Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.2 N. @. ?& c6 J( g6 t

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.. F5 i: I+ I! V* B, f/ |& O

. R) ]7 v& y4 P• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual./ _. H: b1 s. `1 X

• Manage office technology software licensing and hardware maintenance.* A1 C/ ]. i/ Z: H& G4 z% x/ y

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.5 q7 _0 f9 ^* O& e  Q

  N! P- }! t$ P/ p• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

" A9 d. s% u+ W: B, J! q• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

; z1 B+ {2 O( J' [# }• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials./ E; L. q( v& L8 r6 _  Q4 J2 ]. p" l

9 c" r8 Y: Z2 G& q0 H• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.9 z  i1 E& o  L. P' A& g

0 N* s1 h" c' y" W) d• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.7 ^$ X7 |- ?2 F# q2 T3 N' T. ~

• Support management of online publicity and communication tools.7 _( q( I! k  h( |8 m* g

• Support the promotion of CFCA events in Alberta through online and print publicity resources.) S& ]2 V. L3 _0 `

• Support the management of requests for CFCA information and resources at public events.. b. ?# J5 [4 Y; ~4 w' ?

( e0 }- K& b) T# {• Manage database and support distribution of print publications., S0 H" W( Z+ i% A* s

+ t& h( p0 M& \) z• Provide administrative support for public engagement events and mail outs.

8 u* B" p1 D; J( T; A/ C* H# u/ |• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.5 Y- u8 b  F7 r" C5 e+ R

Fund Development
! k) u  O5 N) Y$ N6 {& y* P2 Z9 R6 O* K# e, n- Q6 l- }. X4 R
• Provide logistical support for key fundraising events such as silent auctions

1 T. j$ z1 W% N4 a0 |5 e• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

2 k# z- s( g$ ?+ M1 q• Coordinate volunteers for some fundraising events such as Casino and annual sales events.4 ~0 R8 ]. u. K  ~# Q# r  \' t

+ ]$ S+ a9 t8 n; ?! _* U3 V) Z• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
