2 A8 Y; j' c! |The duties of the Operations Manager - SU Venues are diverse and  ; P1 K8 }/ M) x0 w
extensive, and are targeted at the all round smooth operation and  
. I% K4 i! B5 `financial and operational success of the Horowitz Theatre as well as  & b7 r! x. _  p5 `8 d4 t% @
the logistical organization and smooth rental of the additional  
. g# o2 L1 `# r/ M$ [8 Xvenues within the realm of the Students´ Union.  In the light of that  0 Y- p& @/ K6 C: ~7 P; b: q* Z
breadth and complexity, it is not possible to fully define or  1 q" q+ u' }" x
describe all roles and responsibilities in a document of this kind.   
! ^8 V( J; Q: X4 }! ?' \/ E* eHowever, the main roles and responsibilities of the Operations  
0 m; O8 F. n, N, G8 rManager are as follows:

a.   To ensure, at all times, that the venues listed below meet the  
2 z( z0 s$ J  [% f: jappropriate standards, requirements and needs, and contributes in a  0 e6 o2 Q6 p- }0 w5 K  ^) \
positive way to the smooth operation and success of the individual  5 G( B/ v  q7 E: h; U
renter.8 F  A9 p% u0 E
·     Myer Horowitz Theatre2 V/ W/ j% b( C" x* u$ q3 k2 Q
·     Dinwoodie Lounge- q+ }5 y  }$ J2 S0 w
·     SUB Stage1 D8 Y& x9 m6 O2 Z1 n; h, D

( Q/ q5 ?. Q5 \0 s; m# ~b.   This includes, but is not limited to, the following:
, g) x0 G& o* h- b  h·     To plan the capital and supply expenditures to meet the  
; u. J8 _, u5 P8 `$ Mproduction and facility requirements.* d; R3 I! c# J' _) ^
·     To ensure the day-to-day compliance of the venues with existing  
7 U: j5 B2 k9 _9 K2 q9 r* Lsafety regulations and building policies.; ^+ {( R' e+ d, i
To ensure that the maximum potential of renters is met.) L/ M$ @0 C5 w' h. i

6 X# b5 O. M0 G5 x* ]" F2.        Marketing and Promotion
! y6 z; N) v$ r* ?: N( X$ a' w' x4 T( O1 V' o$ U9 v* c! ^; h
a.   To develop and implement a marketing plan for the venues that  / l$ p) O' O7 B/ l) Q1 N7 Q9 p
focuses upon advertising and promoting the venue to faculty,  
7 i* q1 U4 `9 N. a5 t# Sstudents, and internal and external clients on an on-going basis.  3 [+ Y, P7 y9 v. l8 v$ J9 U" }5 ^
This strategy will include implementing and/or delegating the following:2 H8 q5 R0 d: S! D! F) [
·     To develop and maintain promotional materials, the Horowitz  0 r  a7 V7 {( i+ ?
Theatre and SU Venues home page, newspaper and other advertising; to  
3 G- q" x3 ^! i. }take advantage of other internal and external advertising  * I; a# F6 k; L% n6 d1 B$ B
opportunities; and to develop press releases and other promotional  
5 [6 g. \. O' |literature on an ongoing basis.
) e5 U; ]8 ]8 K; ~: u6 A·     To coordinate tours of the venues for potential renters.2 V9 ]6 ~: V) Y+ r
·     To promote upcoming events in the Horowitz Theatre through the  
! s7 i. N9 d8 }. V) E7 @use of the Horowitz Theatre Home Page and the SU Events Calendar.
9 |9 O8 ~/ ^) B·     To develop new external clients for the venues.+ y; `+ R8 A" z! ]- l

