financial and operational success of the Horowitz Theatre as well as ) C# s( i1 i4 B* y% ^
the logistical organization and smooth rental of the additional
+ Z( j& P% F8 A+ |9 p% _venues within the realm of the Students´ Union. In the light of that

1. Space Roles and Responsibilities

renter.

2. Marketing and Promotion

/ k, e. r) C, U: e9 S W9 Dfocuses upon advertising and promoting the venue to faculty,
) z U4 h M' i W- |- D4 E- jstudents, and internal and external clients on an on-going basis. 6 v5 n# T4 a! m# G; ~
This strategy will include implementing and/or delegating the following:
3 M! [9 K2 X+ _$ m) P; X· To develop and maintain promotional materials, the Horowitz 1 Z) K9 {2 A- {2 n. M
Theatre and SU Venues home page, newspaper and other advertising; to
9 @) N! [/ i1 ]4 {take advantage of other internal and external advertising ' \3 X- }& u+ v) f4 y
opportunities; and to develop press releases and other promotional ! O: [2 q( {; H1 o3 a4 M4 A% y, f
literature on an ongoing basis.' N1 o# ?! i: g7 U3 N/ o
· To coordinate tours of the venues for potential renters.
2 F0 j' Z+ I9 E3 I- e· To promote upcoming events in the Horowitz Theatre through the
; a4 E% r! J$ E4 Quse of the Horowitz Theatre Home Page and the SU Events Calendar.

% A3 F8 [ M L" B" M* b3. Staff and Supervisory Roles and Responsibilities
, T/ E1 ]$ F! w F: ~" P0 w$ ?/ K$ W p( } A, H8 Z
a. To ensure, at all times, that the venues are adequately and cost-
, q, V% J1 N# feffectively staffed, and that the staff utilized by or within the 3 a! ~8 @4 j( u4 {" Q5 N2 E0 c
venues meet the appropriate standards, requirements and needs, and
( Z1 P7 C* j! _& O6 r/ O; }contribute in a positive way to the smooth operation and success of
* S. l% D; F' U1 Uthe renter´s events. This includes, but is not necessarily limited 0 {/ V' H. A6 u* D4 ]% P9 K
to, the following:7 d" `+ u$ v3 I) b
· To be responsible, under the direction of the Manager of Venues * `( A( w: I: q+ d3 T; K
and Programming, for all staff issues including hiring, disciplining,
3 Q$ u/ n$ F3 u* y, d1 }evaluating and terminating, as necessary.; C! P2 c) t. u/ g7 W s
To ensure that the Horowitz Theatre is adequately supervised at
0 {$ x1 ^0 D$ D) P. m4 aall times, this includes the development and implementation of such
, p8 B+ z2 e/ y7 r9 Ischedules and rosters as may be necessary to ensure the effective and ! H, V* w4 b% Q- M& _0 I3 s
cost-effective supervision of the venues at all times during which it + `9 O4 o7 \4 M
is in operation or needs to be in operation.. a8 \% @: X( R& I7 P0 e3 B
· To work with the Technical Director, when necessary, to ensure
7 {5 B9 ^4 c, I& E, F3 w+ m5 ]that an adequate and appropriate level of part-time staff exists to
* m( g3 x0 s+ w% }% y; h( q- ]facilitate the smooth operation of the venues and to ensure all
+ d# z" g$ y* q+ prenters needs are met.4 V3 U, C, K, F
· To work with the Technical Director to ensure that the skills - } f, o+ z% w! l( {+ g4 Q* N
and attitudes of all subordinate staff are appropriate in light of
( {* A' K1 z. y8 ?, p3 o0 \the roles they must perform. This includes providing adequate and 1 l7 o2 t; T i
effective training (and re-training) in all applicable and 3 [; l/ W1 i, d( D3 F9 b$ K; ^
appropriate areas, and ensuring that the Policy and Procedures manual 6 X: b4 I- w4 w3 B
is kep up-to-date at all times.
# k& n1 L }2 o8 g8 a$ s; v# S· To ensure all staff are trained in and committed to providing
, r$ d3 m! h8 S$ iexcellent customer service to all renters.. ]5 Z' B$ t$ {+ y
· To work with the Technical Director to arrange staff 6 s1 u" v. j, r% y7 E* A
scheduling. To handle payroll related matters, under the guidance
4 ^8 J, S9 V. r- T: oand direction of the Manager of Venues and Programming, concerning
6 D( `0 s, N# w! P' j: Othe staff of the venues.
; [+ G' u6 ?' q8 o· Working with the Manager of Facilities and Operations to ensure

· Working with the Manager of Programming and Venues to ensure

4. Overall Financial Performance

( R U6 I4 n6 r+ C7 E6 Bappropriate standards, requirements and needs, and contribute in a 1 _ Y' M" L4 J; H8 j
positive way to the smooth operation and success of the venues. This
1 k( Q* P- j; B- Cincludes, but is not necessarily limited to, the following:
# S( A9 ?( k0 T6 I+ h$ o4 L To provide input and expertise in the formulation of appropriate ) E. D: J2 [' R8 l X4 m
operating budgets covering the venues to the SU´s Manager of . O8 }: f, ~- z9 j4 [
Programming and Venues and to discuss and refine those budgets

Administration prior to their submission for final approval.

reflects the budgets approved for the venues and/or which reflects

· To function as the key player in the submission of financial and 2 A8 H6 x/ a( ?6 {5 Y
administrative documentation covering the venues to be used in the & v4 t- B* X4 G+ _: |# N. k
compilation of monthly and annual financial statements, and such

· To discuss those financial statements and other reports, together \2 ]) t6 ?2 r# c
with all financial and administrative procedures, with the SU´s ; v8 n5 P# _. E! O

