The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.0 [' x& f! E- d+ ~. O; E+ M1 K

Job Responsibilities:

• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.
5 ^0 F$ S( X ^ ^2 g• Assist in development and implementation of policies and procedures for volunteer services.* J$ i. X1 L0 ^2 Y+ |7 Q) V9 d
• Maintain the volunteer files and update the database using Raisers Edge
! m+ i# s) ~0 v• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
& g/ t- v, h, o, l; g• Develop and implement a comprehensive volunteer recognition program.6 p# r& H% O# r3 l0 h' [0 t. g
• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.
% h2 S9 B! \$ j0 S/ Z# g• Identify and implement best practices in regards to volunteer development.
/ N7 \' S- V1 f0 V; D( @: _. B9 E* u$ o/ P• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities
1 c- u3 j- |" a% W• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required8 H/ m+ S" p& f2 V' q) c

SPECIAL EVENT PLANNING 7 d+ [1 A2 R9 h6 Y$ `: F
• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO/ k( ?, v2 V. v
• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

& B4 Q8 | S4 `' k! z/ S3 NADMINISTRATION I) D$ P! n, O' X; M0 }* `0 a
• Develop and maintain job descriptions for each volunteer position* r7 w! ^2 l, {, _: _8 ~
• Maintain secure volunteers files in accordance with privacy legislation
* B4 ~* G3 N0 L: m# N% W9 s• Provide feedback on volunteers’ performance, as appropriate
5 k, |8 e- T6 m2 S% A. `1 o• Ensure Human Resource policies and procedures are adhered to within the department
9 U4 `% L# f) L% X( Q r5 T• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
& i" P" s9 V# q* D& C• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency% K* l6 L+ z# J& [" }% p
• Develop resource and orientation materials for Volunteer Services$ _- U7 b1 r7 q' a4 c& Z
• Maintain monthly and yearly volunteer statistics for reporting purposes* ]4 p( }2 d W( @
• Prepare a regular monthly program report

• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required& e5 O$ ]9 Y4 s! c2 k, R r8 E# r, u
, g9 r) W% z- j0 F- B; @$ H+ E6 D8 @" i
INTERNAL/EXTERNAL RELATIONS
0 l) l u' m$ }: M! t& B• Act as liaison to the Y-Knit group of volunteers8 p2 a, j/ l1 W1 ?) g* r1 t' E
• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)! t" m, e- A# ?6 N
• Follow up with correspondence to outside agency volunteers as appropriate ) _+ t2 r6 w' \6 U* Q5 A
• Attend external functions such as volunteer fairs, trade shows, and special events as required

Qualifications:

* Y5 f& Z0 Z- a8 E" c9 `* i, {• Minimum 2 years experience in Volunteer Coordination
) V* k# L2 c- H! n6 W' e% u• Excellent organizational skills and multi-tasking ability8 Z( v5 A. P, ]
• Demonstrated superior volunteer supervision skills
! L! s9 {. i M7 U y• Collaborative working style and excellent interpersonal skills 4 q! i! ]# k, t- l
• Ability to work to meet deadlines and to work under pressure4 S( S6 m7 g. W$ Z& N3 X# b
• Ability to work in a team-based environment, with cross-functional work teams on projects
# q5 I% Y: _$ T8 n8 G• Sound judgment and ability to maintain confidentiality
