Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

K+ U. _4 b7 ], MCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.3 W8 n8 G( l# }: P, D

  v/ c/ Y- s$ }! c; N, R7 `• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.' E6 s1 P: Y* V  ^

5 P# ^/ D' o: A( M$ G( I* |• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.# i0 v7 V4 m' {( \1 r

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:4 ?* H: [! S' W, r2 Y

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.. b6 f) R* ~; W, {0 K

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.8 y: [$ F" b5 w

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications., p- ^8 C9 }& |, k

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.0 }- `: a* _0 U4 o% N& t. [

8 y9 V9 C; L9 Y! M; s6 w3 ^! S• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Support logistical work required for CFCA’s Annual General Meeting* O0 ~: s4 v* x+ |" @

• Assist in administrative tasks related to donor recognition and event reconciliation as required.2 i( D* h% u! H# Y5 E# Z4 m  F

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.
