Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

5 h2 y4 P6 a: eCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.' O4 O9 a4 Y' `) f+ D( [/ |

8 D8 m' U# t) k: Y) ]1 }; l+ Y• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.# N2 q( `$ Y" j6 q

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.2 r, O" Z' k; O9 L

( b  b5 b" {5 x) X• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.- }- _4 E1 r; k% @0 t

• Support effective internal communication by recording and distributing all meeting minutes.

• Manage mail outs for fund development or education purposes with support of Program Managers." I3 O. z, r- }  G% }4 C

3 e8 z; ~2 A# N( N• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

1 p( Z) x3 n* V: fInternational Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

, s& O- {' s5 @6 F$ K6 S7 R• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.) O+ G. q, {$ Y  b  A

• Support the management of requests for CFCA information and resources at public events.- E- f% v) U5 F+ x* S  j

( O2 b* l$ r# g• Compile information packages for fundraising and promotional purposes.

" y, D& y; ~5 z3 d) }( P6 M• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development' |9 @- d7 P* O- Q8 Z* i

• Provide logistical support for key fundraising events such as silent auctions

5 H2 e, q1 W, ?3 K2 i• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

2 O9 E1 v; X" c: y• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required./ K- m; S$ v1 R; u

; L/ w0 l+ v8 b/ L+ Z- |Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.9 {  Q" N; F4 @9 q

Spanish language abilities are an asset.

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
