The duties of the Operations Manager - SU Venues are diverse and  # x" J0 \! o2 y$ k/ z7 @' `
extensive, and are targeted at the all round smooth operation and  * w! S8 A0 z# [3 c
financial and operational success of the Horowitz Theatre as well as  
" k' B( ]) o/ zthe logistical organization and smooth rental of the additional  3 H) ~7 o, w2 n" S% c
venues within the realm of the Students´ Union.  In the light of that  ; V. _' |* f8 _9 Q  |: \$ t
breadth and complexity, it is not possible to fully define or  6 [, |8 b+ O, @7 N+ w5 ^2 q  Q( `
describe all roles and responsibilities in a document of this kind.   $ w+ l: K5 |% T
However, the main roles and responsibilities of the Operations

1.        Space Roles and Responsibilities

9 M" M# s# B* {. k+ o; m: X  la.   To ensure, at all times, that the venues listed below meet the  4 Y/ w+ K7 |9 F/ c1 @8 l4 w0 h
appropriate standards, requirements and needs, and contributes in a  
0 @, y1 f& R6 A- m. z( }positive way to the smooth operation and success of the individual  & l" H- L/ T; N9 ]3 R& s* q4 A
renter., M/ H# L8 g( b
·     Myer Horowitz Theatre
0 H; `+ x% T4 n% ~+ y: w6 H2 i·     Dinwoodie Lounge
  I) L* x3 C  |. z. ~·     SUB Stage
% w9 }+ k- w6 b5 Y  G: u5 v* h1 K( ?
b.   This includes, but is not limited to, the following:
$ l! a* W2 y) c; F·     To plan the capital and supply expenditures to meet the  
+ Y5 v. ^1 F6 j4 s4 I# Wproduction and facility requirements.
* j: d( d6 y5 E5 r+ l5 D·     To ensure the day-to-day compliance of the venues with existing  
+ t1 c9 A: l1 O& K" Y! tsafety regulations and building policies.$ ~  D% u" j3 Z5 W" Y7 _
To ensure that the maximum potential of renters is met.+ a: h9 m% B* M5 P

6 h7 L/ j4 S/ F% u2.        Marketing and Promotion- S# f% Z. O; t5 j; \
% ]8 u( E" [( V/ i5 F5 C
a.   To develop and implement a marketing plan for the venues that  6 j! }5 L- B% @5 H
focuses upon advertising and promoting the venue to faculty,  
: O' s0 d% C/ I) K/ L7 r- F2 Jstudents, and internal and external clients on an on-going basis.  ) F' u8 b  l- P1 N
This strategy will include implementing and/or delegating the following:$ t1 h7 t, ^2 Z5 P) N4 B
·     To develop and maintain promotional materials, the Horowitz  , t5 f/ L9 F) m% U
Theatre and SU Venues home page, newspaper and other advertising; to  
- n# i' r0 `- ntake advantage of other internal and external advertising  
  J  a( {* t" ^5 k1 @opportunities; and to develop press releases and other promotional  
8 C; n, a- O5 E1 Qliterature on an ongoing basis.! I7 U0 q" t0 W% Y" F4 t% I& F
·     To coordinate tours of the venues for potential renters.7 `1 D4 ^% D  i# R  Y# v* D
·     To promote upcoming events in the Horowitz Theatre through the  
0 i2 g- a& j9 Z' l1 Q) C; F( Puse of the Horowitz Theatre Home Page and the SU Events Calendar.' c8 {( C/ Z9 |% `6 P' p: c
·     To develop new external clients for the venues.
$ F& W4 Q9 d9 L8 j4 A4 Q- T% V* g3 @( `

