The duties of the Operations Manager - SU Venues are diverse and

the logistical organization and smooth rental of the additional 9 M1 ?3 u! ^2 b" f' y

2. Marketing and Promotion

- f {1 S+ G- Y4 F- sfocuses upon advertising and promoting the venue to faculty,
$ h8 g& z1 t" V' M# sstudents, and internal and external clients on an on-going basis. 2 D7 M1 }4 K6 B& D* W/ v1 A( V
This strategy will include implementing and/or delegating the following:" o1 S% ~- u, j" N3 w/ x4 [2 Q
· To develop and maintain promotional materials, the Horowitz & _; Q$ H6 w1 \
Theatre and SU Venues home page, newspaper and other advertising; to 3 c( E O( j3 X; ?9 L" C: W4 @
take advantage of other internal and external advertising ; e0 l8 e6 I$ h. Y$ L' u
opportunities; and to develop press releases and other promotional ! e4 k1 J9 ~ v
literature on an ongoing basis.

· To promote upcoming events in the Horowitz Theatre through the

· To develop new external clients for the venues.

9 t8 y2 `- u0 `- f3. Staff and Supervisory Roles and Responsibilities

a. To ensure, at all times, that the venues are adequately and cost-
6 R+ `" N& f* w% M" {3 weffectively staffed, and that the staff utilized by or within the
8 L$ p& u) l: D2 Q j! }venues meet the appropriate standards, requirements and needs, and ( \, p/ N/ j7 d
contribute in a positive way to the smooth operation and success of
* o4 ~ c; u8 ~3 sthe renter´s events. This includes, but is not necessarily limited 3 H. |5 g$ C* G) W2 W0 p/ P( D
to, the following:( _1 V5 b7 w g6 ?: V
· To be responsible, under the direction of the Manager of Venues 0 V0 ^4 I% i' I/ z
and Programming, for all staff issues including hiring, disciplining, % O0 A: Z9 e! ]4 @5 R
evaluating and terminating, as necessary.
* o) R( |1 m1 n% [+ i To ensure that the Horowitz Theatre is adequately supervised at
% {$ [- Z( P4 h! Eall times, this includes the development and implementation of such e/ Z1 p% o( ?# K. a* e) E6 U0 ?. D
schedules and rosters as may be necessary to ensure the effective and _* V" n; |: U5 |0 g% m' ^
cost-effective supervision of the venues at all times during which it
* M z- b* d9 g& Nis in operation or needs to be in operation.
; h) q! ~" y! c· To work with the Technical Director, when necessary, to ensure 4 B( z4 t" l! F) e5 x; ?+ P9 N
that an adequate and appropriate level of part-time staff exists to % a0 E0 A |9 I x+ w9 z
facilitate the smooth operation of the venues and to ensure all 3 y+ u0 @+ ?0 L* @+ B. g
renters needs are met. d7 {2 X i( _
· To work with the Technical Director to ensure that the skills 5 O7 z3 C& Y# ?' X* x# w9 ^
and attitudes of all subordinate staff are appropriate in light of 9 q6 |& r; k' N8 n
the roles they must perform. This includes providing adequate and
" N4 L' D$ ?* \: v; G$ }4 Zeffective training (and re-training) in all applicable and
! }# g, n2 N7 i6 o ^+ y% \" Y- Kappropriate areas, and ensuring that the Policy and Procedures manual ; |& z: J6 Q, ?3 R4 g
is kep up-to-date at all times.
. ~1 p# I4 O _· To ensure all staff are trained in and committed to providing
9 C$ M) |% G3 V# }) [; d4 ?excellent customer service to all renters.2 Q$ c4 @5 L3 I/ f* u9 [: j
· To work with the Technical Director to arrange staff , {" v/ O' K; e! a) d3 E. c8 `, j
scheduling. To handle payroll related matters, under the guidance
4 {9 N H; J3 S4 C! |) }6 H2 I' mand direction of the Manager of Venues and Programming, concerning
" t5 S# L, V0 m+ H8 l# vthe staff of the venues.
5 K x+ N# v% ?0 w" L* M* M· Working with the Manager of Facilities and Operations to ensure
: z- @4 `' w1 |: kthe appropriate setup/tear down of each venue.7 ?) o$ P& d( H! g1 F
· Working with the Manager of Programming and Venues to ensure ; J) ~+ K- _, V& }( d
that additional requests such as licensed receptions are arranged.0 t: ~0 G" F0 O

4. Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative
1 s9 n% u3 x) {" zsystems and processes utilized by or within the venues meet the
1 M; p* z' w+ nappropriate standards, requirements and needs, and contribute in a 7 c9 Q8 h" d; x1 ~/ Y* x' Z
positive way to the smooth operation and success of the venues. This
5 ~/ k/ b- ~6 Q5 Mincludes, but is not necessarily limited to, the following:

operating budgets covering the venues to the SU´s Manager of
. U& n& r" x: S4 V' u9 ^% IProgramming and Venues and to discuss and refine those budgets

