direct line reporting relationship to the SU´s Manager of Programming

The duties of the Operations Manager - SU Venues are diverse and  
6 X6 w9 S3 O; gextensive, and are targeted at the all round smooth operation and  
" O0 e, C: |/ h6 [, J6 p/ Ifinancial and operational success of the Horowitz Theatre as well as  
; w: l  U, z5 O# ?5 u/ H' e7 Z( ?9 hthe logistical organization and smooth rental of the additional  0 Y. S) c; _) s  ^; j6 h+ B  v
venues within the realm of the Students´ Union.  In the light of that  
* t4 F0 j) }; o% D# _4 E, hbreadth and complexity, it is not possible to fully define or  
1 n" ~  A- ^3 h  q! fdescribe all roles and responsibilities in a document of this kind.   4 m7 s# B! L5 I
However, the main roles and responsibilities of the Operations  % o3 a+ `. m/ S/ U
Manager are as follows:

a.   To ensure, at all times, that the venues listed below meet the  ! ~1 L* V: E+ X) D4 _1 D5 W
appropriate standards, requirements and needs, and contributes in a  
$ V! ]9 V4 s7 ]7 Z3 ypositive way to the smooth operation and success of the individual  
+ o7 Q* Z; d* p( i; \7 U# ?renter.
! c* C+ N) k0 t( `; L. I·     Myer Horowitz Theatre
  z% h- d& E) k7 Z4 ^7 g0 V·     Dinwoodie Lounge

# U( U* l8 `4 t1 U. b3 ^5 Xb.   This includes, but is not limited to, the following:% }/ F+ j1 f9 U: i
·     To plan the capital and supply expenditures to meet the  * g1 y% T1 A) y+ o! W
production and facility requirements.( A) u/ @- n, d) D' f
·     To ensure the day-to-day compliance of the venues with existing  & T# s/ C- l; \! W: \
safety regulations and building policies.  E0 S8 f, @9 n* z4 f
To ensure that the maximum potential of renters is met.

2.        Marketing and Promotion
1 N! M/ C, b/ f6 Q: G3 D& q3 d. T
8 t- O# o  Q- S( Pa.   To develop and implement a marketing plan for the venues that  
  o) {: {' h5 I) t6 mfocuses upon advertising and promoting the venue to faculty,  - {! p  i4 L3 e( S3 f
students, and internal and external clients on an on-going basis.  
  s+ q* y2 F8 F$ o, X' f6 M# \This strategy will include implementing and/or delegating the following:
( O5 V2 `2 K9 D8 Z; z( r·     To develop and maintain promotional materials, the Horowitz  
" N7 v1 B5 c  f  M$ U! i9 D' ^Theatre and SU Venues home page, newspaper and other advertising; to  
& E9 w. h4 E/ w  h# Q# Wtake advantage of other internal and external advertising  
6 C# f$ O$ N9 ]4 F4 t: K0 Zopportunities; and to develop press releases and other promotional  
' k( f8 `8 j) p  Xliterature on an ongoing basis.
# l* ^5 F; d' z+ I0 [( J+ C* m9 O·     To coordinate tours of the venues for potential renters.
7 }$ k# u# s% Z0 W. x·     To promote upcoming events in the Horowitz Theatre through the  3 F8 v: Y9 ?/ h, s8 X2 x! e) A
use of the Horowitz Theatre Home Page and the SU Events Calendar.& g1 Z- x+ ]2 g. D& X" u: Q7 b
·     To develop new external clients for the venues.7 B1 e! r1 J' {8 ~

; V# O( g* ]( a5 T) g' {" O7 P, u* k3.        Staff and Supervisory Roles and Responsibilities! ?, E. j+ C% T