; n1 H; u1 L' \7 G( E, U7 l3.        Staff and Supervisory Roles and Responsibilities8 o7 Q% ]6 d7 m7 q7 Q  l- ^
9 s! b2 z+ ~( ~9 {: _9 P: o
a.   To ensure, at all times, that the venues are adequately and cost-
* c  M( S3 x7 Y( V1 x9 g3 c' @effectively staffed, and that the staff utilized by or within the  
3 H6 Z) A. f) }1 O0 V/ a* bvenues meet the appropriate standards, requirements and needs, and  
- s/ r1 [( f. S2 j9 ~contribute in a positive way to the smooth operation and success of  . e/ i+ f8 @& ]& a
the renter´s events. This includes, but is not necessarily limited  
/ h" u* m; g, a2 N) cto, the following:: R8 E* u' l, O$ k6 L) M3 M  ^( P0 x
·     To be responsible, under the direction of the Manager of Venues  0 s' x/ \7 T& |% z. d
and Programming, for all staff issues including hiring, disciplining,  % U$ n6 n5 f  N! D
evaluating and terminating, as necessary.% u! W& c0 n6 W0 r" f' E
To ensure that the Horowitz Theatre is adequately supervised at  
: t4 t4 D3 F. Gall times, this includes the development and implementation of such  : R! g7 }: R& V) a. P* u0 T7 k
schedules and rosters as may be necessary to ensure the effective and  
, e3 ?9 z4 O; X: ocost-effective supervision of the venues at all times during which it  
# b# I/ O- K8 j+ u$ Dis in operation or needs to be in operation.
2 ^( k  w/ X4 O" C8 J6 E% ?" b; E·     To work with the Technical Director, when necessary, to ensure  5 F) J) Q& r0 |
that an adequate and appropriate level of part-time staff exists to  
$ f4 c% Y# @- X+ |* Qfacilitate the smooth operation of the venues and to ensure all  
4 T& \! G  c; r' ]renters needs are met.8 G+ Y! P; v1 y, b
·     To work with the Technical Director to ensure that the skills  # F' \5 [0 K/ a& ?
and attitudes of all subordinate staff are appropriate in light of  . e. b9 W. ~* P
the roles they must perform. This includes providing adequate and  . X- l6 T" a1 _! y$ W# @3 Z
effective training (and re-training) in all applicable and  * ?/ r- f4 s+ |' ^% n
appropriate areas, and ensuring that the Policy and Procedures manual  
+ T* Y- [7 g1 d. u# r8 N) g! ois kep up-to-date at all times.9 ?, z$ u( N4 u; H9 m" _( b
·     To ensure all staff are trained in and committed to providing    c- W! l+ n6 x, M. P& i* H  d
excellent customer service to all renters.
/ f2 @  n* |' v, L. A) n·     To work with the Technical Director to arrange staff    J) R2 u4 ]( a4 b0 P* z" V
scheduling.  To handle payroll related matters, under the guidance  
2 R+ K; D" N+ y( a( \! Zand direction of the Manager of Venues and Programming, concerning  
5 v7 X  ?; W  S' Z6 Qthe staff of the venues.
: F: _3 f8 K) m) D) j- D' P5 Y·     Working with the Manager of Facilities and Operations to ensure  
9 X5 n$ h8 |1 e, m. Ithe appropriate setup/tear down of each venue.8 I8 ^8 L" e" h2 ~3 x
·     Working with the Manager of Programming and Venues to ensure  1 @  h4 m3 Z: k
that additional requests such as licensed receptions are arranged.9 \7 r+ W' V6 Z" M

