The duties of the Operations Manager - SU Venues are diverse and # E! S# |' F3 r) N- E1 z2 G% d& M
extensive, and are targeted at the all round smooth operation and
5 e; r; N+ N. R$ K1 zfinancial and operational success of the Horowitz Theatre as well as
( j ?+ h5 l* h6 ~& Z- ^( j5 {% r1 K8 hthe logistical organization and smooth rental of the additional
. Q# n& U1 B j/ Ivenues within the realm of the Students´ Union. In the light of that

9 R/ q ~0 I" e; udescribe all roles and responsibilities in a document of this kind.

safety regulations and building policies.

2. Marketing and Promotion; C. m3 H) R( B+ z

a. To develop and implement a marketing plan for the venues that
7 a; f1 t2 y7 B, ?" _$ zfocuses upon advertising and promoting the venue to faculty, 5 m8 ]4 U4 {. O
students, and internal and external clients on an on-going basis. ' M7 `1 ?% o+ x
This strategy will include implementing and/or delegating the following:1 x7 G. t2 k1 t6 ^% I n' m
· To develop and maintain promotional materials, the Horowitz ) f& O! i8 @$ x" W8 [: J
Theatre and SU Venues home page, newspaper and other advertising; to v/ s/ p: Y. O5 D/ d
take advantage of other internal and external advertising
- z. G/ c% o- ]opportunities; and to develop press releases and other promotional

· To coordinate tours of the venues for potential renters.

use of the Horowitz Theatre Home Page and the SU Events Calendar.

; n9 K( u9 i3 R$ @2 A1 d- R3. Staff and Supervisory Roles and Responsibilities

1 b3 O# c6 D! J8 D& ha. To ensure, at all times, that the venues are adequately and cost- 5 }/ G K5 y7 X' B E' S
effectively staffed, and that the staff utilized by or within the , D: T3 R. r6 d% Q" a5 _2 Q; G
venues meet the appropriate standards, requirements and needs, and ! \: x% c$ g2 B3 V
contribute in a positive way to the smooth operation and success of & B) Y6 ~8 w5 C2 n! O+ i) r
the renter´s events. This includes, but is not necessarily limited
0 c9 j) P6 N% H3 b& wto, the following:. e$ s, t# G, i, z0 p7 Q
· To be responsible, under the direction of the Manager of Venues - J' A- B9 S. a. t: w
and Programming, for all staff issues including hiring, disciplining,
, e1 d! X8 y) O# I4 j' e7 R' Qevaluating and terminating, as necessary.2 T) ?2 E5 g* {, V9 F4 Y! `
To ensure that the Horowitz Theatre is adequately supervised at
/ G4 Q+ P: y) h4 T# M/ c% Rall times, this includes the development and implementation of such
5 x" F9 `# }0 {) {* T' Z5 Zschedules and rosters as may be necessary to ensure the effective and " P& t" [2 R3 D+ q) e8 I6 P
cost-effective supervision of the venues at all times during which it + ]+ I) p' _4 r0 W. n+ c
is in operation or needs to be in operation.1 s' @! l* U7 {/ N* n; T% l, u
· To work with the Technical Director, when necessary, to ensure 8 I. I. D5 [1 H! F0 r1 Y
that an adequate and appropriate level of part-time staff exists to
+ S- \* x! R6 k9 J# K/ k0 e0 Cfacilitate the smooth operation of the venues and to ensure all
: u# d/ Y- D/ @# qrenters needs are met.+ D8 _, D0 D# g
· To work with the Technical Director to ensure that the skills
8 [- t; ^! k1 n* ?6 Yand attitudes of all subordinate staff are appropriate in light of
( [% z5 G* R+ H/ x6 i% wthe roles they must perform. This includes providing adequate and
& [2 J, R& m3 B3 E% Feffective training (and re-training) in all applicable and 5 E( c' i5 X9 j$ E9 S/ t0 G4 R
appropriate areas, and ensuring that the Policy and Procedures manual
& f8 c0 G8 r2 l2 _! w# wis kep up-to-date at all times.; T- ~( K: ?! @2 Y" U
· To ensure all staff are trained in and committed to providing $ m, K/ T# ~' v. [! [
excellent customer service to all renters.

scheduling. To handle payroll related matters, under the guidance

· Working with the Manager of Facilities and Operations to ensure ( @& J9 r, I( u7 a5 u' T
the appropriate setup/tear down of each venue.4 P( Q9 b b9 Z% b) p
· Working with the Manager of Programming and Venues to ensure
0 d' ^5 G) A1 d) c9 ^) ?that additional requests such as licensed receptions are arranged.