7 \& ]! S' ?% ]; y5 I4 i3.        Staff and Supervisory Roles and Responsibilities
) V7 J3 x! y; p# z0 k2 }& ?8 s" a
a.   To ensure, at all times, that the venues are adequately and cost-
8 G6 v4 R$ E% k! O% ^- [5 P+ Keffectively staffed, and that the staff utilized by or within the  7 `# ]1 }  u# C5 P9 h+ |  l
venues meet the appropriate standards, requirements and needs, and  3 l; g' t. H3 a2 v
contribute in a positive way to the smooth operation and success of  4 i# o  D) i( r% f: g/ w" t% z, G" X
the renter´s events. This includes, but is not necessarily limited  $ Z+ v4 M, s% T1 g
to, the following:/ F" D9 d! Z* i
·     To be responsible, under the direction of the Manager of Venues  ! X( u1 V( I/ Y% v7 R& D  x& }4 v
and Programming, for all staff issues including hiring, disciplining,  ; E1 o" X5 W. ^
evaluating and terminating, as necessary.
( O5 E* g4 y6 {8 |, B8 O  S To ensure that the Horowitz Theatre is adequately supervised at  
2 [( `# ^, E0 {; s+ V& Zall times, this includes the development and implementation of such  
) D; Y. N; `0 |6 ]schedules and rosters as may be necessary to ensure the effective and  
- e* B- V7 b: E0 f4 j$ B. `cost-effective supervision of the venues at all times during which it  # J3 S2 f$ G* ~% \) G+ n) _& b
is in operation or needs to be in operation.' T. O) j( ]1 _$ g
·     To work with the Technical Director, when necessary, to ensure  / f) h+ n8 t  C( `  P' `6 g/ g/ G
that an adequate and appropriate level of part-time staff exists to  
- B& Q  p: B0 Q5 Mfacilitate the smooth operation of the venues and to ensure all    e4 S3 ^8 v2 X
renters needs are met./ }$ w" _* S  ]: q
·     To work with the Technical Director to ensure that the skills  
. h2 h' B2 u2 iand attitudes of all subordinate staff are appropriate in light of  4 E2 v# ]6 ], X/ C/ y
the roles they must perform. This includes providing adequate and  
4 c( J! G* R6 Geffective training (and re-training) in all applicable and  # q' d. B, T" N6 a% o/ b+ W4 r
appropriate areas, and ensuring that the Policy and Procedures manual  ! p" Z$ C& l" o! V8 }" |; b
is kep up-to-date at all times.' ^# I# }/ i1 B" c8 b2 [9 v
·     To ensure all staff are trained in and committed to providing  % E) @; u2 i# J5 Y. F( f
excellent customer service to all renters.
$ z+ m8 O: A$ Y5 m. M·     To work with the Technical Director to arrange staff  ! l# _' W; T; {0 l
scheduling.  To handle payroll related matters, under the guidance  ! r/ F7 w, |- x8 F8 y0 ?, C+ D. _
and direction of the Manager of Venues and Programming, concerning  ! I6 s2 W7 S8 u+ f
the staff of the venues.
+ i( g8 v$ @9 h·     Working with the Manager of Facilities and Operations to ensure  ; t5 O/ U1 D* e9 y! n$ y0 |/ ?
the appropriate setup/tear down of each venue.
! M$ w) M  f/ _; b0 `5 d" g7 U·     Working with the Manager of Programming and Venues to ensure  
- Y* y- h0 o8 `, b9 a5 N& Ithat additional requests such as licensed receptions are arranged.
0 x7 V( |+ x! w* F9 t) }- E' a7 r( G+ ], `; n3 W: c

$ K7 b' Y0 }) Z! p! G+ j) Y4.          Overall Financial Performance& M2 k3 w5 M* e

