The YWCA is recruiting a Receptionist. The Front Desk is the central point for internal and external communications for all departments, programs and events. A sound understanding of overall activity of the agency is essential. This is a position that requires strong customer service skills, as it works collaboratively with staff and volunteers to provide the best possible information and assistance.9 p0 }! L3 H+ F4 T: X3 V

Reception

• Answer multi line telephone system2 ^: W5 c: E7 e Q
• Receive and distribute mail and deliveries
) m2 m( j$ Q% Q8 R8 q- ?• Arrange courier services for all departments c7 L) r* y! m: b
• Oversee Y-Knit program; provide support to its volunteers$ i$ _7 P9 L. g! Q6 y7 r4 V. a0 r

• Receive sort and distribute mail and packages; post outgoing mail

• Provide clerical support (e.g. word processing, data entry, photocopying, faxing, e-mailing, printing labels, mail-outs, and filing) to all departments of the agency
7 g3 v2 t) R2 @& E• Update and maintain databases as assigned, including those for Fund Development and Administration) ^4 _- E* P/ E3 c* ?
• Assist with task management for administrative volunteers
% M2 I c( _4 K( n• Create monthly staff bulletin and prepare for distribution
3 n% t' z( y6 L0 q• Assist Business department with weekly bank deposit and processing payments , z% U" X- T2 }2 Q
• Assemble and forward information packets as requested

• Accept and process registrations for participants or attendees at various special events and staff training
! V: ]( w7 Y# G• Process payments for ticket orders and registrations

Qualifications:

( L' Y& {1 x. s4 Q7 P) s b2 e• Minimum 2 years office experience in areas related to office reception, and office procedures
) g0 d4 z; R9 X P# [4 ~1 }2 D1 Z$ H• Experience and proficiency in Microsoft Office including Word, Excel, and PowerPoint.
- J W6 m1 P& Q• Skill in Desktop publishing is an asset1 j4 M& l$ E" v1 G1 ^) l5 V
• Excellent verbal and written communications skills 4 F B- d) [8 n3 n2 q& x+ C! b+ t
• Mindful of need for accuracy, detail and discretion; U& e5 l/ c# p
• Able to interact in a positive manner with diverse population