4.          Overall Financial Performance
/ x. s- s0 c8 x+ m7 F5 n7 [& e7 \+ d) q6 K7 z
a. To ensure, at all times, that the Financial and Administrative  2 S! `. ~: {9 {/ O
systems and processes utilized by or within the venues meet the  ; [0 j- r) y7 w
appropriate standards, requirements and needs, and contribute in a  
' C5 |4 h" T" S7 c( n. ]positive way to the smooth operation and success of the venues. This  
( u7 V- |& S8 v7 o% uincludes, but is not necessarily limited to, the following:
4 p& R/ f, u/ w4 Q$ k To provide input and expertise in the formulation of appropriate  ; }* [; j% ^; y8 e- B$ c: h/ t
operating budgets covering the venues to the SU´s Manager of  9 }9 P* G! Z  k! |4 r) Q
Programming and Venues and to discuss and refine those budgets  
6 Y% D2 X! A. I3 l& Y4 UManager of Programming and Venues, and Manager of Finance &  
0 e) V1 n$ v, {! Z& E3 J! f% l' CAdministration prior to their submission for final approval.4 m- c. ^1 {- g( x. c+ c
·  To manage the venues in a manner which adequately and effectively  
. L: D! E. r2 v2 O& y/ R& a7 e+ |* }reflects the budgets approved for the venues and/or which reflects  " S$ J2 A8 t1 j. X0 s# P9 f7 c! z3 Q
the best interests of the venues and the Students´ Union.) x: Q+ k3 o' F5 h4 F; z+ i! z
·  To function as the key player in the submission of financial and  " W! _( w8 s  U/ {: U
administrative documentation covering the venues to be used in the  
. V$ L4 }+ i' ~! Hcompilation of monthly and annual financial statements, and such  
$ u" V% y1 ^. i4 _0 X- ]other reports as may be necessary.8 D2 E5 m) v: V5 p! R& B( T) ]# S# w
·  To discuss those financial statements and other reports, together  3 I. d+ X2 ]" J# }+ B8 D9 U) f- {
with all financial and administrative procedures, with the SU´s  9 ]; Z) ^9 ^: c) d
Manager of Programming and Venues and Manager of Finance &  - A' L8 x& j/ f6 P1 K+ Q
Administration with a view to determining and implementing action  / }4 \& r2 a, c) s" B) a. a
aimed at improving the financial and/or functional effectiveness of  ; u0 O! E- ~+ S/ ^+ s( b  s2 \4 y
the Horowitz Theatre.
6 l; [- C/ B! t6 T' v! C·  To ensure the existence of adequate, effective and accurate job  
* ?" {# |" I$ ?5 ?, U6 T9 a6 gcosting systems to be used in connection with the determination and  , y8 a: w/ r& a1 _# l4 y0 j
setting of appropriate prices for rental and staffing rates for  
8 h. {; R! u8 Wevents held in the Horowitz Theatre.# p' p) Z$ x& t7 z
·  To develop accurate documentation to be used in connection with  , y; B& W' Y1 L" g# Y9 c9 u# K# G
the billing clients, and to forward such documentation in a timely  & P9 z+ f! k; {( @* \' V
manner to the Accounting Department.
% k( X/ _9 K7 f5 o·  To recognize, address and handle all matters relating to financial  
, }+ r3 [' t- s7 E3 V5 ]and administrative procedures and systems in a manner which reflects  0 S. I* q0 r8 y8 X' |4 A. n" I) r
the requirements of the SU´s Manager of Programming and Venues and  + K, M+ Z8 a4 m
Manager of Finance and Administration, and in a manner which  , F$ |6 V: |" C6 F6 B3 ^
contributes positively to the smooth operation and success of the  3 U) p/ l* q( U6 u9 t
venues.
8 ^9 U& T3 q0 i! J, M( V9 N2 ?3 I( Y0 ]  q7 W9 ?
5.          Overall Roles and Responsibilities
7 J2 l5 [' h1 F. W  u. B1 Ea.   To ensure, at all times, that the systems and processes used in  0 Q; T1 E* Q. p& u
renting the venues meet the appropriate standards, requirements and  
& l% o8 C: i/ b' b- eneeds, and contribute to the smooth operation and success of the  # u6 |( G/ Y' }. k
venues. This includes, but is not limited to, the following:# D5 B/ ?$ W% w( ~

