The duties of the Operations Manager - SU Venues are diverse and  
  P1 i% i( {+ f# Dextensive, and are targeted at the all round smooth operation and  * Y2 [# d5 \( _) c
financial and operational success of the Horowitz Theatre as well as  ' |% S2 \9 W: E' r2 ~+ v
the logistical organization and smooth rental of the additional  
5 }$ y4 Q' U8 l3 V7 O& o+ W# `venues within the realm of the Students´ Union.  In the light of that  
: s) B( d8 C8 M1 F( @breadth and complexity, it is not possible to fully define or  
3 d; x. L5 }, u1 q3 R* N0 Hdescribe all roles and responsibilities in a document of this kind.   
1 r0 w( k9 c6 ~5 `' k+ B; q6 xHowever, the main roles and responsibilities of the Operations  + q, Y1 Y5 S3 P; V  W, Y3 b% [

appropriate standards, requirements and needs, and contributes in a  $ ^$ T: X( W" [5 V: a
positive way to the smooth operation and success of the individual  . [" @7 [7 z: y8 x. Q

·     Myer Horowitz Theatre

·     To plan the capital and supply expenditures to meet the  - l/ e+ m' ^5 ^8 g% Y1 B+ c6 a. w6 S
production and facility requirements.
' A) m6 G% r! w  s: {·     To ensure the day-to-day compliance of the venues with existing  
- C5 \  D+ S* Gsafety regulations and building policies.

2.        Marketing and Promotion6 @, Y1 G) V3 q

# w) t; G) s8 Wa.   To develop and implement a marketing plan for the venues that  ' v( z2 I; z4 e* f# g& W+ f
focuses upon advertising and promoting the venue to faculty,  
- G6 W9 B  W* H' b: Bstudents, and internal and external clients on an on-going basis.  
: |% A# O9 i% B+ _This strategy will include implementing and/or delegating the following:, c/ ~1 E# q. g% b
·     To develop and maintain promotional materials, the Horowitz  
6 C: r0 d- c0 e- YTheatre and SU Venues home page, newspaper and other advertising; to  # N' _: A$ N) [. Z) ]2 q
take advantage of other internal and external advertising  - `) J$ O; f- x* [9 f3 V0 s0 G
opportunities; and to develop press releases and other promotional  & G4 k1 V( F2 l. a  d4 Z: h* J
literature on an ongoing basis.
, S: D6 m4 r( z2 k' x·     To coordinate tours of the venues for potential renters.
- \# n6 b& }" f: U. ^·     To promote upcoming events in the Horowitz Theatre through the  : n: }$ p8 b2 m
use of the Horowitz Theatre Home Page and the SU Events Calendar.
, y9 ^6 u4 z9 A. R·     To develop new external clients for the venues.

3 l6 ?/ f( |+ c3.        Staff and Supervisory Roles and Responsibilities& C* \/ v, Q3 z
% g2 K7 j0 s# T# W$ z
a.   To ensure, at all times, that the venues are adequately and cost- * o; E. c7 R3 l- p7 q. {
effectively staffed, and that the staff utilized by or within the  
& P; z" n" A* [) d5 i+ ]- H. Z4 A" Ivenues meet the appropriate standards, requirements and needs, and  
& l4 S3 s; E( j% Ncontribute in a positive way to the smooth operation and success of  8 W! O  W- V* v9 u- x
the renter´s events. This includes, but is not necessarily limited  " _5 I& G' Q! {: b# h
to, the following:
; L3 t" x3 m3 U2 G; q·     To be responsible, under the direction of the Manager of Venues  
  j3 R" M! ?7 d- K$ w1 _and Programming, for all staff issues including hiring, disciplining,  
+ g6 i4 ~" L' t! c0 {3 Y4 kevaluating and terminating, as necessary.
0 Z4 ?8 l5 D' m0 d2 q" w To ensure that the Horowitz Theatre is adequately supervised at  7 L  z$ U& Q& a. |
all times, this includes the development and implementation of such  / N# |% F% C# E/ v9 m
schedules and rosters as may be necessary to ensure the effective and  
2 o* Y2 V$ H* i. W3 N: S2 w) Y# rcost-effective supervision of the venues at all times during which it  ) T/ D2 s! {7 Z6 R1 s6 f, r. v
is in operation or needs to be in operation.
5 ^$ w& g" x0 ~/ S& E·     To work with the Technical Director, when necessary, to ensure  : m3 G9 O; w5 _$ G5 f% W  H
that an adequate and appropriate level of part-time staff exists to  " d7 u& b( D9 A5 p1 c6 \8 e2 J
facilitate the smooth operation of the venues and to ensure all  
. t' a4 {- `5 u7 W$ p. q" Xrenters needs are met.2 `4 N4 \, k' p% @8 c* ~
·     To work with the Technical Director to ensure that the skills  - V4 k/ I+ f/ e, J) B/ k! z+ h1 W
and attitudes of all subordinate staff are appropriate in light of  5 a5 \8 O% j" k0 e, k
the roles they must perform. This includes providing adequate and  - A" F# S% L% ]3 h
effective training (and re-training) in all applicable and  
1 m& g6 j8 R. \  I: m2 \; E1 Iappropriate areas, and ensuring that the Policy and Procedures manual  
  V3 ~( \  H, S1 k1 R) W3 S. xis kep up-to-date at all times.& e- ~0 y; {# T
·     To ensure all staff are trained in and committed to providing  5 n6 O: e/ f5 e
excellent customer service to all renters.) i4 t) ]& }6 @+ D
·     To work with the Technical Director to arrange staff  ! J! n) w* G7 ^4 J0 J4 J2 O5 B  Y9 q
scheduling.  To handle payroll related matters, under the guidance  . ]( U+ `; B! F% c* L/ T
and direction of the Manager of Venues and Programming, concerning  
4 j! g' ]6 T  X5 L& Y2 ?' Cthe staff of the venues.
9 r5 z+ y$ y* A8 K( ^·     Working with the Manager of Facilities and Operations to ensure  ) }$ _" ^: o2 u
the appropriate setup/tear down of each venue." G* m: F9 Z7 o* L( b& ]' A
·     Working with the Manager of Programming and Venues to ensure  
0 e2 V$ A7 A0 o, x% b+ n$ i6 |that additional requests such as licensed receptions are arranged.1 X' }* D; k! W% Z

