3 }; G& j" k8 xThe Operations Manager - Venues and Programming will operate with a

and Venues.

ROLES AND RESPONSIBILITIES8 @, j5 a! q% O' W
The duties of the Operations Manager - SU Venues are diverse and  
( z8 B4 z# f9 C3 n/ l6 d  C& H. _  Oextensive, and are targeted at the all round smooth operation and  # d0 h3 k$ ~1 V, _& ?3 R6 d" F6 A
financial and operational success of the Horowitz Theatre as well as  : [0 M( R6 s3 Q
the logistical organization and smooth rental of the additional  
2 G( t! x9 h" T4 {4 N& |6 V4 @# Hvenues within the realm of the Students´ Union.  In the light of that  ! X7 v) B+ d" Q- X
breadth and complexity, it is not possible to fully define or  
5 Z$ ]! S2 L: ~% l$ Odescribe all roles and responsibilities in a document of this kind.   
! [4 X: _' J7 |/ a, n5 z. }+ q# yHowever, the main roles and responsibilities of the Operations  9 s1 U) u) l( L* S
Manager are as follows:" L2 ^# t" m2 |

1.        Space Roles and Responsibilities

a.   To ensure, at all times, that the venues listed below meet the  3 o0 J( ?  H/ E5 S7 \
appropriate standards, requirements and needs, and contributes in a  7 V2 e3 w) R* O: m; K7 Y
positive way to the smooth operation and success of the individual  ( s0 P7 \0 @; a, P0 r, i$ \
renter.
; N: H4 k: D# w4 i) G8 @$ }·     Myer Horowitz Theatre
. H  R5 `9 [2 s  Q8 w! |' S! n# {·     Dinwoodie Lounge& J" [: t; H; q2 n' O9 }
·     SUB Stage
) `# E! y8 b# }- e) V0 F6 a3 y% ]5 d/ U; B1 M% }( o
b.   This includes, but is not limited to, the following:7 \9 I1 z! [3 u% g4 C
·     To plan the capital and supply expenditures to meet the  
; |5 l1 D- V% ^& Y8 lproduction and facility requirements.
' E$ p- w8 o& h% G: E9 v# p·     To ensure the day-to-day compliance of the venues with existing  
2 C7 f+ V' b' q4 ^  ysafety regulations and building policies.
# b% m2 ^" t. V; ~$ u6 N, k+ r* pTo ensure that the maximum potential of renters is met.

2.        Marketing and Promotion7 h( C2 n) \  A4 R2 v

- O0 n- y0 `: @: r( m5 P: Da.   To develop and implement a marketing plan for the venues that  
4 O, u* G2 A" x: H+ ~$ d6 v- d8 G0 Bfocuses upon advertising and promoting the venue to faculty,  
+ q' ^% v  ~+ N0 P4 u6 _students, and internal and external clients on an on-going basis.  ( V$ ?9 \# n2 v: ~
This strategy will include implementing and/or delegating the following:
- `5 `  ?  {9 g·     To develop and maintain promotional materials, the Horowitz  
8 J7 M( _5 X0 X2 R) QTheatre and SU Venues home page, newspaper and other advertising; to  7 f5 q4 c8 J5 [! r  N/ p
take advantage of other internal and external advertising  ; S$ Z" K# ?! E, O
opportunities; and to develop press releases and other promotional  7 ]4 u7 `9 `. d, P$ ?
literature on an ongoing basis.
1 x3 w# g) S! ^4 E$ z* K·     To coordinate tours of the venues for potential renters.
$ F9 ]& F, ]6 E1 ~- K  E. w% S: d, ]7 ^·     To promote upcoming events in the Horowitz Theatre through the  
- ~& ~; N: E+ F; P, s4 yuse of the Horowitz Theatre Home Page and the SU Events Calendar.
5 Z# ^3 F8 S4 R3 W3 `·     To develop new external clients for the venues.

