· To ensure the day-to-day compliance of the venues with existing

2. Marketing and Promotion: ?2 x4 y( B, V- Y# }. V
. s: I7 @& e0 ~a. To develop and implement a marketing plan for the venues that
2 j; k, L+ v% `9 vfocuses upon advertising and promoting the venue to faculty,

This strategy will include implementing and/or delegating the following:5 K8 i( Y5 @# J7 m' I+ Z
· To develop and maintain promotional materials, the Horowitz
# s/ i' C ~: X7 \% p: j/ P7 }Theatre and SU Venues home page, newspaper and other advertising; to $ j6 B& \+ w/ _8 t, {2 F, a; K6 o+ F& c- ~
take advantage of other internal and external advertising - E7 }+ i$ D1 {, p
opportunities; and to develop press releases and other promotional

· To coordinate tours of the venues for potential renters.9 O/ O1 `( D) U6 m) |% \3 y! z
· To promote upcoming events in the Horowitz Theatre through the

+ j$ }& o/ D2 Z: \- z" g; l @# }3. Staff and Supervisory Roles and Responsibilities

+ Z; k) C0 z, O. A! q8 R9 ra. To ensure, at all times, that the venues are adequately and cost-
7 _" k7 W- C/ @$ T9 weffectively staffed, and that the staff utilized by or within the
8 I( Z7 D. m+ t' \4 w! N9 g1 bvenues meet the appropriate standards, requirements and needs, and + M$ g5 J6 k$ _/ [' }: i* F @$ X
contribute in a positive way to the smooth operation and success of / ?3 B2 n3 V8 A) t( P @
the renter´s events. This includes, but is not necessarily limited 3 j3 ^5 k4 r1 \8 {6 m- `
to, the following: w/ L1 ?% v \9 \4 S
· To be responsible, under the direction of the Manager of Venues
+ [9 j% a5 f0 F0 pand Programming, for all staff issues including hiring, disciplining, 0 L# b0 m2 p' B3 H4 I" Q, `
evaluating and terminating, as necessary.
0 x% z M! \2 h8 c# L; u To ensure that the Horowitz Theatre is adequately supervised at 4 ]9 ^$ p5 a9 |! }9 B" S- f/ @
all times, this includes the development and implementation of such & s- x* q( \6 \, Q4 C
schedules and rosters as may be necessary to ensure the effective and
# x3 S$ `. y( ^cost-effective supervision of the venues at all times during which it 7 X8 u) V4 C' v! ^* U4 O
is in operation or needs to be in operation.
! n8 @7 z3 M4 h" t* m* X$ ?· To work with the Technical Director, when necessary, to ensure 9 h$ S" @7 U z- R
that an adequate and appropriate level of part-time staff exists to
" d" B: P$ x. O o- [facilitate the smooth operation of the venues and to ensure all
7 i7 X. |& f% t. N! erenters needs are met./ v/ h! f) c! l: p9 b2 b
· To work with the Technical Director to ensure that the skills 3 b; A r& F k: s! @
and attitudes of all subordinate staff are appropriate in light of * H* G% v; |" h' o3 C. x8 e
the roles they must perform. This includes providing adequate and - ?. {% @# ]. S2 T
effective training (and re-training) in all applicable and
4 m2 O" A9 O( M. S( w5 Wappropriate areas, and ensuring that the Policy and Procedures manual

excellent customer service to all renters.

scheduling. To handle payroll related matters, under the guidance ! w j1 D) K8 r
and direction of the Manager of Venues and Programming, concerning ( G9 @! Z) v: P9 o, U
the staff of the venues.

appropriate standards, requirements and needs, and contribute in a

To provide input and expertise in the formulation of appropriate ( P/ `1 G5 B+ E& i4 X