1 ^* A! r; z$ g" N/ ~3 J$ ua.   To ensure, at all times, that the venues are adequately and cost- , c  e# ]9 H% T) v; o
effectively staffed, and that the staff utilized by or within the  . ^" }2 P/ ~* O
venues meet the appropriate standards, requirements and needs, and  0 W2 v# r% s0 C8 z. C1 f
contribute in a positive way to the smooth operation and success of  7 ^1 ?# L% D8 E( i. z; H
the renter´s events. This includes, but is not necessarily limited  
/ l8 I6 N3 Z* Rto, the following:5 U! {, Y# X8 N. m' V
·     To be responsible, under the direction of the Manager of Venues  ' |2 O0 r4 _, E  h
and Programming, for all staff issues including hiring, disciplining,  
& |' f0 v1 o  T! H/ |" sevaluating and terminating, as necessary.
; N3 Q$ u& m1 O/ y+ M4 |; z To ensure that the Horowitz Theatre is adequately supervised at  . L( f1 Z" u" Y" [0 U
all times, this includes the development and implementation of such  
! h# }  Y( ~: L# hschedules and rosters as may be necessary to ensure the effective and  3 e' M1 a/ q8 O) j0 o3 o
cost-effective supervision of the venues at all times during which it  
* t8 Y1 Y% K9 `6 _2 j: ais in operation or needs to be in operation.; N- Y9 J5 f2 @# q
·     To work with the Technical Director, when necessary, to ensure  5 T, L. r4 f6 ]' _3 V7 L  ^* i
that an adequate and appropriate level of part-time staff exists to    [+ u8 J: t1 b7 r
facilitate the smooth operation of the venues and to ensure all  
4 M  ^3 H3 _/ N5 {renters needs are met.. k( h& M) m; X& w) l9 s
·     To work with the Technical Director to ensure that the skills  4 u4 f# X8 U7 ~* `" R) J; Q  R
and attitudes of all subordinate staff are appropriate in light of  
% H! _# B" [6 R( f% m6 \the roles they must perform. This includes providing adequate and  
/ s$ Q9 W8 R4 }- g2 |) F0 veffective training (and re-training) in all applicable and  
' s7 F$ e1 s. S9 K. P( h+ ?appropriate areas, and ensuring that the Policy and Procedures manual  
' ?6 g" K4 R/ O+ Q( Ois kep up-to-date at all times.9 F( ~6 P$ F% p! W
·     To ensure all staff are trained in and committed to providing  
" T: q5 a* `5 v* O0 Vexcellent customer service to all renters.
9 T8 y3 c& Y# [" U2 j% |8 G·     To work with the Technical Director to arrange staff  0 B# h- Q; k; B& A, G! ]
scheduling.  To handle payroll related matters, under the guidance  
1 p! y! e" `/ ~$ ]2 nand direction of the Manager of Venues and Programming, concerning  - _# {4 W/ {( l' j8 V# o1 S
the staff of the venues.
3 c, C7 B+ i$ u. |2 V·     Working with the Manager of Facilities and Operations to ensure  
4 o$ _: X7 O5 H$ E, ithe appropriate setup/tear down of each venue.
7 I5 @; H9 K( @6 p·     Working with the Manager of Programming and Venues to ensure  4 |1 w. i' \& ^
that additional requests such as licensed receptions are arranged.
+ @6 H# U* t% D; P7 ]# }' @- @% u' ], C, h" z5 ]