" F  n& _9 N8 V2 ^1 d/ Q8 h* P# S$ r% e0 B( t8 Q& ?9 U
3.        Staff and Supervisory Roles and Responsibilities$ s( }. r0 ]- g: H

% G. c7 R3 _6 ]a.   To ensure, at all times, that the venues are adequately and cost- ! z# v! @! L% l2 _
effectively staffed, and that the staff utilized by or within the  5 ?/ i0 Z$ S' [" i* B2 [
venues meet the appropriate standards, requirements and needs, and  
8 ~: M# _/ m* d2 p- A2 ~9 c  acontribute in a positive way to the smooth operation and success of  
' e4 @) _' Z8 T; {% {2 e5 N$ J/ Kthe renter´s events. This includes, but is not necessarily limited  3 T7 k! s9 \2 _
to, the following:
+ @& }- K% f1 e& A·     To be responsible, under the direction of the Manager of Venues  
# e' a! Z! w% e8 I+ c3 Hand Programming, for all staff issues including hiring, disciplining,  
. s3 r9 \5 X, ]evaluating and terminating, as necessary., r1 M/ I3 H/ S) Q/ U0 e
To ensure that the Horowitz Theatre is adequately supervised at  
" Y% X1 n8 W$ g1 K" ~) Oall times, this includes the development and implementation of such  . w: a) t; L& `5 E
schedules and rosters as may be necessary to ensure the effective and  . H6 x1 S+ M* Q8 K0 {; q3 |* p
cost-effective supervision of the venues at all times during which it  
0 `" e# N/ I  U6 Nis in operation or needs to be in operation.' j4 a0 I/ J, E6 I
·     To work with the Technical Director, when necessary, to ensure  7 ^2 {/ x' T! K! P# F# y
that an adequate and appropriate level of part-time staff exists to  
% ~' @* F: B: r' y7 v+ Rfacilitate the smooth operation of the venues and to ensure all  
5 {' \* G, t: t$ K0 e- wrenters needs are met.& u. J9 j( q/ j3 l5 S4 Z
·     To work with the Technical Director to ensure that the skills  ! U$ z& e: k5 E9 a
and attitudes of all subordinate staff are appropriate in light of  * A: ^5 c( G) l) {# {9 r7 X
the roles they must perform. This includes providing adequate and  
6 w; Q! j" ^. y: r" peffective training (and re-training) in all applicable and  ; {  n! E5 E( r# M; D% z. r# W9 L) z$ t
appropriate areas, and ensuring that the Policy and Procedures manual  # [& m9 o0 @) L, w7 R
is kep up-to-date at all times.6 S, f% ]* q( V" |! c
·     To ensure all staff are trained in and committed to providing  
; @6 X; n6 i$ A& i% Zexcellent customer service to all renters.
3 b" y+ b$ u% o! p* W4 ]  B. k& t·     To work with the Technical Director to arrange staff  
- |, V& e& V9 _# gscheduling.  To handle payroll related matters, under the guidance  
: [, s- h6 c5 D: Jand direction of the Manager of Venues and Programming, concerning  
! D& }7 [: I* I) W5 o& z! N( Tthe staff of the venues.5 e: d7 f- K0 q7 i1 \! h6 Y4 G
·     Working with the Manager of Facilities and Operations to ensure    G" o7 N! ^% H
the appropriate setup/tear down of each venue.
( q1 p0 [* J) t1 ]·     Working with the Manager of Programming and Venues to ensure  
' c4 c9 ]3 }& |- x* Nthat additional requests such as licensed receptions are arranged.: {5 A& Z8 s2 s* l; {

