 r2 I# Krenter.! r# z& p% U1 s1 q
·     Myer Horowitz Theatre
0 K, ]- m8 o) C# |+ p" H·     Dinwoodie Lounge
% P! k7 J+ N7 P- W; E4 P7 Y! g·     SUB Stage

' Y# F3 P! I0 P) Ib.   This includes, but is not limited to, the following:3 y2 \) H. r0 X: |8 a
·     To plan the capital and supply expenditures to meet the  ' X$ t4 ]( C& N0 p' L8 O
production and facility requirements.
' r2 k, I8 w5 l( W7 w' y·     To ensure the day-to-day compliance of the venues with existing  
* ~/ |: M3 M6 y$ j3 m& }; ^safety regulations and building policies.

. Q0 D& z5 c1 C8 F3 J2.        Marketing and Promotion# W  ^$ e2 c! y( ?$ M6 j

a.   To develop and implement a marketing plan for the venues that  
( a" ~# l+ c5 \; @focuses upon advertising and promoting the venue to faculty,  # d0 s2 v7 i/ L. t  w
students, and internal and external clients on an on-going basis.  & i, O/ p8 G9 W$ T# e5 S, g
This strategy will include implementing and/or delegating the following:6 M) R& ^  f; `$ \- {9 m  T
·     To develop and maintain promotional materials, the Horowitz  
7 J/ s# P# g4 }9 Y; r$ PTheatre and SU Venues home page, newspaper and other advertising; to  
' u9 E, Z' H" ztake advantage of other internal and external advertising  . q/ {0 i! h" E- ~% c/ \; L0 l( Y# @
opportunities; and to develop press releases and other promotional  4 ?  w5 ~( z% j( l& S: @
literature on an ongoing basis.
' U7 O8 N$ J( N4 F·     To coordinate tours of the venues for potential renters.3 D9 ~& I) Y9 j
·     To promote upcoming events in the Horowitz Theatre through the  
6 f& P" r! {8 z3 {use of the Horowitz Theatre Home Page and the SU Events Calendar.
3 i: @( D( x! N' y5 f5 B·     To develop new external clients for the venues.$ u0 ]/ k2 r/ I) B, ^

4 t5 {, b4 j& E2 I5 I7 _3.        Staff and Supervisory Roles and Responsibilities. V) ?- H4 O) A

, P9 R, e4 s' ~, ya.   To ensure, at all times, that the venues are adequately and cost-   G% z8 {- a; |% h) X
effectively staffed, and that the staff utilized by or within the  : c* Z# s4 x! F) F
venues meet the appropriate standards, requirements and needs, and  % E1 P! J2 j- A2 E+ G
contribute in a positive way to the smooth operation and success of  $ `, E9 A8 q. j  ?) L5 f  R
the renter´s events. This includes, but is not necessarily limited  
/ l0 D: U: m  T2 f6 xto, the following:9 E" `6 A( H' n% @
·     To be responsible, under the direction of the Manager of Venues  3 K% k: Z1 T2 S, V5 ~
and Programming, for all staff issues including hiring, disciplining,  
+ R8 x3 \8 G$ E" M& U- R1 O+ q: jevaluating and terminating, as necessary.
) z3 E3 X# X: N2 ~0 H( Q9 u To ensure that the Horowitz Theatre is adequately supervised at  
) ]8 s1 L7 b: V9 d9 k5 f3 l( a- mall times, this includes the development and implementation of such  % @6 z0 q" a& ~- h
schedules and rosters as may be necessary to ensure the effective and  8 ]) l: U. }4 L* x  a* r+ U
cost-effective supervision of the venues at all times during which it  
3 w$ D9 Q/ j( D2 G9 a3 iis in operation or needs to be in operation.
/ K* s3 y! K! E9 R$ n·     To work with the Technical Director, when necessary, to ensure  , v2 X# L: O4 F' Q8 {4 @5 d2 J+ {
that an adequate and appropriate level of part-time staff exists to  5 M% c- H1 w. t; d* R- w9 i
facilitate the smooth operation of the venues and to ensure all  $ m: A2 a) X% {) b& L2 P3 z2 d- y
renters needs are met.! [/ u; ?$ n/ M" ^# b( m0 E
·     To work with the Technical Director to ensure that the skills  
- y" o2 f3 v( Vand attitudes of all subordinate staff are appropriate in light of  : ^! O6 n* J* C$ @7 Y* s" F+ n# i
the roles they must perform. This includes providing adequate and    Q9 i$ v" a% E# a3 r' C7 X$ b
effective training (and re-training) in all applicable and  
: h1 X* |: P1 x: ^. ^! X' Sappropriate areas, and ensuring that the Policy and Procedures manual  % y; ]* p5 T4 y) o8 K( n
is kep up-to-date at all times., m% q+ P) L) `
·     To ensure all staff are trained in and committed to providing  % A! H' I9 ^; C# K8 Q
excellent customer service to all renters.
, t& X1 c7 O7 u! n6 i5 e. `& m·     To work with the Technical Director to arrange staff  % R/ ]  ~  V, Z; x: c# y4 k
scheduling.  To handle payroll related matters, under the guidance  * k8 G; x2 @5 T& W2 d
and direction of the Manager of Venues and Programming, concerning  
/ Q# w  y6 b& Ythe staff of the venues.' I/ R* J5 v3 r, s# u3 Q5 f
·     Working with the Manager of Facilities and Operations to ensure  7 h3 M! t8 m% k2 ?5 b
the appropriate setup/tear down of each venue.
. w0 C, g, u8 N- f9 g. V·     Working with the Manager of Programming and Venues to ensure  9 u: f( w0 r; ^4 |; N% b0 A4 w
that additional requests such as licensed receptions are arranged.2 y: J- ]4 _* g! C

