2 L5 Z/ b) h* P% R) z1 {The duties of the Operations Manager - SU Venues are diverse and  
% h( d9 W3 s: L9 wextensive, and are targeted at the all round smooth operation and  1 R2 Y$ H0 z" L  |1 n) j
financial and operational success of the Horowitz Theatre as well as  
! H# Z1 f9 T+ ]8 a9 K; P  `  othe logistical organization and smooth rental of the additional  9 {7 X" B: K# b: S- i0 U1 C; Q  \- M
venues within the realm of the Students´ Union.  In the light of that  1 L- c, B& ?. c1 B" \- _! R
breadth and complexity, it is not possible to fully define or  
3 t- @$ U5 P/ Y: z4 t4 g2 Hdescribe all roles and responsibilities in a document of this kind.   
* ?2 W# Z4 w3 dHowever, the main roles and responsibilities of the Operations

9 f3 U3 ?- ~( x% Oappropriate standards, requirements and needs, and contributes in a  ! `3 D8 ?, ^- h6 U3 M8 u; w8 W2 _
positive way to the smooth operation and success of the individual  2 K" \% C6 D0 Z! _; j" t. U, g) T
renter.
9 h4 b% G' G2 _* n% L·     Myer Horowitz Theatre- H% w9 x4 G# O
·     Dinwoodie Lounge: \# }+ C7 u  [5 R& j( J

b.   This includes, but is not limited to, the following:
( x* c8 w1 X( O1 o·     To plan the capital and supply expenditures to meet the

To ensure that the maximum potential of renters is met.

a.   To develop and implement a marketing plan for the venues that  
; }- ~/ A( @1 y+ V* d$ x. [) s/ ofocuses upon advertising and promoting the venue to faculty,  
$ U" K. b( x; U% y4 D, f& ^$ Y. L' mstudents, and internal and external clients on an on-going basis.  - J. s" b1 r5 U1 h& t
This strategy will include implementing and/or delegating the following:) T+ p+ u5 P8 @+ I& W
·     To develop and maintain promotional materials, the Horowitz  " @' T& w5 b& O- B" C* X
Theatre and SU Venues home page, newspaper and other advertising; to  - W; n+ s' p0 T7 q- l8 [
take advantage of other internal and external advertising  , |- s  u# G/ y9 }1 }
opportunities; and to develop press releases and other promotional  
0 p- I/ q6 H& [" E) Wliterature on an ongoing basis.7 R; x  n9 c$ l% L
·     To coordinate tours of the venues for potential renters.8 B- M4 l' a; M& x
·     To promote upcoming events in the Horowitz Theatre through the  ; H  ^  p4 i/ ]7 @- e
use of the Horowitz Theatre Home Page and the SU Events Calendar.

3.        Staff and Supervisory Roles and Responsibilities+ Y0 }+ \3 o" w8 i- a4 @# `
. O, x( i! W/ u2 Q* _0 _# M
a.   To ensure, at all times, that the venues are adequately and cost-
: c) Q( j$ W  d! q% w# |( Peffectively staffed, and that the staff utilized by or within the  
  Q) _# V( D, cvenues meet the appropriate standards, requirements and needs, and  
: S0 N* m1 B; d' Z( q' p* acontribute in a positive way to the smooth operation and success of  
' d2 R7 ?4 t* T$ L$ Vthe renter´s events. This includes, but is not necessarily limited  
" p6 b$ I- w. {+ S% s! [to, the following:6 j5 s' w2 p* f- n! x8 h3 u
·     To be responsible, under the direction of the Manager of Venues  
7 D5 ]- \/ O- W% [and Programming, for all staff issues including hiring, disciplining,  
* `; _( Y7 ?. M3 I: Cevaluating and terminating, as necessary.
5 ?7 ]" t. K! ^0 F2 n9 V! H To ensure that the Horowitz Theatre is adequately supervised at  
0 @$ z9 U8 q2 l. R! [all times, this includes the development and implementation of such  
* N+ e9 r& O2 ?0 e5 x# vschedules and rosters as may be necessary to ensure the effective and  
! n/ ?6 q, ^) N; Kcost-effective supervision of the venues at all times during which it  
; K5 j, R0 c" l" S" jis in operation or needs to be in operation.
+ W; i$ D; p# Y·     To work with the Technical Director, when necessary, to ensure  8 n  x% u+ Y: L8 U
that an adequate and appropriate level of part-time staff exists to  
& M( j+ S, Q) g+ r) A- q! Rfacilitate the smooth operation of the venues and to ensure all  : h4 t4 Y$ [, G
renters needs are met.
: ^$ N$ z" A3 D7 B, ~( Z8 u6 U- F  m·     To work with the Technical Director to ensure that the skills  
& J+ m7 l8 @. I2 s- L+ band attitudes of all subordinate staff are appropriate in light of  
3 ~; p7 Q/ Z9 x0 C) Cthe roles they must perform. This includes providing adequate and  6 O; |0 `4 v/ r, ~! {" H. Y
effective training (and re-training) in all applicable and  
+ r) [/ r) G/ a/ W% E. ~0 kappropriate areas, and ensuring that the Policy and Procedures manual  * m) {  H, z* {' m
is kep up-to-date at all times.9 K0 @, e# l6 M3 n* Q
·     To ensure all staff are trained in and committed to providing  
6 G' g! S- f- z# k5 Dexcellent customer service to all renters.3 r" e$ l8 a( T8 y) u" K- J
·     To work with the Technical Director to arrange staff  & }: s) |0 e* D) t1 Y
scheduling.  To handle payroll related matters, under the guidance  
% I' E+ S. s0 d3 Iand direction of the Manager of Venues and Programming, concerning  0 D/ A1 t$ E( o; n, E6 {3 Y
the staff of the venues.
$ I: z" \) b9 G0 J2 Q0 I/ c) I·     Working with the Manager of Facilities and Operations to ensure  & m3 A; Q+ H4 g7 n9 q
the appropriate setup/tear down of each venue.
% G5 B: u1 K; s( j·     Working with the Manager of Programming and Venues to ensure  . V1 }. M& ], n( d9 g. s+ ]- o& I3 k
that additional requests such as licensed receptions are arranged.