* ]/ d% T/ c- X( X! L·  To recognize, develop and set in place such rental procedures as  # O+ {- t$ D" g+ L1 n; M" ^1 g
may be necessary to ensure the smooth operation of the venues, this  ; Z1 H. G1 O3 G9 x3 w9 ?9 H5 H
is to include but not necessarily be limited to systems and processes    L! J, G+ b! c
in the areas of contracts, inventory management, contract evaluation,  ( U" G" F9 t. `  B9 o' y( _! b
pricing, costing, equipment usage, rental/contract invoicing,  
3 V6 E& T* Q* M& dtogether with such other systems and procedures as may be necessary  
* B8 R# \5 w- g( `! Z  c+ Oto ensure the smooth, secure, efficient, cost-effective and  
9 f: s8 o. t% a# k' G. yfunctionally-effective operation of the Horowitz Theatre.
; e" G1 k3 e: A- \4 P& Y·  To recognize, develop and set in place such operational procedures  
( d2 y8 o0 K* R) Z  V( Pas may be necessary to ensure the smooth, efficient and cost- ; R- }  I* \2 b2 d7 |- [# r0 D) z& m
effective operation of the venues.
0 n9 j) ]' k+ k4 d- s8 z·  To negotiate rental lease agreements (contracts) relating to  
: X! g) p9 ~4 Z5 A2 Y4 G# @" D4 M) xdates, rates, staff and miscellaneous charges.+ o! h; g8 \& o" X6 F$ h( D5 `
·  To ensure that adequate inventory is available at all times and  ! _2 H  [3 H+ G4 k4 z% g# S; D2 F+ _
that such inventory is stored and issued in effective and secure ways./ R8 |( {+ E& P1 T/ I! S
·  To consult with renters as to facility issues in producing their  
) O; J& \' T1 F4 e% ]; qparticular event in the venues.' J4 ~$ K5 g# z2 F) |; x; a# S
·  To provide the venues on-site staff with such documentation and  1 @( N# `4 Z1 D3 U% J
supporting information as it may need to effectively fulfill the  4 C2 h# v2 o3 g$ S6 c
roles they are to perform to ensure the success of the renter´s event.
- C, |  H6 _, n·  To produce quotes in respect to staffing costs for a particular  
7 e' e+ w4 z. H7 h$ a! L8 g  G8 Jrental with consultation with the Technical Director.. V) H5 a# x# p* P' o
·  To ensure that all queries raised with the venues whether from the  
2 ^; t3 g$ Z5 l$ m8 o2 ?. \SU or renters, are promptly and effectively handled and adequately  
. [, z5 V+ d" ]$ k' O: ]- {" janswered, and to ensure that such action as may be necessary in  
' Q; B! v  X: @8 ?% nfollow-up to such queries is taken in a timely manner.: Y* T- p, S9 }8 I6 i% V7 D  K& m
To ensure that the venues and its capabilities are adequately,  
/ D+ u7 z9 Q% ^7 q6 Reffectively and cost-effectively advertised and promoted, and that  
& t1 l/ e( z8 }  n' x' I1 vthe cost of such endeavors does not exceed the budgetary provision  ( Y' F$ V0 w6 B- @8 D
made for them unless prior approval is given by the Manager of  " t, K1 P# c4 f
Programming and Venues." K: Q3 N. C$ |8 _: W1 f
·  To act as an informed and knowledgeable resource in the case of    V- w: k3 F: P9 N
significant challenges and/or problems surrounding the tasks of  
* T/ U) l$ o7 x0 }7 e0 q7 A' fmarketing, administration, operations, and any such other matters as  
8 s( W' }, H% [  H: p8 }! rmay provide such challenges and/or problems.& h! \, j) p+ D" \9 B
·  To attend such meetings as may be required to support the smooth  
) a. O# |( E$ }3 G" Yoperation of the venues or the Students´ Union as a whole.
, G, `3 v8 P7 J* P4 m·  To perform other job-related duties as may be required by the  
! W/ ]% d# |! ^! [# KManager of Programming and Venues in order to ensure the smooth and  
" l/ [5 ~5 x, S2 u% z8 f- b* Dsecure operation of the venues.0 v7 \" j$ Y' X+ [' c
·  To recognize, address and handle all matters relating to overall  
' U: m1 D* d- p3 b: toperations in a manner which reflects the requirements of the SU´s  , s$ U% d; n& c. V9 A
Manager of Programming and Venues, and Manager of Finance and

QUALIFICATIONS:7 {- Q& a8 f+ N% |1 D' V
1)             Minimum two years related post secondary education, or  1 d% ]* j; \$ U
an acceptable combination of education and experience.
0 w- r( z' a( Y4 d" _2)             Supervisory experience.
8 d% |9 ^& P9 X9 ?8 O% h2 M3)             Ability to create new initiatives with little or no  
3 e3 l9 y0 h  Y1 _* Bsupervision.7 i" E0 ^9 t8 |