a. To ensure, at all times, that the Financial and Administrative  
- }8 A/ ~; n9 V% t' ?+ tsystems and processes utilized by or within the venues meet the  
4 f; S: V# f1 Z8 V( Aappropriate standards, requirements and needs, and contribute in a  7 J4 K8 S: O' x, S) ]
positive way to the smooth operation and success of the venues. This  - I8 a+ w$ Q( p
includes, but is not necessarily limited to, the following:$ J4 s) B. {' W  D5 b
To provide input and expertise in the formulation of appropriate  8 N. u* n8 i+ d
operating budgets covering the venues to the SU´s Manager of  
- X" e$ j2 T4 @  X' |- v5 {Programming and Venues and to discuss and refine those budgets  $ O* P1 J+ p( p% @. E2 ^/ g
Manager of Programming and Venues, and Manager of Finance &  0 i+ D0 A! Y! t! D
Administration prior to their submission for final approval.
, U6 M/ l: a6 J3 a' X8 y% @( m·  To manage the venues in a manner which adequately and effectively  
/ D( l# b/ }  P0 b/ hreflects the budgets approved for the venues and/or which reflects  
8 p& q/ G# X$ Y  f/ c% T" f/ ?the best interests of the venues and the Students´ Union.% v* g; x; @: @
·  To function as the key player in the submission of financial and  
. f- A- p0 h2 u4 k! _! z  madministrative documentation covering the venues to be used in the  . P, H1 ^7 E0 {  n4 P
compilation of monthly and annual financial statements, and such  
: f' s0 D7 v0 X1 rother reports as may be necessary.
' s  ^& w3 l; t·  To discuss those financial statements and other reports, together  # Q$ Q. N% g$ R
with all financial and administrative procedures, with the SU´s  
% E+ }$ ~% J4 z2 `5 z7 X" i; fManager of Programming and Venues and Manager of Finance &  
( u& @( |/ S% z' dAdministration with a view to determining and implementing action  ; f& L: S. B# l6 K
aimed at improving the financial and/or functional effectiveness of  . `9 V; f: R+ D: @% E, Y
the Horowitz Theatre., U. e5 Z% l9 v! n! ?4 M+ o
·  To ensure the existence of adequate, effective and accurate job  
* k: l" s1 s* x, ecosting systems to be used in connection with the determination and  
0 L1 o# J, e" h9 Y: M# T; [setting of appropriate prices for rental and staffing rates for  
- s+ ?6 h+ h2 o, q- devents held in the Horowitz Theatre.
, i6 F) D3 r2 }3 v·  To develop accurate documentation to be used in connection with  
# H' r' ^1 b! [0 F' S% M/ M* ~& Gthe billing clients, and to forward such documentation in a timely  9 N$ A) t% ~8 i3 @
manner to the Accounting Department.
4 t: g8 J  K2 n  n$ m: p) x·  To recognize, address and handle all matters relating to financial  : O% ^% Z. I# n3 {: y
and administrative procedures and systems in a manner which reflects  8 s. d6 t/ D8 V" R" V6 i" h
the requirements of the SU´s Manager of Programming and Venues and  ( f  `4 k, @: F, X* i, i! U2 |
Manager of Finance and Administration, and in a manner which  3 i! O0 O3 v/ [" \2 l+ c
contributes positively to the smooth operation and success of the  & C* ]: [, ~0 i. {# j& @2 @- ^
venues.% `9 E) w' p% A' s* @) b$ m1 P2 K( s* g# u
, ~# C. R' j/ r5 I0 k7 b
5.          Overall Roles and Responsibilities
6 A: b7 x: v0 y/ ~8 _a.   To ensure, at all times, that the systems and processes used in  / ]: G/ z) t: i* h
renting the venues meet the appropriate standards, requirements and  1 c& n8 x' |% X, p: |2 j( {
needs, and contribute to the smooth operation and success of the  
0 T( ]3 D9 {1 hvenues. This includes, but is not limited to, the following:
" l, a  R" q4 ?6 @, I  r! g( ^- f8 X
·  To recognize, develop and set in place such rental procedures as  4 l  l# ~7 }; s1 K
may be necessary to ensure the smooth operation of the venues, this  / z0 n5 x; a; Q/ }- F+ ]
is to include but not necessarily be limited to systems and processes  
8 w$ l; Q( M5 z- X2 r4 _4 ?in the areas of contracts, inventory management, contract evaluation,  $ |8 W/ ~2 _0 ?% B2 T
