Job Duties / Responsibilities
3 F: E. ]& U& L9 O• Preparation of meeting agendas and taking minutes as required.( a2 K* o$ @; V0 I' l/ T0 ]8 I
• Preparation (formatting, compilation) of Monthly reports/Warehouse management (BW) monthly reports.
& v6 I' m1 G' @+ J: X• SAP match reporting and monthly management+ Q  P$ s8 ~9 u' Q
• Responsible for coordination and organization of office needs and supplies.
3 P+ V2 Z+ G8 i2 f3 R• Organization of company functions/luncheons as required.& g! D. c* E% I6 H6 J( h
• Coordinate network ID / requests for new hires, internal orientations.( W5 W: X; |( v# |" c& z5 D5 X
• Train new Visa card holders ¿ Visa Administrator.  R, i) {; J( Z% P3 `4 v+ {$ }
• Preparation of Monthly Visa Statements.1 O0 S4 i3 A8 O
• Order business cards as required./ `" `, g: {9 y( m1 P0 o; p
• Maintain contact list, employee files (including expenses)9 d, E. n6 z) n) V
• Prepare travel approvals, books accommodations / meeting rooms / luncheons.( E# i+ Q- {4 V* L$ l# Z
• General filing, phones, mail distribution incoming / outgoing, mail shipping & receiving / distribution of material, courier tracking.. G0 h& o5 w' I& `; q4 M! d6 K' y- R
• Vacation relief for other administrative staff.+ H# x$ v4 P/ y5 |1 i. ^
• Preparation, organization and record keeper for Maintenance Department training& \1 |& q3 S0 T3 U+ v

1 Z/ C+ X. ]% w% \( C. H, f6 D# ^5 [
3 F) }$ ~# \! ~Education / Experience( n7 O" r8 m, F5 L, w$ W
• Grade 12 or equivalent
, M, w/ B5 J; [# Y) z& M& o% o• Proficient in Microsoft Office Products (Word, Excel, PowerPoint and Calendar)( w* }' @; M2 Z8 \
• 3-5 years of related administrative experience
2 G- O  P. h7 R. e7 H1 P• Keyboarding Skills ¿ 50 w.p.m or greater5 e4 d- j* e/ r3 v) R
• A high level of discretion, confidentiality, and reliability is essential. * p; d9 C1 i+ K) D2 ?
• Attention to detail is required.
3 l) k7 y) S* a6 K( z* Z" Z# ?" |( \• High level of customer service skills is a must.0 c( F5 k5 J2 }7 J' B' u! L
• Good planning and co-ordination skills.& h6 `3 x8 i4 a7 g8 w/ S0 _& v
• Shorthand/Word processing skills.
4 F: z6 _) E1 ^" ~5 o, `• Business Administration Diploma or relevant certificate would be considered an asset.: ?! V  R9 ?/ p/ F0 y) V: \% }/ s
• Prior work experience with SAP is an asset.
