the logistical organization and smooth rental of the additional

describe all roles and responsibilities in a document of this kind.

a. To develop and implement a marketing plan for the venues that / l$ p) O' O7 B/ l) Q1 N7 Q9 p
focuses upon advertising and promoting the venue to faculty,
7 i* q1 U4 `9 N. a5 t# Sstudents, and internal and external clients on an on-going basis. 3 [+ Y, P7 y9 v. l8 v$ J9 U" }5 ^
This strategy will include implementing and/or delegating the following:2 H8 q5 R0 d: S! D! F) [
· To develop and maintain promotional materials, the Horowitz 0 r a7 V7 {( i+ ?
Theatre and SU Venues home page, newspaper and other advertising; to
3 G- q" x3 ^! i. }take advantage of other internal and external advertising * I; a# F6 k; L% n6 d1 B$ B
opportunities; and to develop press releases and other promotional
5 [6 g. \. O' |literature on an ongoing basis.

· To promote upcoming events in the Horowitz Theatre through the
! s7 i. N9 d8 }. V) E7 @use of the Horowitz Theatre Home Page and the SU Events Calendar.

a. To ensure, at all times, that the venues are adequately and cost-
* c M( S3 x7 Y( V1 x9 g3 c' @effectively staffed, and that the staff utilized by or within the
3 H6 Z) A. f) }1 O0 V/ a* bvenues meet the appropriate standards, requirements and needs, and
- s/ r1 [( f. S2 j9 ~contribute in a positive way to the smooth operation and success of . e/ i+ f8 @& ]& a
the renter´s events. This includes, but is not necessarily limited

· To be responsible, under the direction of the Manager of Venues 0 s' x/ \7 T& |% z. d
and Programming, for all staff issues including hiring, disciplining, % U$ n6 n5 f N! D
evaluating and terminating, as necessary.% u! W& c0 n6 W0 r" f' E
To ensure that the Horowitz Theatre is adequately supervised at
: t4 t4 D3 F. Gall times, this includes the development and implementation of such : R! g7 }: R& V) a. P* u0 T7 k
schedules and rosters as may be necessary to ensure the effective and
, e3 ?9 z4 O; X: ocost-effective supervision of the venues at all times during which it
# b# I/ O- K8 j+ u$ Dis in operation or needs to be in operation.

that an adequate and appropriate level of part-time staff exists to

· To work with the Technical Director to ensure that the skills # F' \5 [0 K/ a& ?
and attitudes of all subordinate staff are appropriate in light of . e. b9 W. ~* P
the roles they must perform. This includes providing adequate and . X- l6 T" a1 _! y$ W# @3 Z
effective training (and re-training) in all applicable and * ?/ r- f4 s+ |' ^% n
appropriate areas, and ensuring that the Policy and Procedures manual

· To ensure all staff are trained in and committed to providing c- W! l+ n6 x, M. P& i* H d
excellent customer service to all renters.

scheduling. To handle payroll related matters, under the guidance

· Working with the Manager of Programming and Venues to ensure 1 @ h4 m3 Z: k
that additional requests such as licensed receptions are arranged.9 \7 r+ W' V6 Z" M

4. Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative 2 S! `. ~: {9 {/ O
systems and processes utilized by or within the venues meet the ; [0 j- r) y7 w
appropriate standards, requirements and needs, and contribute in a
' C5 |4 h" T" S7 c( n. ]positive way to the smooth operation and success of the venues. This
( u7 V- |& S8 v7 o% uincludes, but is not necessarily limited to, the following:

operating budgets covering the venues to the SU´s Manager of 9 }9 P* G! Z k! |4 r) Q
Programming and Venues and to discuss and refine those budgets

· To manage the venues in a manner which adequately and effectively

· To function as the key player in the submission of financial and " W! _( w8 s U/ {: U
administrative documentation covering the venues to be used in the

the Horowitz Theatre.

