financial and operational success of the Horowitz Theatre as well as . j5 h. a# _$ S' \3 P+ ^0 ]8 ]+ P
the logistical organization and smooth rental of the additional 3 @* n: I1 y8 @+ l0 v
venues within the realm of the Students´ Union. In the light of that

However, the main roles and responsibilities of the Operations

a. To ensure, at all times, that the venues listed below meet the

a. To develop and implement a marketing plan for the venues that

This strategy will include implementing and/or delegating the following:6 M) R& ^ f; `$ \- {9 m T
· To develop and maintain promotional materials, the Horowitz
7 J/ s# P# g4 }9 Y; r$ PTheatre and SU Venues home page, newspaper and other advertising; to
' u9 E, Z' H" ztake advantage of other internal and external advertising . q/ {0 i! h" E- ~% c/ \; L0 l( Y# @
opportunities; and to develop press releases and other promotional 4 ? w5 ~( z% j( l& S: @
literature on an ongoing basis.

· To promote upcoming events in the Horowitz Theatre through the

, P9 R, e4 s' ~, ya. To ensure, at all times, that the venues are adequately and cost- G% z8 {- a; |% h) X
effectively staffed, and that the staff utilized by or within the : c* Z# s4 x! F) F
venues meet the appropriate standards, requirements and needs, and % E1 P! J2 j- A2 E+ G
contribute in a positive way to the smooth operation and success of $ `, E9 A8 q. j ?) L5 f R
the renter´s events. This includes, but is not necessarily limited
/ l0 D: U: m T2 f6 xto, the following:9 E" `6 A( H' n% @
· To be responsible, under the direction of the Manager of Venues 3 K% k: Z1 T2 S, V5 ~
and Programming, for all staff issues including hiring, disciplining,
+ R8 x3 \8 G$ E" M& U- R1 O+ q: jevaluating and terminating, as necessary.
) z3 E3 X# X: N2 ~0 H( Q9 u To ensure that the Horowitz Theatre is adequately supervised at
) ]8 s1 L7 b: V9 d9 k5 f3 l( a- mall times, this includes the development and implementation of such % @6 z0 q" a& ~- h
schedules and rosters as may be necessary to ensure the effective and 8 ]) l: U. }4 L* x a* r+ U
cost-effective supervision of the venues at all times during which it
3 w$ D9 Q/ j( D2 G9 a3 iis in operation or needs to be in operation.
/ K* s3 y! K! E9 R$ n· To work with the Technical Director, when necessary, to ensure , v2 X# L: O4 F' Q8 {4 @5 d2 J+ {
that an adequate and appropriate level of part-time staff exists to 5 M% c- H1 w. t; d* R- w9 i
facilitate the smooth operation of the venues and to ensure all $ m: A2 a) X% {) b& L2 P3 z2 d- y

· To work with the Technical Director to ensure that the skills
- y" o2 f3 v( Vand attitudes of all subordinate staff are appropriate in light of : ^! O6 n* J* C$ @7 Y* s" F+ n# i
the roles they must perform. This includes providing adequate and Q9 i$ v" a% E# a3 r' C7 X$ b
effective training (and re-training) in all applicable and
: h1 X* |: P1 x: ^. ^! X' Sappropriate areas, and ensuring that the Policy and Procedures manual % y; ]* p5 T4 y) o8 K( n

· To ensure all staff are trained in and committed to providing % A! H' I9 ^; C# K8 Q
excellent customer service to all renters.

scheduling. To handle payroll related matters, under the guidance * k8 G; x2 @5 T& W2 d
and direction of the Manager of Venues and Programming, concerning

· Working with the Manager of Facilities and Operations to ensure 7 h3 M! t8 m% k2 ?5 b
the appropriate setup/tear down of each venue.

To provide input and expertise in the formulation of appropriate 8 N. u* n8 i+ d
operating budgets covering the venues to the SU´s Manager of

Administration prior to their submission for final approval.

/ D( l# b/ } P0 b/ hreflects the budgets approved for the venues and/or which reflects

· To function as the key player in the submission of financial and
. f- A- p0 h2 u4 k! _! z madministrative documentation covering the venues to be used in the . P, H1 ^7 E0 { n4 P
compilation of monthly and annual financial statements, and such
: f' s0 D7 v0 X1 rother reports as may be necessary.

with all financial and administrative procedures, with the SU´s

· To ensure the existence of adequate, effective and accurate job

manner to the Accounting Department.