4.          Overall Financial Performance
7 o: y+ g8 h, G7 U6 |* e
1 F3 D: @# `- r3 a( Z3 Y- x/ Ba. To ensure, at all times, that the Financial and Administrative  9 e+ `8 h! ^# d) ~' E( T4 I
systems and processes utilized by or within the venues meet the  # o% A& ^' H# A$ S/ T  q
appropriate standards, requirements and needs, and contribute in a  5 L. v% ?7 t$ ]. s# q
positive way to the smooth operation and success of the venues. This  0 E7 u. }8 X7 u1 @& H2 B
includes, but is not necessarily limited to, the following:' ]9 k+ c! z* q
To provide input and expertise in the formulation of appropriate  
9 J; o3 P- ^, }5 ]: h' @+ W6 O1 coperating budgets covering the venues to the SU´s Manager of  
5 _, o& }# T  ]  s5 H2 t8 O" K7 q7 S8 ~Programming and Venues and to discuss and refine those budgets  % j/ Q' x# O) M9 r: |( d2 I5 ]& E
Manager of Programming and Venues, and Manager of Finance &  5 d" v1 a7 k* ~8 N+ h
Administration prior to their submission for final approval.
$ Y! F2 L7 \4 l5 E7 Z·  To manage the venues in a manner which adequately and effectively  
' S$ I  ?% T: n7 mreflects the budgets approved for the venues and/or which reflects  
# q0 g& P$ N. v8 j! J9 ?5 hthe best interests of the venues and the Students´ Union.
0 \$ p) i4 A3 T. W# E; X7 Y) x·  To function as the key player in the submission of financial and  . g  K+ }& P# y' }6 ?- t
administrative documentation covering the venues to be used in the  
) |  y) u) [2 Hcompilation of monthly and annual financial statements, and such  
9 _) |! n  j/ c; I- A8 Z! G+ Rother reports as may be necessary.
' h9 A% }! W; `( x·  To discuss those financial statements and other reports, together  
; K" x5 @" D! _3 Ewith all financial and administrative procedures, with the SU´s  7 A* x! [- f) T/ Y& h5 B. t
Manager of Programming and Venues and Manager of Finance &  8 |# g( ^% t. \7 A$ R/ I
Administration with a view to determining and implementing action  
. p" F) S* |- i6 l) a7 Vaimed at improving the financial and/or functional effectiveness of  
  [5 ^6 i; @7 u# y& v  Y& e" q( mthe Horowitz Theatre.
  h# J, o- Y6 m5 H% W0 e5 t$ I·  To ensure the existence of adequate, effective and accurate job  . `6 G4 G2 K/ _$ ?, B) A; c. c7 k
costing systems to be used in connection with the determination and  
! f" J( @4 C9 K& ~& j9 K7 Q! Gsetting of appropriate prices for rental and staffing rates for  " m' T% Y: R/ x- z' l
events held in the Horowitz Theatre.
6 `1 x; n5 F7 A2 r- o3 M4 p·  To develop accurate documentation to be used in connection with  
' W6 a- ~: N: P+ }: Uthe billing clients, and to forward such documentation in a timely  & j6 D7 v$ O9 T
manner to the Accounting Department.
; y4 v* h& Q0 k5 _" s* p/ w) R$ o·  To recognize, address and handle all matters relating to financial  
: |9 e9 q4 Q- X9 u: rand administrative procedures and systems in a manner which reflects  ' C( _! n. m: X+ b  Z, v. s
the requirements of the SU´s Manager of Programming and Venues and  5 b# Q8 ~) k3 O; |0 ?3 G6 d
Manager of Finance and Administration, and in a manner which  
0 _0 w! `* a- v3 A& |, W9 Wcontributes positively to the smooth operation and success of the  
/ u& C7 L" q3 A, u, {8 Ivenues.( ], P, M0 y% G2 \4 z1 p
. J0 A! @9 K6 [4 w! [) p8 W4 D
5.          Overall Roles and Responsibilities2 c0 L# |* w" E6 \3 c- T
a.   To ensure, at all times, that the systems and processes used in  
) A4 C" w+ y5 C& h$ f+ Krenting the venues meet the appropriate standards, requirements and  
* m8 O# u$ t5 v6 nneeds, and contribute to the smooth operation and success of the  
0 [# O3 ?* w% C9 jvenues. This includes, but is not limited to, the following:
& E( g3 o3 N6 Z; \5 x
8 `7 {! P& h! G) A2 s& x·  To recognize, develop and set in place such rental procedures as  
8 f+ [. _0 f% A8 w5 e# }: u4 N3 v: Ymay be necessary to ensure the smooth operation of the venues, this  / s1 X4 t, o2 n( x4 L/ n# z
is to include but not necessarily be limited to systems and processes  