$ l! j5 t; ^' I$ |4.          Overall Financial Performance: S5 h7 `# q" I2 b6 s/ u& W

a. To ensure, at all times, that the Financial and Administrative  
# T& o% Z0 ~- ~( xsystems and processes utilized by or within the venues meet the  2 O9 N" X  g: _2 g6 b8 S# q
appropriate standards, requirements and needs, and contribute in a  
: {. M+ z' E1 V& P# G. vpositive way to the smooth operation and success of the venues. This  1 [- ^- V  x2 A2 @) Q7 X) g; t* t
includes, but is not necessarily limited to, the following:
0 s! v5 A& B; f To provide input and expertise in the formulation of appropriate  
/ {8 V7 {- w3 D6 {. d3 z$ j' roperating budgets covering the venues to the SU´s Manager of  
4 f) p, _: E7 j+ B6 L" v; KProgramming and Venues and to discuss and refine those budgets  
+ I# R- {' u% k# vManager of Programming and Venues, and Manager of Finance &  - Z4 i, }  y- `7 P6 Q( U
Administration prior to their submission for final approval.
; |! q# y; _* E. C7 Z9 f·  To manage the venues in a manner which adequately and effectively  ( ~8 s& N% a+ g- W; B: a/ F
reflects the budgets approved for the venues and/or which reflects  + f+ y6 a- I# @+ N$ P) g8 u, p2 Z
the best interests of the venues and the Students´ Union.
; Y# G8 o8 V% @% X3 G6 x; S! z·  To function as the key player in the submission of financial and  
! m0 U# p: J. j) Yadministrative documentation covering the venues to be used in the  
+ J- r2 _0 c9 o- V! m% A$ Wcompilation of monthly and annual financial statements, and such  ! l1 ^  u8 [5 Q- V
other reports as may be necessary.
" v) W. g1 p! E& O·  To discuss those financial statements and other reports, together  
& y; `: v* `/ owith all financial and administrative procedures, with the SU´s  ( b. ^, a  n0 [! q/ V
Manager of Programming and Venues and Manager of Finance &  
, ~, `4 [" U" k  s9 H# zAdministration with a view to determining and implementing action  
& ]' t7 X6 G1 V6 p0 k2 @# Saimed at improving the financial and/or functional effectiveness of  2 F: r1 K4 x1 P, O& Q
the Horowitz Theatre.
$ D: w/ {( n% c·  To ensure the existence of adequate, effective and accurate job  
8 J2 i% f6 S* z3 @/ M. y# {$ }" r. A# D8 jcosting systems to be used in connection with the determination and  6 I( y* E: P6 H# _% v
setting of appropriate prices for rental and staffing rates for  ' W$ ?. l! T1 Z/ r% Z1 o
events held in the Horowitz Theatre.
4 P4 Z5 a. I6 w, ^" B( [# u·  To develop accurate documentation to be used in connection with  
* @+ _/ ^5 D# Q- W4 c; m9 ?3 bthe billing clients, and to forward such documentation in a timely  
) B) Z. y- N2 I/ J2 e7 @manner to the Accounting Department.3 \: ^, ]$ M1 ]  l3 w1 t
·  To recognize, address and handle all matters relating to financial  
0 f; d+ D. P- x" {and administrative procedures and systems in a manner which reflects  & X! f( i9 V4 [3 w% F! D
the requirements of the SU´s Manager of Programming and Venues and  
+ T0 U& |0 a: J" U( T5 GManager of Finance and Administration, and in a manner which  
: }0 V' v/ j4 ucontributes positively to the smooth operation and success of the    H9 C( s- d7 @* k" S9 D' {
venues.