· To manage the venues in a manner which adequately and effectively

the best interests of the venues and the Students´ Union.

compilation of monthly and annual financial statements, and such

with all financial and administrative procedures, with the SU´s

' e! v% g" \" L! ^* wAdministration with a view to determining and implementing action D. h0 m% S+ h1 H
aimed at improving the financial and/or functional effectiveness of ! o, U* x k8 \
the Horowitz Theatre.
' H' X5 i3 d# b/ @; `& Y7 j· To ensure the existence of adequate, effective and accurate job
6 C4 P8 l9 m2 ^9 x. Scosting systems to be used in connection with the determination and ( o5 j! s4 P. j4 l& n0 T5 y2 a
setting of appropriate prices for rental and staffing rates for
" i, m# K- H& O( s. m, u- t8 zevents held in the Horowitz Theatre.3 e8 A4 P( o, A- ~% Q) D3 i# W; Q/ B* R
· To develop accurate documentation to be used in connection with / P) j$ I# [" j' H( Q; E5 ?' _! _7 `
the billing clients, and to forward such documentation in a timely

· To recognize, address and handle all matters relating to financial
( f8 y- I9 M) C" K% ~, cand administrative procedures and systems in a manner which reflects - B% ~7 k D- R* v7 o
the requirements of the SU´s Manager of Programming and Venues and

renting the venues meet the appropriate standards, requirements and ) p; X% n+ j1 T# x4 r% j
needs, and contribute to the smooth operation and success of the

· To recognize, develop and set in place such rental procedures as

is to include but not necessarily be limited to systems and processes
: @9 I& A2 C% P- v' L) nin the areas of contracts, inventory management, contract evaluation,
. }# R1 Q2 K$ ~- n- R. r5 O8 i- I+ ^pricing, costing, equipment usage, rental/contract invoicing, 6 b! J9 ~6 y8 a! ~. s' ]9 ?1 b
together with such other systems and procedures as may be necessary
' w' d/ `' X6 S2 ]to ensure the smooth, secure, efficient, cost-effective and
. T4 s" Y! W( Q$ {functionally-effective operation of the Horowitz Theatre.! E) B8 }/ {+ U7 D1 L4 i
· To recognize, develop and set in place such operational procedures
. Y& ]2 q V0 S6 }, [4 gas may be necessary to ensure the smooth, efficient and cost- 4 _* q, u( C( Z. J7 E; b
effective operation of the venues.
5 x7 O! \1 Z5 |" L· To negotiate rental lease agreements (contracts) relating to
( a8 W" @! {8 d. M$ P1 q2 J. z) Ddates, rates, staff and miscellaneous charges." N& E, H3 R4 c! J
· To ensure that adequate inventory is available at all times and
' Q) l" o) _9 {& U8 q" R |that such inventory is stored and issued in effective and secure ways.6 p4 J6 P3 n/ r5 y+ b, Z7 a0 J# I
· To consult with renters as to facility issues in producing their
) E! f/ {! X) |( m/ r+ E/ mparticular event in the venues.

supporting information as it may need to effectively fulfill the $ I8 `7 `$ X% ?8 S& A3 L
roles they are to perform to ensure the success of the renter´s event.' ^* ^+ `$ V2 Y; g ]0 _
· To produce quotes in respect to staffing costs for a particular
0 [1 I. t/ F1 a3 d3 E; R. c4 orental with consultation with the Technical Director.$ A- J3 _9 L! c* S7 h
· To ensure that all queries raised with the venues whether from the 8 M, }! f9 t$ Q( z! c; r1 T
SU or renters, are promptly and effectively handled and adequately " o9 j6 q" R4 D. B
answered, and to ensure that such action as may be necessary in 6 w7 K3 _! r4 J" B1 J7 s( m
follow-up to such queries is taken in a timely manner.
& O' ~1 {: e1 L To ensure that the venues and its capabilities are adequately,
, L% _0 b- i; ueffectively and cost-effectively advertised and promoted, and that
2 q6 ]2 P& L6 d2 H6 s7 f5 s" Ythe cost of such endeavors does not exceed the budgetary provision ; r; _2 q ]4 H$ J* m
made for them unless prior approval is given by the Manager of
: |- s* ^- b7 U% ~4 a! DProgramming and Venues.
" U K( Q. I( W· To act as an informed and knowledgeable resource in the case of
* p) E4 A3 S0 I: dsignificant challenges and/or problems surrounding the tasks of 7 m# [8 B3 P& w2 ?- B
marketing, administration, operations, and any such other matters as * J5 A5 v/ ]6 h3 e6 P
may provide such challenges and/or problems.

operation of the venues or the Students´ Union as a whole.