5. Overall Roles and Responsibilities
6 A: b7 x: v0 y/ ~8 _a. To ensure, at all times, that the systems and processes used in / ]: G/ z) t: i* h
renting the venues meet the appropriate standards, requirements and 1 c& n8 x' |% X, p: |2 j( {
needs, and contribute to the smooth operation and success of the
0 T( ]3 D9 {1 hvenues. This includes, but is not limited to, the following:

· To recognize, develop and set in place such rental procedures as 4 l l# ~7 }; s1 K
may be necessary to ensure the smooth operation of the venues, this / z0 n5 x; a; Q/ }- F+ ]
is to include but not necessarily be limited to systems and processes
8 w$ l; Q( M5 z- X2 r4 _4 ?in the areas of contracts, inventory management, contract evaluation, $ |8 W/ ~2 _0 ?% B2 T
pricing, costing, equipment usage, rental/contract invoicing, / @2 L% M2 S" P5 g) N9 W! |! B( ^
together with such other systems and procedures as may be necessary
6 u; d# U. U L3 ito ensure the smooth, secure, efficient, cost-effective and
6 I' _# z2 ?8 @; l9 L0 W% {functionally-effective operation of the Horowitz Theatre.( ]) }6 Q; f1 K; e6 }7 P6 l
· To recognize, develop and set in place such operational procedures
5 }$ d/ u/ b0 W6 t1 _% ]as may be necessary to ensure the smooth, efficient and cost- 5 d: D5 x3 V3 M9 E3 j
effective operation of the venues.
" v) j* M" i# ~7 A0 n· To negotiate rental lease agreements (contracts) relating to
& `. h/ J Y3 y& c. w+ e: [dates, rates, staff and miscellaneous charges.) k; _/ H. G- _2 ]. l( g
· To ensure that adequate inventory is available at all times and : [7 X, Q1 {/ \3 |6 ~
that such inventory is stored and issued in effective and secure ways.4 P; F" a7 _6 s+ L& }8 _
· To consult with renters as to facility issues in producing their ) w4 d* ]; @5 c! P& p0 z2 K3 C
particular event in the venues. m0 Y- k% c3 l+ W( m3 c
· To provide the venues on-site staff with such documentation and % c- W2 O% y: U' e
supporting information as it may need to effectively fulfill the
! R! M0 P: L7 o! froles they are to perform to ensure the success of the renter´s event.
2 _$ O9 Q; x% ~3 q8 r' J4 _· To produce quotes in respect to staffing costs for a particular ' j; c; r1 B' l& o* O5 D
rental with consultation with the Technical Director.
g9 I) q% } d% G3 B6 \- O$ u· To ensure that all queries raised with the venues whether from the } H. q- f0 p, U0 ~( E
SU or renters, are promptly and effectively handled and adequately ) i& D. ~8 S4 @* j5 a/ d* H
answered, and to ensure that such action as may be necessary in + l$ ?. W6 c4 @) O8 D' j
follow-up to such queries is taken in a timely manner.6 o5 G# y0 N# I# e7 i: R
To ensure that the venues and its capabilities are adequately,
, q2 m7 n8 C O8 Deffectively and cost-effectively advertised and promoted, and that
. H" x- v/ B9 b) gthe cost of such endeavors does not exceed the budgetary provision
' p/ n1 ~: k" Y6 {6 n# emade for them unless prior approval is given by the Manager of
3 q+ d4 t5 N2 A- N% ^* {2 W" O1 F1 h1 B, FProgramming and Venues.
- X& i5 P& M* `* U- @. c· To act as an informed and knowledgeable resource in the case of
+ r' v, o# K( x A: }( X8 Wsignificant challenges and/or problems surrounding the tasks of
* q, g8 b7 Z H8 J e$ gmarketing, administration, operations, and any such other matters as
8 X6 k4 \' F' k5 mmay provide such challenges and/or problems.- N/ o' U: T& \& Q, {$ @9 n: C' z, [
· To attend such meetings as may be required to support the smooth 3 l7 a; Y0 e8 }5 h- ]
operation of the venues or the Students´ Union as a whole.