Manager of Programming and Venues, and Manager of Finance &

· To manage the venues in a manner which adequately and effectively

· To function as the key player in the submission of financial and

compilation of monthly and annual financial statements, and such $ y! W& ]% F, d

· To discuss those financial statements and other reports, together

· To ensure the existence of adequate, effective and accurate job $ J; U3 d( `# G$ F0 C# `# i
costing systems to be used in connection with the determination and
) Y c6 z7 E) g% w7 o. x9 N5 Z* N% S- Psetting of appropriate prices for rental and staffing rates for ( ~7 V2 Q" w. M) i3 k- v5 p, U3 J
events held in the Horowitz Theatre.( ^7 _7 y; b; o1 {4 E6 z
· To develop accurate documentation to be used in connection with
4 X5 ?: G7 g0 ?the billing clients, and to forward such documentation in a timely # r0 y8 J- X; S- n
manner to the Accounting Department.3 p7 h% ]) i& x% i, E6 l, G
· To recognize, address and handle all matters relating to financial

the requirements of the SU´s Manager of Programming and Venues and

5. Overall Roles and Responsibilities+ Z' [$ y/ s: ^; ?; z/ M- `
a. To ensure, at all times, that the systems and processes used in
. q. W4 ?" }; o$ K/ ?( ^+ R6 Prenting the venues meet the appropriate standards, requirements and
9 s% L+ A9 j+ J" l0 }needs, and contribute to the smooth operation and success of the
3 Y; ?2 P0 ]4 f( J- D7 Z4 f* L6 Y0 cvenues. This includes, but is not limited to, the following:

· To recognize, develop and set in place such rental procedures as z, r9 M& [8 F. x+ ?
may be necessary to ensure the smooth operation of the venues, this
& x1 }3 K/ F9 g7 F7 u; Q3 Sis to include but not necessarily be limited to systems and processes
% u* f' M) ~1 p6 H, R1 Lin the areas of contracts, inventory management, contract evaluation,
" y! l8 v2 d/ b& t/ h% l7 s3 ~pricing, costing, equipment usage, rental/contract invoicing, ! M9 M) E* f" ~& T
together with such other systems and procedures as may be necessary # h( Z T' i; U7 z$ O! r4 _* P
to ensure the smooth, secure, efficient, cost-effective and ) Z3 {7 {1 I4 S2 w; ~9 a! {
functionally-effective operation of the Horowitz Theatre.
0 k& m! m9 o. l- C6 X% A· To recognize, develop and set in place such operational procedures * {! V8 Z8 C8 r
as may be necessary to ensure the smooth, efficient and cost-
% n+ l) }. n" x8 n8 eeffective operation of the venues.5 ~7 y( Q1 g" S& S/ }' a2 ]
· To negotiate rental lease agreements (contracts) relating to
" }3 O. v J4 ~5 Udates, rates, staff and miscellaneous charges.
# B; C6 S5 \" R: a0 p· To ensure that adequate inventory is available at all times and
% I' T5 t# p1 d H4 t2 K" Qthat such inventory is stored and issued in effective and secure ways.9 M& c7 K; S% m+ n6 q5 u- X
· To consult with renters as to facility issues in producing their
- \, N& N& k- {1 Mparticular event in the venues.% t2 M4 m/ @2 l9 u6 q& p7 T$ ~
· To provide the venues on-site staff with such documentation and
- d9 @5 \& w+ X d8 Dsupporting information as it may need to effectively fulfill the " W0 G) L- @- H! f
roles they are to perform to ensure the success of the renter´s event.$ m" W/ E( I% U% ?! x2 Y2 [" f
· To produce quotes in respect to staffing costs for a particular 3 l% L' G' s# Y
rental with consultation with the Technical Director.
; n) ?1 T# m* ]5 M· To ensure that all queries raised with the venues whether from the
1 h3 `, E# X7 ]8 W8 nSU or renters, are promptly and effectively handled and adequately % y: g& B9 ^: A5 Z8 Q* k7 e
answered, and to ensure that such action as may be necessary in
4 L, h, `8 u6 E3 I8 w1 Nfollow-up to such queries is taken in a timely manner.6 h! k. h4 z+ E/ A' B; w& Y
To ensure that the venues and its capabilities are adequately, * T5 E! ~4 Q4 S
effectively and cost-effectively advertised and promoted, and that ) V% B: T& q( m( K+ b; h- ]1 a7 S
the cost of such endeavors does not exceed the budgetary provision
# M$ r; B! l5 g5 B ~ P0 `3 Q8 k0 umade for them unless prior approval is given by the Manager of 4 Z, c# S; [7 r7 @

· To act as an informed and knowledgeable resource in the case of 3 G" A& Q s+ a/ L2 g' q: c, F# Q9 g
significant challenges and/or problems surrounding the tasks of