7 v; m/ ]) w4 w6 e) f# ~a. To ensure, at all times, that the Financial and Administrative  3 |# Y8 L+ \( @: @
systems and processes utilized by or within the venues meet the  
7 G( a6 D, \: o# S/ pappropriate standards, requirements and needs, and contribute in a  
, D* y! @% K" I0 Epositive way to the smooth operation and success of the venues. This  6 k' y% m& |( Z: Y
includes, but is not necessarily limited to, the following:1 @3 F" I, x- i5 d8 K
To provide input and expertise in the formulation of appropriate  
* H. Z0 S7 j$ L/ f" foperating budgets covering the venues to the SU´s Manager of  
5 }7 W* V9 L2 Q& w8 }0 U5 PProgramming and Venues and to discuss and refine those budgets  
& V8 D- T/ ]1 NManager of Programming and Venues, and Manager of Finance &  
, I# j8 q: f: m) Q" EAdministration prior to their submission for final approval.
4 r# ]2 g* \) ^8 X% b+ a! i( x" N·  To manage the venues in a manner which adequately and effectively  # J8 f% i1 r  y0 J" V
reflects the budgets approved for the venues and/or which reflects  
( G% C. z% U" q) ~% }: |; jthe best interests of the venues and the Students´ Union.
0 v4 O. K( D/ z& L# \7 c! V·  To function as the key player in the submission of financial and  
0 {' o& e  u7 hadministrative documentation covering the venues to be used in the  4 g' Y2 t$ L/ H+ x2 p& o4 u- N
compilation of monthly and annual financial statements, and such  : I$ k# P5 Z# @" r! I
other reports as may be necessary.
) R6 T, I- r3 Z$ [! X( l- v3 w# w·  To discuss those financial statements and other reports, together  
: I/ T* E* \7 F8 n$ U. A/ H, ywith all financial and administrative procedures, with the SU´s  ( {$ j1 t6 y  g; v9 T. B; j+ S
Manager of Programming and Venues and Manager of Finance &  
# j# e. p) K3 R% b( }$ p4 d8 r$ Y( TAdministration with a view to determining and implementing action  
& U' d4 a* [5 {8 [aimed at improving the financial and/or functional effectiveness of  9 V2 ^3 u" V9 ~+ B  x
the Horowitz Theatre.5 Y8 K$ Z  v  }% a, o) a
·  To ensure the existence of adequate, effective and accurate job  
, Y$ E2 f& T# m0 S0 |costing systems to be used in connection with the determination and  
* M: N: k; l; V+ v+ hsetting of appropriate prices for rental and staffing rates for  
' N1 K" w- s# A* b4 y# n6 H9 U4 T+ ]events held in the Horowitz Theatre.2 D. B& r( d3 x" }, G
·  To develop accurate documentation to be used in connection with  
  t/ x0 J+ d2 N1 e: E/ n4 A3 l, ethe billing clients, and to forward such documentation in a timely  
7 U, l$ j% {- g( m/ dmanner to the Accounting Department.
% o4 n& K7 M+ R·  To recognize, address and handle all matters relating to financial  ! h; E! S5 }$ @$ m
and administrative procedures and systems in a manner which reflects  
" `4 c& e* J% p+ m- Othe requirements of the SU´s Manager of Programming and Venues and  
6 [3 @0 h( [* Y! ^/ r! g2 gManager of Finance and Administration, and in a manner which  
( W6 B( N- a5 m9 D! ]( l- [" \1 l0 Tcontributes positively to the smooth operation and success of the  ) _" M0 t4 X4 f* T9 o- h! _