4.          Overall Financial Performance, R- h: H, t& o: P4 X+ v6 V$ T8 {  r& C$ }

8 |, ^, X( G2 D8 F  X. [a. To ensure, at all times, that the Financial and Administrative  
) b& v% M& j, X7 qsystems and processes utilized by or within the venues meet the    x. \) [5 r! L! D' h6 v9 H
appropriate standards, requirements and needs, and contribute in a  9 Q$ {: i; n4 S1 T* M
positive way to the smooth operation and success of the venues. This  
7 a2 J$ u9 J. ~* H* T$ _( d6 Bincludes, but is not necessarily limited to, the following:
) g# `: T7 K/ Q& \  s To provide input and expertise in the formulation of appropriate  # k6 g5 W6 W6 r7 H) c4 V
operating budgets covering the venues to the SU´s Manager of  : w3 T; j) O+ R  ]* P) c" F4 L& ^
Programming and Venues and to discuss and refine those budgets  9 v6 a: R! a5 t; w7 R( d
Manager of Programming and Venues, and Manager of Finance &  . D6 w3 Q1 P* ~  e/ ?9 E! S
Administration prior to their submission for final approval.
4 d1 L6 x3 A/ l: j3 L( H·  To manage the venues in a manner which adequately and effectively  ' f$ E5 u6 V# Y' I
reflects the budgets approved for the venues and/or which reflects  
/ e2 i. u1 k$ W' d6 u8 fthe best interests of the venues and the Students´ Union." b* \! r8 I2 T. N9 S$ [9 C
·  To function as the key player in the submission of financial and  
) {# `" E/ T  }4 _. ^5 Fadministrative documentation covering the venues to be used in the  ) ^) }7 ^; U4 Y' Q% f
compilation of monthly and annual financial statements, and such    t8 `+ X1 g/ g6 e
other reports as may be necessary.3 B  _- Z2 \2 v
·  To discuss those financial statements and other reports, together  
6 P) Y2 S6 O" Swith all financial and administrative procedures, with the SU´s  
7 m$ G0 m/ S% I8 s1 y: jManager of Programming and Venues and Manager of Finance &  , _# a  ?3 ]5 \0 f! ~$ l# V
Administration with a view to determining and implementing action  
( {( ^: D% R4 T3 naimed at improving the financial and/or functional effectiveness of  5 j7 a0 I3 Z/ I4 E; ^8 E$ U5 E
the Horowitz Theatre., j; z  A: t3 g
·  To ensure the existence of adequate, effective and accurate job  $ b+ l  ?7 v/ {; D+ K* S( t: h) K+ e
costing systems to be used in connection with the determination and  7 P  W8 v2 K- S4 X
setting of appropriate prices for rental and staffing rates for  
2 O. x) P1 Y" j  `1 O/ `* Aevents held in the Horowitz Theatre.2 N7 Y4 O3 v, k+ q9 V- M/ l
·  To develop accurate documentation to be used in connection with  
0 _& k& \+ _* P( o+ ]the billing clients, and to forward such documentation in a timely  # l: }% ?; o8 U3 h
manner to the Accounting Department.7 T+ m5 v6 g& D! R
·  To recognize, address and handle all matters relating to financial  $ r4 \  L: g+ K: r; S5 ^& Q; ]6 `, p
and administrative procedures and systems in a manner which reflects  % f& D( {5 u( U+ w4 y
the requirements of the SU´s Manager of Programming and Venues and  ) K# F. @8 X, L+ B; M2 G& f
Manager of Finance and Administration, and in a manner which  . |' f' p$ j4 @2 x' n6 k& q
contributes positively to the smooth operation and success of the  $ ?" E9 `1 `. u: z; s! O+ @
venues.