4. Overall Financial Performance

9 l) }# K: e1 X- r5 A; }7 Ea. To ensure, at all times, that the Financial and Administrative + A% _5 e1 O5 X, k: y
systems and processes utilized by or within the venues meet the
- C' t- a4 Z, Z7 d4 Zappropriate standards, requirements and needs, and contribute in a
* z! e4 Y7 c0 Z% `positive way to the smooth operation and success of the venues. This
! {$ f2 U% c) D+ o6 r( {includes, but is not necessarily limited to, the following:- A/ M+ U$ ], |0 {* ~% }1 f6 T' p6 Q' M
To provide input and expertise in the formulation of appropriate , E6 i* X# X, {: o% Z, j. R
operating budgets covering the venues to the SU´s Manager of
]; P& }0 [: F1 G, M3 P$ {Programming and Venues and to discuss and refine those budgets

· To manage the venues in a manner which adequately and effectively

the best interests of the venues and the Students´ Union.3 |6 N! f* y( f' L6 p! c5 Z
· To function as the key player in the submission of financial and 8 ^$ J5 p) u+ j4 s) J+ A3 S
administrative documentation covering the venues to be used in the " F7 O8 C8 `; B7 B: j+ V/ `
compilation of monthly and annual financial statements, and such

% ~. J, d1 P+ awith all financial and administrative procedures, with the SU´s

Administration with a view to determining and implementing action
3 u& k" H( |$ Taimed at improving the financial and/or functional effectiveness of
+ _1 |, C \5 gthe Horowitz Theatre.
7 F* W3 t# P- C$ u' t· To ensure the existence of adequate, effective and accurate job 0 @* X, u4 R" @" o/ Y: n
costing systems to be used in connection with the determination and
2 k9 Z/ B b' L' _4 B" \: L9 M, Psetting of appropriate prices for rental and staffing rates for
% Y# m3 m* r! G9 uevents held in the Horowitz Theatre.
: m% P6 m7 _& M8 v· To develop accurate documentation to be used in connection with
' y- C- ]4 }6 v! nthe billing clients, and to forward such documentation in a timely : ]# e1 Q0 R% a0 q
manner to the Accounting Department.
9 b" X$ \$ E5 T· To recognize, address and handle all matters relating to financial ) {# Y7 _: L, Q% o' e3 K0 K
and administrative procedures and systems in a manner which reflects

Manager of Finance and Administration, and in a manner which

needs, and contribute to the smooth operation and success of the

· To recognize, develop and set in place such rental procedures as
) I' Q' B- f$ W$ a6 P7 I" I8 T% ^may be necessary to ensure the smooth operation of the venues, this ! ?/ C0 t) G2 I G
is to include but not necessarily be limited to systems and processes
$ w) l( L$ e: M* p+ Fin the areas of contracts, inventory management, contract evaluation, 6 K2 g5 O5 W! n* o
pricing, costing, equipment usage, rental/contract invoicing, ; N; k$ Q" T; [+ A. f6 `/ M8 G$ ?
together with such other systems and procedures as may be necessary 4 A i5 X P1 u4 m
to ensure the smooth, secure, efficient, cost-effective and
6 w' d, V! X- Y' z: c. A/ yfunctionally-effective operation of the Horowitz Theatre.
! ~; ?5 ~9 S% Y/ ? K8 Z! R* L· To recognize, develop and set in place such operational procedures 2 V2 y+ g! M2 S) O$ S9 i+ H9 ^
as may be necessary to ensure the smooth, efficient and cost-
. D# J; Z8 Y& x5 H* ~9 I% x- Xeffective operation of the venues.
' T6 M. W- \ h& L! W2 w· To negotiate rental lease agreements (contracts) relating to 5 U& y+ L! y- W, P0 g! h+ x
dates, rates, staff and miscellaneous charges.2 ^$ Y2 p5 o! O/ D/ u5 f9 l
· To ensure that adequate inventory is available at all times and ( j: o* j& X4 ~7 J$ C
that such inventory is stored and issued in effective and secure ways.5 Q' ]7 ~. W' s# Q$ L) y
· To consult with renters as to facility issues in producing their
8 \) `5 j5 e/ c5 nparticular event in the venues.
2 W' Z9 I% B0 @( @5 }4 }4 _· To provide the venues on-site staff with such documentation and
x- ^) G5 B# F) zsupporting information as it may need to effectively fulfill the - X' ~! }, L5 y
roles they are to perform to ensure the success of the renter´s event.5 S k" ?& c, l' R, \2 O$ \
· To produce quotes in respect to staffing costs for a particular
( q, y4 B) W* ~: [rental with consultation with the Technical Director.
& v' \& l! f9 d" C3 z& A2 E& b/ O· To ensure that all queries raised with the venues whether from the , E5 m$ R* z* H: k
SU or renters, are promptly and effectively handled and adequately % J( {! ~6 d9 p% t# j, g/ C
answered, and to ensure that such action as may be necessary in 5 B; c- A8 o2 C( Z0 C) {
follow-up to such queries is taken in a timely manner.
7 g& b; p! B; y1 l9 `1 p To ensure that the venues and its capabilities are adequately, 9 ^5 L# Y& C# w3 g
effectively and cost-effectively advertised and promoted, and that + U i/ U+ A! O& p
the cost of such endeavors does not exceed the budgetary provision * v; H- v/ v. p) K; A
made for them unless prior approval is given by the Manager of
) G& O: S) N$ d" ~- PProgramming and Venues.
9 L- e/ E0 Z* A· To act as an informed and knowledgeable resource in the case of - v: R6 A! z3 x) c) s
significant challenges and/or problems surrounding the tasks of
" N. ]6 M/ y1 z% k, g2 J' j9 Lmarketing, administration, operations, and any such other matters as
4 K8 b+ T) Z' e5 h- mmay provide such challenges and/or problems.7 p- W7 P( V, y+ F9 w% r" D W# l
· To attend such meetings as may be required to support the smooth

QUALIFICATIONS:

2) Supervisory experience.