" V6 v; ?% O5 c' T- ]4.          Overall Financial Performance

, K0 ~# X0 {& v) j2 Q# Ya. To ensure, at all times, that the Financial and Administrative  
$ y, s# b: [' q, |% @$ Vsystems and processes utilized by or within the venues meet the  / c' W2 k* Y8 b7 Z
appropriate standards, requirements and needs, and contribute in a  
* s3 J* q# `. i+ X1 n: bpositive way to the smooth operation and success of the venues. This  
: g) ]4 y# d) q3 \includes, but is not necessarily limited to, the following:
0 s4 c: A  H  A+ h! m9 ^ To provide input and expertise in the formulation of appropriate  
, A% \' b: Y# Y5 }) }* a  yoperating budgets covering the venues to the SU´s Manager of  
' o+ U. u& L8 N  JProgramming and Venues and to discuss and refine those budgets  
+ R; z: I: Y7 }& F! B2 R9 e% mManager of Programming and Venues, and Manager of Finance &  . o( R4 |/ N$ R, q/ ^% B
Administration prior to their submission for final approval.
) }4 O5 K7 H1 }5 A) ^! [7 `·  To manage the venues in a manner which adequately and effectively  ( j* h7 |. {$ j
reflects the budgets approved for the venues and/or which reflects  
7 k- u. p& E. R3 x! |' j5 ]  ^the best interests of the venues and the Students´ Union.
# s, E5 A3 c5 M) ]7 ~8 N, `! m9 S* B·  To function as the key player in the submission of financial and  
4 c8 f, Y! m' Z" Ladministrative documentation covering the venues to be used in the  2 \; j7 k. P  _- T5 J# T% y
compilation of monthly and annual financial statements, and such  
$ F4 U4 m# ]# D1 m6 Jother reports as may be necessary.
- V6 k: n- l$ ?7 u2 ^8 {, R·  To discuss those financial statements and other reports, together  
3 H0 z' a. c$ w  L2 _with all financial and administrative procedures, with the SU´s  5 [- v8 X/ I8 A" P
Manager of Programming and Venues and Manager of Finance &  : \9 \+ x0 j. G* q: Z
Administration with a view to determining and implementing action  
- ?. n+ e8 o# B/ s) Xaimed at improving the financial and/or functional effectiveness of  
2 t9 U8 A( G" Athe Horowitz Theatre.% n" M& A% X% O
·  To ensure the existence of adequate, effective and accurate job  & Q: z" M9 R" d0 u/ L. N
costing systems to be used in connection with the determination and  : D6 l; @* s. F+ F/ l( {, K/ [8 T
setting of appropriate prices for rental and staffing rates for  
: v1 Y& q9 ~  L1 N" ?3 B5 x5 n- Eevents held in the Horowitz Theatre.
- z9 y3 Z) h8 l·  To develop accurate documentation to be used in connection with  
! ~0 a" p# ^/ d3 l# tthe billing clients, and to forward such documentation in a timely  
' r9 J+ `, O, s. ^3 {9 c; q) Umanner to the Accounting Department.& ^; _! L$ y8 A0 ?# V( U
·  To recognize, address and handle all matters relating to financial  ! v: I% }$ M& u) r0 _) O* `; f
and administrative procedures and systems in a manner which reflects  
+ C  _; D0 z7 @0 H8 m- athe requirements of the SU´s Manager of Programming and Venues and  - k4 Q- K2 }& U$ k( [2 a% Q2 W: i
Manager of Finance and Administration, and in a manner which  
$ G4 x, {- ]' J6 i) ?" r+ @" v2 Ncontributes positively to the smooth operation and success of the