$ z# t4 l3 r7 s" |# L! C5.          Overall Roles and Responsibilities
2 Q7 U+ S! S7 K. W$ Ya.   To ensure, at all times, that the systems and processes used in  7 s+ u+ f: i4 I8 z  E$ G- s
renting the venues meet the appropriate standards, requirements and  * s& R4 S: v* K% _$ S( @5 m
needs, and contribute to the smooth operation and success of the  
- t9 f; z* Q% ]' @2 b+ D9 Vvenues. This includes, but is not limited to, the following:7 y, ?" p, {7 ^* r" m& \8 w
, Q3 }9 ]4 w, L  J5 {
·  To recognize, develop and set in place such rental procedures as  
7 r, D! V! T8 c( }may be necessary to ensure the smooth operation of the venues, this  
* m3 b+ i6 n- f) f! iis to include but not necessarily be limited to systems and processes  0 p0 K; u6 H. c+ C* }0 g
in the areas of contracts, inventory management, contract evaluation,  + q! d' p9 o& @  U) e. p
pricing, costing, equipment usage, rental/contract invoicing,  - q9 m- N. a0 t6 x, S; v( H
together with such other systems and procedures as may be necessary  
4 ~) p+ w; A9 b  Xto ensure the smooth, secure, efficient, cost-effective and  ; M' }2 _4 e* u0 v3 m; d$ `9 Y4 g
functionally-effective operation of the Horowitz Theatre.
, r7 a. W' n, D- D·  To recognize, develop and set in place such operational procedures  
; F" y) V. ^9 b, f7 p* N8 u/ j7 J/ uas may be necessary to ensure the smooth, efficient and cost-
. S8 z1 T5 e: h( b  \* v6 @effective operation of the venues.
8 {! U- x6 x' ^6 b- O+ ^- \·  To negotiate rental lease agreements (contracts) relating to  
; a& `4 V6 d4 z) tdates, rates, staff and miscellaneous charges.
  T% ?: t+ D7 R: K' p·  To ensure that adequate inventory is available at all times and  
. v9 A) F+ M; a# u% ?3 O1 O* Xthat such inventory is stored and issued in effective and secure ways.
8 r2 k  s2 D/ l; O5 K' }: P. e1 u·  To consult with renters as to facility issues in producing their  3 h5 |! L1 g3 f# l7 L, }
particular event in the venues.
# i' g$ c/ r0 M7 U1 H: \·  To provide the venues on-site staff with such documentation and  
' e1 Y& h9 a5 W+ G0 Fsupporting information as it may need to effectively fulfill the  
! J5 A$ d( U0 R! K) ]0 Eroles they are to perform to ensure the success of the renter´s event.8 i9 c; C$ B' r& m3 D  N( t! C
·  To produce quotes in respect to staffing costs for a particular  * K8 I3 F! e0 `+ j
rental with consultation with the Technical Director.
7 g0 C7 C: X( ]6 U# t- N, t·  To ensure that all queries raised with the venues whether from the  
& W, k% J9 r, Z5 P6 ISU or renters, are promptly and effectively handled and adequately  
$ _: K. g8 e3 Banswered, and to ensure that such action as may be necessary in  
3 e- d) m% t% T: R% yfollow-up to such queries is taken in a timely manner.
, C( ]- N! Q5 h* | To ensure that the venues and its capabilities are adequately,  
$ J( i/ B% I, A' n- q6 Y+ C  ~effectively and cost-effectively advertised and promoted, and that  : Y9 Q/ Y& ]+ c7 V
the cost of such endeavors does not exceed the budgetary provision  
% A3 N; s5 N' s- ?made for them unless prior approval is given by the Manager of  
5 E- P- Y# O8 s2 J) W7 DProgramming and Venues.
$ ^& a4 T* X9 B- o8 G·  To act as an informed and knowledgeable resource in the case of  
' l/ v4 ^% y& ^- t2 O0 isignificant challenges and/or problems surrounding the tasks of  : S. E4 H/ G1 T  U
marketing, administration, operations, and any such other matters as  
5 |+ Q) z8 [: G  P) q6 g7 Jmay provide such challenges and/or problems.
/ g( t7 W/ ^" M·  To attend such meetings as may be required to support the smooth  , ^) y3 L% B6 L) Z+ W4 s; T
operation of the venues or the Students´ Union as a whole.$ i/ E3 _6 `8 A
·  To perform other job-related duties as may be required by the  
* ?  n3 x1 r6 q* V7 f+ aManager of Programming and Venues in order to ensure the smooth and  * L$ p6 n" r. @
secure operation of the venues.
* C& O5 f( x4 B4 x- M, e& ?1 Z·  To recognize, address and handle all matters relating to overall  
  Z7 |- P% C8 Voperations in a manner which reflects the requirements of the SU´s  , o8 x/ m) K9 a7 W$ p( r: P/ a1 `
Manager of Programming and Venues, and Manager of Finance and  
. H: m, D; Z4 V$ b9 `Administration, and in a manner which contributes positively to the  / e: t6 M' f. e6 K
smooth operation and success of the Horowitz Theatre.

3 J1 Z8 @- {: g# X5 j- M1)             Minimum two years related post secondary education, or  / _0 D7 s+ l$ n" i6 A
an acceptable combination of education and experience.
  T5 W! L( \, f% q; r" h9 ]2)             Supervisory experience.
- v, W+ ~6 y/ I& m; F3)             Ability to create new initiatives with little or no