5.          Overall Roles and Responsibilities
9 |- k$ G9 R, p) W9 Oa.   To ensure, at all times, that the systems and processes used in  
: ~% x0 _0 q" krenting the venues meet the appropriate standards, requirements and  8 {6 s- O5 G/ D
needs, and contribute to the smooth operation and success of the  
5 M- ~3 d' d5 ^$ U% x  evenues. This includes, but is not limited to, the following:
5 n5 X/ \4 C1 J& e
! Z; e: H$ S1 W$ j1 U8 @3 O·  To recognize, develop and set in place such rental procedures as  ; |: @: m. x' b" s# c' x
may be necessary to ensure the smooth operation of the venues, this  / J, n; Q$ D1 d1 A$ i
is to include but not necessarily be limited to systems and processes  
6 Z; ]; B  m7 Nin the areas of contracts, inventory management, contract evaluation,  
2 t" P( y# y& n" B3 e* Qpricing, costing, equipment usage, rental/contract invoicing,  
- b6 A! Y4 h$ I  ^7 _together with such other systems and procedures as may be necessary  , j9 T) @7 I1 T0 g! r: E6 {% G% x, L
to ensure the smooth, secure, efficient, cost-effective and  
6 [4 h: P) s6 K8 d' e2 F8 ?* _functionally-effective operation of the Horowitz Theatre.
9 _# r% r; r3 a3 b- O' |  i·  To recognize, develop and set in place such operational procedures  
9 s& d& i5 F. `5 {as may be necessary to ensure the smooth, efficient and cost-
0 c9 [7 k+ |! K  {0 E# A7 Heffective operation of the venues.8 b+ w5 o, `1 B$ G( N4 G
·  To negotiate rental lease agreements (contracts) relating to  
, M" b) h4 k% M) M8 X+ x* p* Q7 `dates, rates, staff and miscellaneous charges.! G8 ^5 H! a  P; n- X0 t$ ]# s+ R
·  To ensure that adequate inventory is available at all times and  7 d5 Z6 V0 Z6 O5 @( T4 w
that such inventory is stored and issued in effective and secure ways.
  F# V2 e* t: M8 r·  To consult with renters as to facility issues in producing their  / O4 ?, g6 M# y
particular event in the venues.0 V  h' d+ Y% g) ]# l
·  To provide the venues on-site staff with such documentation and  
; C7 ~7 {# b9 s% Qsupporting information as it may need to effectively fulfill the  
7 N  ~0 f1 V' Q. ~$ ~5 Lroles they are to perform to ensure the success of the renter´s event.
9 Y! f7 J! M. W·  To produce quotes in respect to staffing costs for a particular  
, u# b" T" ]2 ^6 }8 ?) Zrental with consultation with the Technical Director.& M0 m+ u' ?+ j- \# C
·  To ensure that all queries raised with the venues whether from the  / e1 g5 g* g9 ^+ x1 |" E
SU or renters, are promptly and effectively handled and adequately  6 \  |# n7 i' }/ U! J
answered, and to ensure that such action as may be necessary in  5 v& f6 X0 z1 o0 w+ ]
follow-up to such queries is taken in a timely manner.
8 X3 W. K+ u0 Q  U) X, h' R To ensure that the venues and its capabilities are adequately,  % v3 U! \3 g! p6 f4 J' ?% e8 K
effectively and cost-effectively advertised and promoted, and that  
% \% ]% t# \. b& sthe cost of such endeavors does not exceed the budgetary provision  
; Q9 y7 B& N1 [; o! kmade for them unless prior approval is given by the Manager of  0 @* Y; |6 M7 m
Programming and Venues.3 n' j9 D8 V2 y& E0 h1 @- o
·  To act as an informed and knowledgeable resource in the case of  ; t. n# L& o3 A; m: V
significant challenges and/or problems surrounding the tasks of  
. s; d( o! Z/ e3 Nmarketing, administration, operations, and any such other matters as  
  Z/ ~8 ?3 Y9 M, f, A/ smay provide such challenges and/or problems.- O6 ^: s  y* H% x: u  V) H0 }
·  To attend such meetings as may be required to support the smooth  
$ n# e4 I; J, f" Ioperation of the venues or the Students´ Union as a whole.
2 ?4 P) s9 j8 F  |: K5 ~·  To perform other job-related duties as may be required by the  
0 B1 u- U; r6 ~Manager of Programming and Venues in order to ensure the smooth and  
4 g" O: b1 a7 _. d0 S, t' Isecure operation of the venues.& W: H9 Q+ a. I1 q
·  To recognize, address and handle all matters relating to overall  
! u+ f6 M8 x  j( h1 N; moperations in a manner which reflects the requirements of the SU´s  6 I$ I! W- i% V$ Y7 t) g0 ?# _3 T
Manager of Programming and Venues, and Manager of Finance and  ! W5 I8 a$ A* ~, q/ Z8 [5 F
Administration, and in a manner which contributes positively to the  3 N- h3 ^+ w4 |& L% ?
smooth operation and success of the Horowitz Theatre.

( C6 E3 V; K$ f4 `1)             Minimum two years related post secondary education, or  , V0 S' q" r0 P% _1 P0 P4 F" k
an acceptable combination of education and experience.
' F+ h+ F# F$ A! ?5 b: F1 |/ j2)             Supervisory experience.! x. P" }  I( p( I" z5 x7 N; b
3)             Ability to create new initiatives with little or no  5 _' y6 j; M' R- X: B" B, o0 e$ A

4)             High level of creativity