" p- v* b; N) X' p0 O( Q. a$ C1 R2 Q# O5.          Overall Roles and Responsibilities
) o/ U' ~1 [1 w. Ka.   To ensure, at all times, that the systems and processes used in  
) W& w* S8 E3 Frenting the venues meet the appropriate standards, requirements and  $ `& ], e" ~  _% ^, ?# {
needs, and contribute to the smooth operation and success of the  
" S) f+ K. w! D: Evenues. This includes, but is not limited to, the following:: ]" f; M6 G" P0 Y* Y! G
8 i; ~- `; K" M% i
·  To recognize, develop and set in place such rental procedures as  
+ j$ @( y$ ?4 a/ s% ]7 R; c, omay be necessary to ensure the smooth operation of the venues, this  
) A% f* \4 @3 T& d# Qis to include but not necessarily be limited to systems and processes  - e8 _+ j2 K; c$ A9 E) N
in the areas of contracts, inventory management, contract evaluation,  
/ d  k* Y: y- S' M. L4 b! Xpricing, costing, equipment usage, rental/contract invoicing,  ) o1 H  h# W5 L3 V! P7 Q
together with such other systems and procedures as may be necessary  - {$ x1 w  D5 k
to ensure the smooth, secure, efficient, cost-effective and  ( Q% l- d8 Y2 C; Y+ W
functionally-effective operation of the Horowitz Theatre.3 s6 R: U- J* d1 N! @) ~* a
·  To recognize, develop and set in place such operational procedures  + U4 u' l0 r0 X1 G  j
as may be necessary to ensure the smooth, efficient and cost- % V7 N& d5 M0 y4 C/ t
effective operation of the venues.3 `# e4 q- g5 z: j3 \* H8 \7 _
·  To negotiate rental lease agreements (contracts) relating to  ' o5 R4 @* O. r3 G& _  R  t$ i* G; i
dates, rates, staff and miscellaneous charges.
4 e+ a% O- u/ J1 {5 Y·  To ensure that adequate inventory is available at all times and  
; R2 O; Q9 |" ?& [5 U( a( |" xthat such inventory is stored and issued in effective and secure ways.
' V  ]# Q& q9 s! G  g' f·  To consult with renters as to facility issues in producing their  
$ [# G- x0 R4 T, J9 m; `particular event in the venues.
- n! W# @7 m# B1 Y+ i) r) T·  To provide the venues on-site staff with such documentation and  + C# [4 v6 J  @% R7 q
supporting information as it may need to effectively fulfill the  
+ p) y5 @2 H- ?7 aroles they are to perform to ensure the success of the renter´s event.1 G7 w$ |& f3 v
·  To produce quotes in respect to staffing costs for a particular  ) x8 `% B2 K6 t! }1 S% z7 w/ X
rental with consultation with the Technical Director.
2 g& i9 q0 E4 D  W$ t+ G·  To ensure that all queries raised with the venues whether from the  9 Z0 L5 @' V% ^  W- B2 b
SU or renters, are promptly and effectively handled and adequately  0 ]! W2 @1 |/ m2 d1 f, t
answered, and to ensure that such action as may be necessary in  % T: R* P# l* h: t- r! {1 y
follow-up to such queries is taken in a timely manner.
1 q4 k7 }" E  C8 E- u$ Q6 j0 q To ensure that the venues and its capabilities are adequately,  
5 _$ Z0 A- Y" s; yeffectively and cost-effectively advertised and promoted, and that  
9 Q2 T% r. U& W" e- Lthe cost of such endeavors does not exceed the budgetary provision  
/ P9 [, e0 A1 N- L- }2 ~made for them unless prior approval is given by the Manager of  
1 W) Z, o) a# p, _: ?Programming and Venues.
6 q+ I$ |+ f7 v* `·  To act as an informed and knowledgeable resource in the case of  
2 x( f& E$ g# Q/ s9 ~; bsignificant challenges and/or problems surrounding the tasks of  
' N8 h3 H" m; g; K( h) xmarketing, administration, operations, and any such other matters as  ( e( a9 Y+ z  v5 G3 g9 s
may provide such challenges and/or problems.
  E$ p6 R7 G; E7 w- t" @- A  B" E·  To attend such meetings as may be required to support the smooth  3 y6 P( A0 Z/ G4 E
operation of the venues or the Students´ Union as a whole.
' T! {  E1 B2 ^: S8 Y( l) P* U! M·  To perform other job-related duties as may be required by the  ' u( ]/ O' F8 P4 G
Manager of Programming and Venues in order to ensure the smooth and  " f1 z, ?* M2 k  `6 x! ^$ N  N
secure operation of the venues.
3 R0 ?6 V" s( r$ e8 v) S& E# N' W# w·  To recognize, address and handle all matters relating to overall  9 N# a. \' `+ d! T8 O1 J
operations in a manner which reflects the requirements of the SU´s  2 t0 @1 \7 e1 i% N6 o
Manager of Programming and Venues, and Manager of Finance and  
* \+ e: o2 _2 J2 e0 |Administration, and in a manner which contributes positively to the  1 l. a0 n* N- F3 Y' W/ c6 G
smooth operation and success of the Horowitz Theatre.' ?4 A+ ]; M1 f& ?9 w

QUALIFICATIONS:. Z- X" C; l$ B+ e0 v# ~) T. c
1)             Minimum two years related post secondary education, or  
2 g% ~8 X5 K! M* F# g( ~an acceptable combination of education and experience.
/ s% a# D, c$ ~0 x/ ]" ^2)             Supervisory experience.
! z6 E1 A( Z" I3)             Ability to create new initiatives with little or no  0 ?5 `3 x% U6 V8 T$ {
supervision.% q: r% P" A# ^# a+ R# x
4)             High level of creativity
