The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.- r+ r- L& i3 G

OPERATIONS
/ }/ v/ g/ ]3 _5 g( P: c& {$ _• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.
! W+ q/ C- u. A5 I' V" `, q• Assist in development and implementation of policies and procedures for volunteer services.3 s1 `& J# e2 ]# B
• Maintain the volunteer files and update the database using Raisers Edge1 a: G6 u# |" y
• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
! F! S0 @' n/ ~, k+ M1 W• Develop and implement a comprehensive volunteer recognition program.
4 G. h7 c7 n# }• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.
: b$ B) \! o5 d' D" X• Identify and implement best practices in regards to volunteer development.2 d% h' N% `) y+ C0 @) v/ j
• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities
' y, M) M! o/ T; V6 o* H1 u: f• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

SPECIAL EVENT PLANNING
, g C* e/ O( G( \( N$ s7 Q• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO- C. k9 @0 E' j g" H
• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

3 ]! v9 I; h! ^5 k k' ~& Z9 I* g. M• Develop and maintain job descriptions for each volunteer position/ Y w Z( j b- P
• Maintain secure volunteers files in accordance with privacy legislation; F! d5 k7 s! T2 [
• Provide feedback on volunteers’ performance, as appropriate2 Q2 d8 a; ^. e: U, d+ z$ y$ i
• Ensure Human Resource policies and procedures are adhered to within the department
$ m5 v9 V2 C& h' w# h2 }• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
# M! O- R' \# ]# C• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency

• Prepare a regular monthly program report

% A' m9 z W& m" O! X) Z• Ensure the program operates within approved budget and be familiar with potential variances% Q. d% r9 @2 |# T4 h' x5 @
• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required+ w+ f3 \. K' ~+ k: [ k

INTERNAL/EXTERNAL RELATIONS/ J! A* l: p* c5 r
• Act as liaison to the Y-Knit group of volunteers
* B" d$ l- x# r1 ~. X! k: {4 ~• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta) \0 Z7 o( h. u! c# K, \4 V
• Follow up with correspondence to outside agency volunteers as appropriate
3 J2 e) I/ @; _* x) S# N• Attend external functions such as volunteer fairs, trade shows, and special events as required

Qualifications:2 w6 n" E5 r F7 X3 o7 Y

• Minimum 2 years experience in Volunteer Coordination
, L. e% N( k( n. `- T• Excellent organizational skills and multi-tasking ability$ ^; v6 m; f, c9 O7 e
• Demonstrated superior volunteer supervision skills' Q% N5 W. k5 L0 Y- ]
• Collaborative working style and excellent interpersonal skills
4 T: L7 B3 B) a! e+ J- Y, E• Ability to work to meet deadlines and to work under pressure. A# s% b* C' L4 B
• Ability to work in a team-based environment, with cross-functional work teams on projects
( G" u1 Z1 ]4 T; h' u1 M• Sound judgment and ability to maintain confidentiality
