focuses upon advertising and promoting the venue to faculty, 6 q" Y6 {, d! s$ G$ _( s" h. E
students, and internal and external clients on an on-going basis. , r0 ]) u7 X/ P
This strategy will include implementing and/or delegating the following:
/ r$ g! M, D% d3 x; @- f% k: ~· To develop and maintain promotional materials, the Horowitz
4 @! v% n3 u" o/ K4 e. r! S: @Theatre and SU Venues home page, newspaper and other advertising; to 5 W, ~' O6 H- T* `; ~
take advantage of other internal and external advertising
! G* B; n$ S" Yopportunities; and to develop press releases and other promotional
: o _5 c# U% ]literature on an ongoing basis.# C' S. U# I$ x- B e! J% I; ~
· To coordinate tours of the venues for potential renters.- u. c8 Y j7 o1 J$ L: h8 S
· To promote upcoming events in the Horowitz Theatre through the 8 g1 s! i9 g* }, k- f$ r/ T
use of the Horowitz Theatre Home Page and the SU Events Calendar.# K) Z' ^7 e9 Q+ V) s9 Y9 V/ `
· To develop new external clients for the venues.9 G+ i+ i: z: @1 ^9 R

) k; M$ g% Y( K8 s( R. b+ w3. Staff and Supervisory Roles and Responsibilities! M. o9 s; R& i5 P# R% s
3 f# |. o. m1 t: d4 Z |' C7 ^% a& Ba. To ensure, at all times, that the venues are adequately and cost- 1 @: R5 L0 f- R: x# i6 S! x
effectively staffed, and that the staff utilized by or within the
I1 o+ N* P5 Q5 N9 p# j* Vvenues meet the appropriate standards, requirements and needs, and
3 ?) K- Z! \# b% I0 o; kcontribute in a positive way to the smooth operation and success of
& }& y8 W, ^ r5 |+ @; R$ E; mthe renter´s events. This includes, but is not necessarily limited

· To be responsible, under the direction of the Manager of Venues 7 A; \. s6 S" g: {
and Programming, for all staff issues including hiring, disciplining,

( B8 \! Z9 C4 Q9 w To ensure that the Horowitz Theatre is adequately supervised at 6 u# @$ v) K/ L, N. S# a
all times, this includes the development and implementation of such , K ?: d" l2 e. ^
schedules and rosters as may be necessary to ensure the effective and 9 O; K, E$ D& p" Z( |
cost-effective supervision of the venues at all times during which it 5 V" s( j$ X8 d
is in operation or needs to be in operation.( H0 p) s5 \1 v: u2 N
· To work with the Technical Director, when necessary, to ensure 4 g* g2 M* U: e" H9 T5 _* c
that an adequate and appropriate level of part-time staff exists to
- O( w/ x" _( `8 C, C) n6 g1 [7 |facilitate the smooth operation of the venues and to ensure all

% u3 @/ i5 C' D· To work with the Technical Director to ensure that the skills 2 N4 { X C1 e0 x
and attitudes of all subordinate staff are appropriate in light of 7 T3 F/ @, @/ a1 v- J- C7 J
the roles they must perform. This includes providing adequate and
- K& W# o. ^! Q3 {- ~/ Z8 v* Reffective training (and re-training) in all applicable and
" ?" |# |3 O- r$ ^ r7 q/ i: i/ \2 Eappropriate areas, and ensuring that the Policy and Procedures manual

scheduling. To handle payroll related matters, under the guidance & v3 v4 W1 j1 f' B4 X% @
and direction of the Manager of Venues and Programming, concerning 2 b* n3 H, u1 W8 d
the staff of the venues.

the appropriate setup/tear down of each venue.! F" O0 G6 A6 Z; L! e$ g
· Working with the Manager of Programming and Venues to ensure 7 y O3 d# [0 J2 b
that additional requests such as licensed receptions are arranged.

4. Overall Financial Performance

- j6 p4 n+ [ h( X3 O6 csystems and processes utilized by or within the venues meet the
4 O6 _ Q" m2 M4 u% ^" F8 Rappropriate standards, requirements and needs, and contribute in a " X% P0 |: v+ G9 H
positive way to the smooth operation and success of the venues. This
' a& G( T. _0 a( x/ g3 Sincludes, but is not necessarily limited to, the following: p- i$ S Y( n( S* B
To provide input and expertise in the formulation of appropriate
2 _/ X3 m4 p0 F" k" U* ioperating budgets covering the venues to the SU´s Manager of " N: R/ r- b! C) k- s9 C
Programming and Venues and to discuss and refine those budgets 1 z0 X; a% X6 a0 C
Manager of Programming and Venues, and Manager of Finance &
+ {5 R9 q# S- l& mAdministration prior to their submission for final approval.
9 ]! R7 x. |) i/ z+ T" N· To manage the venues in a manner which adequately and effectively : M G8 D% N" @* N1 ]
reflects the budgets approved for the venues and/or which reflects # D$ t: ?3 h3 H* Q# b3 b" M
the best interests of the venues and the Students´ Union.
9 F3 _6 x% M; ]/ q+ l· To function as the key player in the submission of financial and
6 w. I1 w8 R' |& s) ^, ^& ]4 {5 Sadministrative documentation covering the venues to be used in the
% t9 v2 Q+ k2 R$ f$ [9 bcompilation of monthly and annual financial statements, and such $ `4 X1 [% g# O* u; r
other reports as may be necessary.