Administration with a view to determining and implementing action ! ^; p# H/ E/ t
aimed at improving the financial and/or functional effectiveness of
( w: y# T3 o& R0 _, X. lthe Horowitz Theatre.
4 P6 ^# t6 C+ Y$ z0 p· To ensure the existence of adequate, effective and accurate job 7 ?% P+ `; g. M2 d1 ?: G+ _# U
costing systems to be used in connection with the determination and U2 o; j1 D8 w' _ W- u
setting of appropriate prices for rental and staffing rates for
8 d+ x4 [; P0 ]8 Y1 H$ gevents held in the Horowitz Theatre.
' G( d3 s: {0 C- c· To develop accurate documentation to be used in connection with , S! D/ A$ _1 @: n2 j
the billing clients, and to forward such documentation in a timely 8 j) m! x; b4 G5 a" {$ X: s) t
manner to the Accounting Department.
) L& n( w3 l) h) i0 K! a1 r. S· To recognize, address and handle all matters relating to financial
K" _0 s6 g4 u$ p W# w- eand administrative procedures and systems in a manner which reflects - m5 v5 j3 D% k$ J
the requirements of the SU´s Manager of Programming and Venues and . z( W7 s! L9 Z" \4 M
Manager of Finance and Administration, and in a manner which
6 ~) H6 j0 [. |% |contributes positively to the smooth operation and success of the

5. Overall Roles and Responsibilities6 Z2 Z; H# v$ n
a. To ensure, at all times, that the systems and processes used in
8 o% F7 B$ H# D: y" m$ s9 n2 J: b' D5 jrenting the venues meet the appropriate standards, requirements and
3 K* z- e5 \% l) k7 uneeds, and contribute to the smooth operation and success of the
/ j; x- m; s% w% I/ ^2 R) ]venues. This includes, but is not limited to, the following:
6 v3 a# U9 {4 f' g2 L5 T T8 @* D. c5 w* J
· To recognize, develop and set in place such rental procedures as . J2 ~1 t- b/ U' x2 z! J3 j& y4 Q
may be necessary to ensure the smooth operation of the venues, this ! W# z3 t7 _: Y/ H8 V6 c
is to include but not necessarily be limited to systems and processes 1 X! `& O3 v- D8 T: {) J% N5 S* y
in the areas of contracts, inventory management, contract evaluation,
$ x$ G ~4 K5 c9 ]6 P) B0 Spricing, costing, equipment usage, rental/contract invoicing, ' D0 f+ {! _# O. f4 a
together with such other systems and procedures as may be necessary
, p$ P/ [9 H j4 i1 ato ensure the smooth, secure, efficient, cost-effective and
}% x1 @8 ?+ ?' sfunctionally-effective operation of the Horowitz Theatre.! f9 ^0 I7 P3 c9 H/ U
· To recognize, develop and set in place such operational procedures
7 z+ J" |* D' N: X9 z& yas may be necessary to ensure the smooth, efficient and cost- " H3 _: X0 ]( X, i: H
effective operation of the venues.: @$ S7 S/ c* `7 m* y8 G! `7 j" Y
· To negotiate rental lease agreements (contracts) relating to
6 e3 Y, H O8 x% _2 T G/ u7 }6 s5 ndates, rates, staff and miscellaneous charges.
/ l9 H1 C' Z! u. I/ Y8 ^· To ensure that adequate inventory is available at all times and " l8 d1 @3 Q# v8 f0 l
that such inventory is stored and issued in effective and secure ways.6 H, J1 j6 U9 |8 s! `- Z1 ] B5 G: _
· To consult with renters as to facility issues in producing their ! Y9 t( l4 |: h8 ~
particular event in the venues.
7 `6 w. F Q* K, T1 H% u· To provide the venues on-site staff with such documentation and
# j( s$ r9 ]# v& U6 \4 Ssupporting information as it may need to effectively fulfill the
2 N5 ]; x3 B% f. T6 zroles they are to perform to ensure the success of the renter´s event.
( O* G2 j% {6 B( I· To produce quotes in respect to staffing costs for a particular % k/ b' W2 K8 D& D5 }8 ^
rental with consultation with the Technical Director.- s0 J( N& P# N6 q# e& M
· To ensure that all queries raised with the venues whether from the 8 a# O$ g( T* a1 O2 ^
SU or renters, are promptly and effectively handled and adequately $ x2 R7 u; S3 J; O; j) N% o
answered, and to ensure that such action as may be necessary in " u2 g5 @: G1 s2 D- N" Y5 R' ^6 m4 z
follow-up to such queries is taken in a timely manner.
5 n/ O' K2 `- W% m( O# |0 i To ensure that the venues and its capabilities are adequately,
0 L9 {9 j3 W8 K: S* C( F/ k; {effectively and cost-effectively advertised and promoted, and that
4 {4 q+ y4 J7 S! i4 G0 kthe cost of such endeavors does not exceed the budgetary provision
' A( n6 @! Y: ^( w E7 tmade for them unless prior approval is given by the Manager of ; I6 Z9 W0 f9 B+ V5 V
Programming and Venues.
: z( v) z' S0 Z. @2 l V+ v· To act as an informed and knowledgeable resource in the case of
; y) M( _2 b' g5 E' m" m+ B4 z+ t. ]significant challenges and/or problems surrounding the tasks of
; q5 P8 P0 R \& G; Dmarketing, administration, operations, and any such other matters as ( C: e$ y, n$ Q. p. ?! }3 W
may provide such challenges and/or problems.
, i& { |3 \- j3 P! J( S3 Z· To attend such meetings as may be required to support the smooth
Z9 M4 n9 s- k9 koperation of the venues or the Students´ Union as a whole.

operations in a manner which reflects the requirements of the SU´s

QUALIFICATIONS:

an acceptable combination of education and experience.