# `, f( ?3 l# f8 r" e, S( v5.          Overall Roles and Responsibilities
4 B% h/ X8 ^$ r9 Za.   To ensure, at all times, that the systems and processes used in  
1 s( m* q: }- U2 U! ^, E+ xrenting the venues meet the appropriate standards, requirements and  " s: N% }# `' d4 Z9 h
needs, and contribute to the smooth operation and success of the  
( `, O  @7 R( {2 X' n" Y: Cvenues. This includes, but is not limited to, the following:7 g' w3 |2 \8 W8 x4 f& A# X4 S* K

& Q4 Q& Y" _% g' l; B·  To recognize, develop and set in place such rental procedures as  ! V0 P8 @0 g7 m
may be necessary to ensure the smooth operation of the venues, this  & E; H( A3 p" t  t
is to include but not necessarily be limited to systems and processes  + m& N% A$ k; S+ k5 M
in the areas of contracts, inventory management, contract evaluation,  - k+ s$ y- x+ C0 \
pricing, costing, equipment usage, rental/contract invoicing,  7 Y2 d" {3 m  d+ m6 `
together with such other systems and procedures as may be necessary  
" T' v8 R, _) _+ W4 Y2 vto ensure the smooth, secure, efficient, cost-effective and  2 K7 X% g3 y& J1 R- @
functionally-effective operation of the Horowitz Theatre.4 J8 m8 m( T. m8 u9 j/ j9 {
·  To recognize, develop and set in place such operational procedures  1 J. K; w: H; G5 M2 ^! S" |
as may be necessary to ensure the smooth, efficient and cost- & ^: Q( P+ W+ ~1 q* z( Q
effective operation of the venues.
; `( H( H4 R' h9 n8 H( C·  To negotiate rental lease agreements (contracts) relating to  
! V" p0 p# Z, ]/ b7 pdates, rates, staff and miscellaneous charges.5 G; [) \. G( P# g
·  To ensure that adequate inventory is available at all times and  : V2 @1 y: I0 D* @5 M7 `7 t( _
that such inventory is stored and issued in effective and secure ways.$ T" \) k) @  R# g9 }
·  To consult with renters as to facility issues in producing their  + @% Q7 l& N* @* j* x* x
particular event in the venues.$ Q' M4 C0 P8 a
·  To provide the venues on-site staff with such documentation and  
' x# o  F0 Q8 L9 m: I) Csupporting information as it may need to effectively fulfill the  ( E: q7 r, p/ r# P0 l) a2 i) G
roles they are to perform to ensure the success of the renter´s event.
1 Q; \& e# Q# z·  To produce quotes in respect to staffing costs for a particular  
, I& E) o  h. Yrental with consultation with the Technical Director./ J2 v1 Y9 z* Q2 V" p. _
·  To ensure that all queries raised with the venues whether from the  7 |* F/ @' V& h/ w
SU or renters, are promptly and effectively handled and adequately  
/ s" F' m* A5 O/ d) Uanswered, and to ensure that such action as may be necessary in  & o: E$ P1 C4 s" Y% x
follow-up to such queries is taken in a timely manner.
* T. h: D% l) ?) j8 I3 x To ensure that the venues and its capabilities are adequately,  0 Z3 U! w& o9 Z# T' _/ d4 c! T
effectively and cost-effectively advertised and promoted, and that  
* E4 {1 s, x0 W; [0 k& ythe cost of such endeavors does not exceed the budgetary provision  
8 b4 m8 Z2 V; Dmade for them unless prior approval is given by the Manager of  
$ r- a- e% l5 a! S% v' E, Q( rProgramming and Venues.8 y! ]$ m3 C+ f/ \& c
·  To act as an informed and knowledgeable resource in the case of  
2 ?% L9 ^3 O- z1 ?: h# z5 `significant challenges and/or problems surrounding the tasks of  
. Q  M+ @. f+ V0 i4 r) |marketing, administration, operations, and any such other matters as  
' u, g' u, E( R  r; k- lmay provide such challenges and/or problems.
( Z3 d' X! r  V, T, i5 E4 J·  To attend such meetings as may be required to support the smooth  ' j4 w% ^: S. q5 n, x
operation of the venues or the Students´ Union as a whole.
8 ]2 N8 H* _# ?4 I2 `, U. A·  To perform other job-related duties as may be required by the  
( f9 H, D: Y6 `" D9 UManager of Programming and Venues in order to ensure the smooth and  1 Q  |+ U7 {$ P- y+ l
secure operation of the venues.

' A; e0 C, W- b" `operations in a manner which reflects the requirements of the SU´s  % S$ J1 n" z3 e+ Q9 L" m
Manager of Programming and Venues, and Manager of Finance and  
0 b9 b* f4 {+ I( HAdministration, and in a manner which contributes positively to the  
- o4 d7 i0 m1 F; d! O/ F: [smooth operation and success of the Horowitz Theatre.

QUALIFICATIONS:

3)             Ability to create new initiatives with little or no