* ?" {# |" I$ ?5 ?, U6 T9 a6 gcosting systems to be used in connection with the determination and , y8 a: w/ r& a1 _# l4 y0 j
setting of appropriate prices for rental and staffing rates for
8 h. {; R! u8 Wevents held in the Horowitz Theatre.# p' p) Z$ x& t7 z
· To develop accurate documentation to be used in connection with , y; B& W' Y1 L" g# Y9 c9 u# K# G
the billing clients, and to forward such documentation in a timely & P9 z+ f! k; {( @* \' V
manner to the Accounting Department.
% k( X/ _9 K7 f5 o· To recognize, address and handle all matters relating to financial
, }+ r3 [' t- s7 E3 V5 ]and administrative procedures and systems in a manner which reflects 0 S. I* q0 r8 y8 X' |4 A. n" I) r
the requirements of the SU´s Manager of Programming and Venues and + K, M+ Z8 a4 m
Manager of Finance and Administration, and in a manner which , F$ |6 V: |" C6 F6 B3 ^
contributes positively to the smooth operation and success of the 3 U) p/ l* q( U6 u9 t
venues.

5. Overall Roles and Responsibilities
7 J2 l5 [' h1 F. W u. B1 Ea. To ensure, at all times, that the systems and processes used in 0 Q; T1 E* Q. p& u
renting the venues meet the appropriate standards, requirements and
& l% o8 C: i/ b' b- eneeds, and contribute to the smooth operation and success of the # u6 |( G/ Y' }. k
venues. This includes, but is not limited to, the following:# D5 B/ ?$ W% w( ~
* ]/ d% T/ c- X( X! L· To recognize, develop and set in place such rental procedures as # O+ {- t$ D" g+ L1 n; M" ^1 g
may be necessary to ensure the smooth operation of the venues, this ; Z1 H. G1 O3 G9 x3 w9 ?9 H5 H
is to include but not necessarily be limited to systems and processes L! J, G+ b! c
in the areas of contracts, inventory management, contract evaluation, ( U" G" F9 t. ` B9 o' y( _! b
pricing, costing, equipment usage, rental/contract invoicing,
3 V6 E& T* Q* M& dtogether with such other systems and procedures as may be necessary
* B8 R# \5 w- g( `! Z c+ Oto ensure the smooth, secure, efficient, cost-effective and
9 f: s8 o. t% a# k' G. yfunctionally-effective operation of the Horowitz Theatre.
; e" G1 k3 e: A- \4 P& Y· To recognize, develop and set in place such operational procedures
( d2 y8 o0 K* R) Z V( Pas may be necessary to ensure the smooth, efficient and cost- ; R- } I* \2 b2 d7 |- [# r0 D) z& m
effective operation of the venues.
0 n9 j) ]' k+ k4 d- s8 z· To negotiate rental lease agreements (contracts) relating to
: X! g) p9 ~4 Z5 A2 Y4 G# @" D4 M) xdates, rates, staff and miscellaneous charges.+ o! h; g8 \& o" X6 F$ h( D5 `
· To ensure that adequate inventory is available at all times and ! _2 H [3 H+ G4 k4 z% g# S; D2 F+ _
that such inventory is stored and issued in effective and secure ways./ R8 |( {+ E& P1 T/ I! S
· To consult with renters as to facility issues in producing their
) O; J& \' T1 F4 e% ]; qparticular event in the venues.' J4 ~$ K5 g# z2 F) |; x; a# S
· To provide the venues on-site staff with such documentation and 1 @( N# `4 Z1 D3 U% J
supporting information as it may need to effectively fulfill the 4 C2 h# v2 o3 g$ S6 c
roles they are to perform to ensure the success of the renter´s event.

· To ensure that all queries raised with the venues whether from the
2 ^; t3 g$ Z5 l$ m8 o2 ?. \SU or renters, are promptly and effectively handled and adequately
. [, z5 V+ d" ]$ k' O: ]- {" janswered, and to ensure that such action as may be necessary in
' Q; B! v X: @8 ?% nfollow-up to such queries is taken in a timely manner.: Y* T- p, S9 }8 I6 i% V7 D K& m
To ensure that the venues and its capabilities are adequately,
/ D+ u7 z9 Q% ^7 q6 Reffectively and cost-effectively advertised and promoted, and that
& t1 l/ e( z8 } n' x' I1 vthe cost of such endeavors does not exceed the budgetary provision ( Y' F$ V0 w6 B- @8 D
made for them unless prior approval is given by the Manager of " t, K1 P# c4 f

· To act as an informed and knowledgeable resource in the case of V- w: k3 F: P9 N
significant challenges and/or problems surrounding the tasks of

· To attend such meetings as may be required to support the smooth
