The duties of the Operations Manager - SU Venues are diverse and 4 \7 x' m/ Y/ N, I) }& |
extensive, and are targeted at the all round smooth operation and
' B2 A6 Z, P& ifinancial and operational success of the Horowitz Theatre as well as
) h2 T9 V4 \' q% G7 r& m3 Dthe logistical organization and smooth rental of the additional
7 E3 \7 X; K( h0 t' | svenues within the realm of the Students´ Union. In the light of that
9 h1 b2 x3 S! vbreadth and complexity, it is not possible to fully define or
/ \. @( z& W$ @) t: ndescribe all roles and responsibilities in a document of this kind.

a. To ensure, at all times, that the venues listed below meet the

renter.

2. Marketing and Promotion

+ q* i) a& o: Z8 `focuses upon advertising and promoting the venue to faculty, 2 s" r( f, L8 i+ V; |
students, and internal and external clients on an on-going basis.
& ?+ b% V4 i( o2 u$ J- e4 i- SThis strategy will include implementing and/or delegating the following:
# r* a; F$ a l. ~· To develop and maintain promotional materials, the Horowitz
4 U& O4 ^, m' G vTheatre and SU Venues home page, newspaper and other advertising; to
4 n, R; b% g8 `take advantage of other internal and external advertising 8 M/ T: D$ G# @
opportunities; and to develop press releases and other promotional : n% m, [, Q: g& n O
literature on an ongoing basis.( ^2 V# I. c- i5 c
· To coordinate tours of the venues for potential renters.6 T( C9 q# P: }' z) Z
· To promote upcoming events in the Horowitz Theatre through the & W5 D5 J, N6 e; n M7 |
use of the Horowitz Theatre Home Page and the SU Events Calendar.

; V8 w% o, Y! K6 W( b" _: X4 x+ u( Z9 n8 H/ K% m5 R
a. To ensure, at all times, that the venues are adequately and cost-
1 z! J; c. m2 F! R: Eeffectively staffed, and that the staff utilized by or within the
4 |% q/ |+ t- O4 z: o; Evenues meet the appropriate standards, requirements and needs, and % M/ ~ n% x8 {" Z
contribute in a positive way to the smooth operation and success of
! S1 R% w; p# b8 o( qthe renter´s events. This includes, but is not necessarily limited
2 P9 e! y& J# Q& ?to, the following:3 [0 A( l3 i5 P G% Y
· To be responsible, under the direction of the Manager of Venues
- O' `7 G% p) ~! J) @4 }and Programming, for all staff issues including hiring, disciplining,
1 b, p( h. i5 [4 [! u3 H1 w. f7 wevaluating and terminating, as necessary.
) }# K) B$ f- C# ?3 E0 x" f" [" w To ensure that the Horowitz Theatre is adequately supervised at
+ P) X8 M# S b' W$ ~all times, this includes the development and implementation of such 1 X E# f4 X& S/ _% X+ O
schedules and rosters as may be necessary to ensure the effective and - ~8 {3 ?! p% s/ r* m
cost-effective supervision of the venues at all times during which it
7 }* i9 Y9 l; J( qis in operation or needs to be in operation.
4 f( @( ^" {. w· To work with the Technical Director, when necessary, to ensure 3 U. W" r2 D( q9 T6 t+ L$ z3 S
that an adequate and appropriate level of part-time staff exists to " L$ E O6 b' ~: x
facilitate the smooth operation of the venues and to ensure all
- O; _0 }) o0 \5 a1 Q' L+ _renters needs are met.
5 e" u! v( Y( e& E6 B( d' A9 Q9 k· To work with the Technical Director to ensure that the skills ) w* e0 Z$ p1 r9 A9 E' }5 t
and attitudes of all subordinate staff are appropriate in light of 9 G! Q. _$ s- P" c
the roles they must perform. This includes providing adequate and " k: t0 g7 N1 U5 f
effective training (and re-training) in all applicable and
9 Y+ E0 u) G6 T8 e( j5 ~( tappropriate areas, and ensuring that the Policy and Procedures manual + ? B7 J1 K( |+ z) M# }+ b
is kep up-to-date at all times.
& b( X) I& m& M* |) i$ h· To ensure all staff are trained in and committed to providing
: `7 c% @! ?! A3 A) r3 Fexcellent customer service to all renters.# \# n+ P1 v8 v% W% m0 X; n" ]0 S! D: _
· To work with the Technical Director to arrange staff / E& O& D% W# h: x9 s% r- r
scheduling. To handle payroll related matters, under the guidance $ O" y8 f! A/ h
and direction of the Manager of Venues and Programming, concerning 7 [5 z! X6 K! u8 D' w
the staff of the venues.
% ?8 ?. z; |9 h7 B2 I0 n, _2 B3 S· Working with the Manager of Facilities and Operations to ensure / |+ m3 h, p+ S' A6 Y) v" ^4 e
the appropriate setup/tear down of each venue.