pricing, costing, equipment usage, rental/contract invoicing,  / @2 L% M2 S" P5 g) N9 W! |! B( ^
together with such other systems and procedures as may be necessary  
6 u; d# U. U  L3 ito ensure the smooth, secure, efficient, cost-effective and  
6 I' _# z2 ?8 @; l9 L0 W% {functionally-effective operation of the Horowitz Theatre.( ]) }6 Q; f1 K; e6 }7 P6 l
·  To recognize, develop and set in place such operational procedures  
5 }$ d/ u/ b0 W6 t1 _% ]as may be necessary to ensure the smooth, efficient and cost- 5 d: D5 x3 V3 M9 E3 j
effective operation of the venues.
" v) j* M" i# ~7 A0 n·  To negotiate rental lease agreements (contracts) relating to  
& `. h/ J  Y3 y& c. w+ e: [dates, rates, staff and miscellaneous charges.) k; _/ H. G- _2 ]. l( g
·  To ensure that adequate inventory is available at all times and  : [7 X, Q1 {/ \3 |6 ~
that such inventory is stored and issued in effective and secure ways.4 P; F" a7 _6 s+ L& }8 _
·  To consult with renters as to facility issues in producing their  ) w4 d* ]; @5 c! P& p0 z2 K3 C
particular event in the venues.  m0 Y- k% c3 l+ W( m3 c
·  To provide the venues on-site staff with such documentation and  % c- W2 O% y: U' e
supporting information as it may need to effectively fulfill the  
! R! M0 P: L7 o! froles they are to perform to ensure the success of the renter´s event.
2 _$ O9 Q; x% ~3 q8 r' J4 _·  To produce quotes in respect to staffing costs for a particular  ' j; c; r1 B' l& o* O5 D
rental with consultation with the Technical Director.
  g9 I) q% }  d% G3 B6 \- O$ u·  To ensure that all queries raised with the venues whether from the    }  H. q- f0 p, U0 ~( E
SU or renters, are promptly and effectively handled and adequately  ) i& D. ~8 S4 @* j5 a/ d* H
answered, and to ensure that such action as may be necessary in  + l$ ?. W6 c4 @) O8 D' j
follow-up to such queries is taken in a timely manner.6 o5 G# y0 N# I# e7 i: R
To ensure that the venues and its capabilities are adequately,  
, q2 m7 n8 C  O8 Deffectively and cost-effectively advertised and promoted, and that  
. H" x- v/ B9 b) gthe cost of such endeavors does not exceed the budgetary provision  
' p/ n1 ~: k" Y6 {6 n# emade for them unless prior approval is given by the Manager of  
3 q+ d4 t5 N2 A- N% ^* {2 W" O1 F1 h1 B, FProgramming and Venues.
- X& i5 P& M* `* U- @. c·  To act as an informed and knowledgeable resource in the case of  
+ r' v, o# K( x  A: }( X8 Wsignificant challenges and/or problems surrounding the tasks of  
* q, g8 b7 Z  H8 J  e$ gmarketing, administration, operations, and any such other matters as  
8 X6 k4 \' F' k5 mmay provide such challenges and/or problems.- N/ o' U: T& \& Q, {$ @9 n: C' z, [
·  To attend such meetings as may be required to support the smooth  3 l7 a; Y0 e8 }5 h- ]
operation of the venues or the Students´ Union as a whole.
2 B) z* F1 _4 ~3 ?1 j3 d·  To perform other job-related duties as may be required by the  ; J2 j, M* ^- r  A
Manager of Programming and Venues in order to ensure the smooth and  
$ i9 g; @5 y) K- q. osecure operation of the venues.
1 j; d2 }  o' h/ i' e$ c3 y! B·  To recognize, address and handle all matters relating to overall  
& T- O4 o" m! ?" x- Coperations in a manner which reflects the requirements of the SU´s  
6 T8 l& ?- _6 S6 Y  v7 v7 K8 M& ]Manager of Programming and Venues, and Manager of Finance and  
0 u4 M  J. H5 I. qAdministration, and in a manner which contributes positively to the  
* F9 k, x" n$ B; k) ^) ksmooth operation and success of the Horowitz Theatre.

1)             Minimum two years related post secondary education, or  1 c% `# `' s3 l$ Q, B9 ^3 r
an acceptable combination of education and experience.

3)             Ability to create new initiatives with little or no    e: E8 N; S' a/ r2 B% r  L, L