- R& w' i9 Q* l# P8 R8 P! Oin the areas of contracts, inventory management, contract evaluation,  
2 K1 A- Y8 N" w0 qpricing, costing, equipment usage, rental/contract invoicing,  4 K" B" _. q  p1 m% U% @9 m8 `- @7 X
together with such other systems and procedures as may be necessary  
2 q( J4 B/ B; }to ensure the smooth, secure, efficient, cost-effective and  5 A6 f. H4 i. m; @+ H4 `
functionally-effective operation of the Horowitz Theatre.- A0 z! m& J! t0 }% x2 R
·  To recognize, develop and set in place such operational procedures  
, |' b; Y6 D! ^4 O7 |. Gas may be necessary to ensure the smooth, efficient and cost-
( `( Q+ K% Z; x5 ~. W* Aeffective operation of the venues.
+ M$ P" ~# Z* q( M# t1 T·  To negotiate rental lease agreements (contracts) relating to  
- r/ v  @3 {# I# W; \  ^dates, rates, staff and miscellaneous charges.
8 B  S: d/ _% W·  To ensure that adequate inventory is available at all times and  
9 Z3 s9 Z; a7 }1 |, Dthat such inventory is stored and issued in effective and secure ways.
' }, P6 ^. z1 \7 f·  To consult with renters as to facility issues in producing their  2 _8 q/ F2 o$ B; f
particular event in the venues.
% o6 A8 k+ y  n4 u/ B# L·  To provide the venues on-site staff with such documentation and    }/ u( c; w0 \
supporting information as it may need to effectively fulfill the  
! `5 C: |$ [4 G, Oroles they are to perform to ensure the success of the renter´s event.
  a! w6 g6 _, ^* l9 s: M% }0 k·  To produce quotes in respect to staffing costs for a particular  
; M$ y$ u% e* b3 Q- f6 nrental with consultation with the Technical Director.
4 |5 O1 a5 x& @4 n9 d·  To ensure that all queries raised with the venues whether from the  
3 T% k) I' |9 ^* ^; F1 zSU or renters, are promptly and effectively handled and adequately  ! e; T) D0 t3 C4 V" H! ?3 ^& _
answered, and to ensure that such action as may be necessary in  
7 x# j( _$ o2 N, D% a3 l6 i0 ?/ M# T4 Afollow-up to such queries is taken in a timely manner.
+ R2 P3 v8 P( ~ To ensure that the venues and its capabilities are adequately,  
: I2 O1 n, A% c" ~9 p4 h% _effectively and cost-effectively advertised and promoted, and that  ( ]4 ~5 A$ V$ F" {, `
the cost of such endeavors does not exceed the budgetary provision  
! I# u: T- C" i$ W: hmade for them unless prior approval is given by the Manager of  
% O1 O6 C& p8 S6 pProgramming and Venues.
+ T8 Q: G3 l, d0 o9 x8 P) m( w·  To act as an informed and knowledgeable resource in the case of  ) \9 C' y$ t" f3 {! y5 r1 @/ J
significant challenges and/or problems surrounding the tasks of  $ r3 X7 `" J- o, J$ @2 ]$ }9 ^* z
marketing, administration, operations, and any such other matters as  
0 P/ {6 V" v" m5 S! a  U; Pmay provide such challenges and/or problems.: Y0 r0 {! j3 \' s0 D
·  To attend such meetings as may be required to support the smooth  + Y1 Y( y" c& j0 {9 H. a
operation of the venues or the Students´ Union as a whole.
: t! s4 n8 R* _( v& [+ I·  To perform other job-related duties as may be required by the  ' ~& B, A/ c, k, @$ L, S6 s. F9 Z5 T5 {
Manager of Programming and Venues in order to ensure the smooth and  
/ h, @" r( i$ A3 ^+ J" g: ^secure operation of the venues.
7 [* c5 Q' A9 G! O) j4 w' J·  To recognize, address and handle all matters relating to overall  
1 O8 F# g' U( {7 v3 ?# g9 h* Aoperations in a manner which reflects the requirements of the SU´s  4 h* @, [5 c7 E: x
Manager of Programming and Venues, and Manager of Finance and  $ ^  H. H  X8 _$ X- ]  s
Administration, and in a manner which contributes positively to the  / x3 u  M9 b- b# \6 b
smooth operation and success of the Horowitz Theatre.

1)             Minimum two years related post secondary education, or  
3 _! u& Y5 `  _# Z5 S( V9 a' V3 Jan acceptable combination of education and experience.7 v6 p) h* ?+ y/ @$ R
2)             Supervisory experience.
9 L" ?8 O3 w; V+ x* \: @3)             Ability to create new initiatives with little or no