7 ?9 |% ~/ o9 L+ W9 tthat additional requests such as licensed receptions are arranged.

systems and processes utilized by or within the venues meet the , n n4 o8 h6 p% G) m9 U8 B7 E
appropriate standards, requirements and needs, and contribute in a
$ ], V6 W' y3 R3 kpositive way to the smooth operation and success of the venues. This

To provide input and expertise in the formulation of appropriate
c* v2 u0 h2 Foperating budgets covering the venues to the SU´s Manager of
& H# j Y! Z$ q' L! EProgramming and Venues and to discuss and refine those budgets
9 Z. t0 }* c6 U# D, k) PManager of Programming and Venues, and Manager of Finance & 2 d1 [! D0 G3 _
Administration prior to their submission for final approval.
" t" m. Y2 a0 b· To manage the venues in a manner which adequately and effectively
* M6 F) @) o; d* ? c3 \2 xreflects the budgets approved for the venues and/or which reflects
/ X0 p+ y- H; M3 R6 Ythe best interests of the venues and the Students´ Union./ u7 X; |$ p$ v: `6 C
· To function as the key player in the submission of financial and
, P# J! f% v8 W- W I& Z( Ladministrative documentation covering the venues to be used in the
0 L k! a, P& D, P% W* Lcompilation of monthly and annual financial statements, and such

· To discuss those financial statements and other reports, together

Administration with a view to determining and implementing action
& f' N, L& R5 U3 t4 Baimed at improving the financial and/or functional effectiveness of 4 i: Y% p7 p: N+ i2 W2 w2 V9 Z
the Horowitz Theatre.
8 y* W) W; d- l$ [7 b· To ensure the existence of adequate, effective and accurate job
9 m0 q9 K8 k" B. d9 I4 A5 Ycosting systems to be used in connection with the determination and ( u( B3 s6 T1 _- |' V
setting of appropriate prices for rental and staffing rates for # H$ a3 Q* L) F
events held in the Horowitz Theatre.
" t3 p8 O8 J5 h! A9 s" V* v' f· To develop accurate documentation to be used in connection with # k" C" r$ z6 `4 }6 F
the billing clients, and to forward such documentation in a timely
( {* ?( }+ S, w# S9 Q* _manner to the Accounting Department.
9 @- ], t& C6 G& V1 ~ ?· To recognize, address and handle all matters relating to financial
0 X* b6 }$ E9 p; |% Y4 cand administrative procedures and systems in a manner which reflects M9 \. V- `8 Y3 Y4 L4 u$ K
the requirements of the SU´s Manager of Programming and Venues and
; ^( l+ r3 u' ~ H) k& }Manager of Finance and Administration, and in a manner which
; J6 o8 d7 u! Z2 u: z: r* }contributes positively to the smooth operation and success of the 9 Z6 ]- y6 n! K8 [
venues.

a. To ensure, at all times, that the systems and processes used in ! @( |. X- g; _' n) z
renting the venues meet the appropriate standards, requirements and 2 f, ]! H, @- F+ P4 h
needs, and contribute to the smooth operation and success of the + t, R7 e9 ^- g: ]0 ?2 L+ v3 W
venues. This includes, but is not limited to, the following:) f6 O e6 [ z. ]/ ~( P8 a/ Q7 i9 w4 b

· To recognize, develop and set in place such rental procedures as ( n: V4 b3 U5 R5 a% d- @
may be necessary to ensure the smooth operation of the venues, this

. L4 [# |, f5 Yin the areas of contracts, inventory management, contract evaluation, 0 _) Y. N6 ^5 }8 s2 S6 `: a
pricing, costing, equipment usage, rental/contract invoicing,

to ensure the smooth, secure, efficient, cost-effective and 0 Y; u: w# v5 u, \, R+ l' A
functionally-effective operation of the Horowitz Theatre.
+ b- _, |- j7 T. t# _· To recognize, develop and set in place such operational procedures
9 v, `9 z' T# a( O) R4 P$ D5 was may be necessary to ensure the smooth, efficient and cost-
! ?7 r/ b6 g; z8 \% g2 Leffective operation of the venues.
; K1 G# W" w* a7 H% a· To negotiate rental lease agreements (contracts) relating to ' f1 s, U+ @; _0 M3 V
dates, rates, staff and miscellaneous charges.
4 F$ l& L7 H3 y9 q( B· To ensure that adequate inventory is available at all times and
0 @6 y; N% X. r2 qthat such inventory is stored and issued in effective and secure ways.
5 j2 I, S( r. Y- _- f) C( H1 z· To consult with renters as to facility issues in producing their
0 B* b: P1 E: E0 @) bparticular event in the venues.
/ |8 T+ E" l% f7 G· To provide the venues on-site staff with such documentation and
; E& n4 ?, R' G1 o3 \supporting information as it may need to effectively fulfill the
1 J! M' `# ^: `% N: T% froles they are to perform to ensure the success of the renter´s event., M. w4 R) V9 X+ u. B
· To produce quotes in respect to staffing costs for a particular
5 X5 C% N. x+ q9 x* s6 Erental with consultation with the Technical Director.% U- L! F% \, U3 k. h' l/ N
· To ensure that all queries raised with the venues whether from the 1 b* p D) B% W' U* o# u/ n- `
SU or renters, are promptly and effectively handled and adequately
8 O; ~8 b5 O3 O t" J1 ?answered, and to ensure that such action as may be necessary in
$ y3 Y: {& \& I! [. Z# bfollow-up to such queries is taken in a timely manner.1 O: x. S- h& O$ U2 G
To ensure that the venues and its capabilities are adequately, 6 c$ L5 J- Y0 o B* D5 y) Z
effectively and cost-effectively advertised and promoted, and that & \9 a x! ]# Q; z1 v/ `
the cost of such endeavors does not exceed the budgetary provision # i0 W% I4 R) I6 ~( g7 Y1 _
made for them unless prior approval is given by the Manager of
5 [" A1 ]$ e& ?Programming and Venues.7 n, L; U( W& q4 o' b% } }8 \
· To act as an informed and knowledgeable resource in the case of
+ l' y A. m; l% s, isignificant challenges and/or problems surrounding the tasks of 5 \5 f* H% Q0 k0 u" X! D. m+ b
marketing, administration, operations, and any such other matters as

operation of the venues or the Students´ Union as a whole.