with all financial and administrative procedures, with the SU´s

. z7 e3 h! q- {; h; e+ I" MAdministration with a view to determining and implementing action
* m' j& m7 w+ e& q" h& g8 ?2 J' O! u/ caimed at improving the financial and/or functional effectiveness of s% \; A( G# t6 Q* e9 s
the Horowitz Theatre.
% k' M& ~4 U0 c2 r, f; X· To ensure the existence of adequate, effective and accurate job
- ~ J& S; b: w1 S" V3 d \1 A( s6 qcosting systems to be used in connection with the determination and
/ t. F* W( ^) }+ H$ msetting of appropriate prices for rental and staffing rates for . p# e' c; o2 P, M: `8 g$ F
events held in the Horowitz Theatre.
' p1 Q# u3 A9 ?· To develop accurate documentation to be used in connection with 8 v/ \ j; l9 n" Q
the billing clients, and to forward such documentation in a timely / P0 P% j: B. f/ w# e4 A
manner to the Accounting Department.) R7 ]" d0 X q+ K
· To recognize, address and handle all matters relating to financial 5 U! o0 T5 i6 }4 q. k0 q) q; b+ L
and administrative procedures and systems in a manner which reflects # e I! Q2 F3 y8 F4 P
the requirements of the SU´s Manager of Programming and Venues and
/ C8 J4 V0 Q0 J @6 N2 p& N* LManager of Finance and Administration, and in a manner which

venues.

5. Overall Roles and Responsibilities

renting the venues meet the appropriate standards, requirements and
& }2 Q3 v& C' U$ p6 h r7 T5 \needs, and contribute to the smooth operation and success of the
" b, o7 Q; ?8 T+ vvenues. This includes, but is not limited to, the following:

0 R( o$ f# C$ M· To recognize, develop and set in place such rental procedures as
$ y% R6 F' Y: H! ^- d) s) ~may be necessary to ensure the smooth operation of the venues, this

. C/ [. r) f% ^, Din the areas of contracts, inventory management, contract evaluation,
4 I1 x, _: E# U4 `pricing, costing, equipment usage, rental/contract invoicing,

to ensure the smooth, secure, efficient, cost-effective and

· To recognize, develop and set in place such operational procedures ; z' L. i2 g5 j; p0 Q
as may be necessary to ensure the smooth, efficient and cost-
; R# g2 K3 ?' P6 v8 Z3 z$ n( k0 c. A% leffective operation of the venues./ p" `7 }/ h; _$ T
· To negotiate rental lease agreements (contracts) relating to # v% O8 i' k' _2 B( @9 ^/ y
dates, rates, staff and miscellaneous charges.& K8 S. Q S; N4 V8 n
· To ensure that adequate inventory is available at all times and 0 a: R3 g6 i: X& q/ ~. f
that such inventory is stored and issued in effective and secure ways.
+ G$ C0 g) z% C) W' A: |6 s$ |· To consult with renters as to facility issues in producing their
! q' N P& D. Z+ F" F" w/ r7 Iparticular event in the venues. ~6 s3 F' c6 w8 g- D
· To provide the venues on-site staff with such documentation and 0 Q5 O7 P5 X, f7 C7 j( f
supporting information as it may need to effectively fulfill the
9 G! I( u) h! D+ a! n5 n" rroles they are to perform to ensure the success of the renter´s event.6 G" B* Y$ q6 a- R6 A6 Z) R8 w
· To produce quotes in respect to staffing costs for a particular
/ G/ l2 t; n9 }4 \* erental with consultation with the Technical Director.0 z+ P( R5 f% o1 i
· To ensure that all queries raised with the venues whether from the ! [$ R2 a: d1 @. y4 p. [
SU or renters, are promptly and effectively handled and adequately
# v" t g! J$ B4 v% w4 t+ \0 [answered, and to ensure that such action as may be necessary in
+ X5 l: t( I7 ^9 f$ hfollow-up to such queries is taken in a timely manner.
5 z1 Q$ L: S. _: S1 z1 J To ensure that the venues and its capabilities are adequately, ) K) S! i, v9 t) q
effectively and cost-effectively advertised and promoted, and that * l3 [8 a* _/ u: K! ?+ |
the cost of such endeavors does not exceed the budgetary provision
: x$ u* n; u q/ ], mmade for them unless prior approval is given by the Manager of
" C8 ^' T9 V. R/ j" ZProgramming and Venues.
7 U( Y z# @/ b) M· To act as an informed and knowledgeable resource in the case of
$ s+ k/ v4 `8 K) g$ Rsignificant challenges and/or problems surrounding the tasks of
: O, F8 V. t7 e, s. J9 ^marketing, administration, operations, and any such other matters as
