direct line reporting relationship to the SU´s Manager of Programming

ROLES AND RESPONSIBILITIES
9 V4 t$ C. k8 H6 C9 _# N2 W: oThe duties of the Operations Manager - SU Venues are diverse and  
  E0 q/ |: W: L' O* h7 r" V0 Jextensive, and are targeted at the all round smooth operation and  
0 U9 A  g; f* I3 j, ufinancial and operational success of the Horowitz Theatre as well as  # D  ~8 y  F/ H6 o7 [8 |
the logistical organization and smooth rental of the additional  ! e, B) V' u' S$ }2 z& u4 ]+ W0 z5 W
venues within the realm of the Students´ Union.  In the light of that  
1 M7 H9 h. Y) w( [" ybreadth and complexity, it is not possible to fully define or  
% L7 R1 {  o2 J& M+ R' Bdescribe all roles and responsibilities in a document of this kind.   $ E, D1 c9 m+ R/ M$ k
However, the main roles and responsibilities of the Operations

. p: S. I; E1 O) C! L* y7 _0 Wappropriate standards, requirements and needs, and contributes in a  
1 ]  S& k( H: ^positive way to the smooth operation and success of the individual  ' r" T. k1 d+ M, {1 {6 B/ J

: o  I$ L- v, i; K1 S·     To plan the capital and supply expenditures to meet the  4 R$ J. z* l% Q/ F2 {) ~9 U- J
production and facility requirements.0 {  ^+ g3 s0 y' u
·     To ensure the day-to-day compliance of the venues with existing  ( e+ A6 X/ K: W) B: _
safety regulations and building policies.
7 s3 U. E. m% ^. s( DTo ensure that the maximum potential of renters is met.

a.   To develop and implement a marketing plan for the venues that  ' {' h4 W8 A7 S# P3 @& d
focuses upon advertising and promoting the venue to faculty,  
* K' M; \/ k+ s0 [: n0 Q1 a; Vstudents, and internal and external clients on an on-going basis.  
$ M5 K+ R* d: q7 d2 s; p) dThis strategy will include implementing and/or delegating the following:
0 p+ n: [  |2 @·     To develop and maintain promotional materials, the Horowitz  " r! H! a  X/ }. w
Theatre and SU Venues home page, newspaper and other advertising; to  / ^/ f9 G( B" i3 }9 j- t
take advantage of other internal and external advertising  3 n$ m+ J- C( c( }* l- a6 P' _
opportunities; and to develop press releases and other promotional  
, T' n1 _4 }, W4 `9 P. F  zliterature on an ongoing basis.
2 w0 G7 V/ i+ `6 j·     To coordinate tours of the venues for potential renters.6 `- m7 p9 B& R4 @9 Y0 h
·     To promote upcoming events in the Horowitz Theatre through the  
( ?; k+ ~0 S. f2 wuse of the Horowitz Theatre Home Page and the SU Events Calendar.# @* F) ~& D3 [/ y) `0 G
·     To develop new external clients for the venues.

7 h) }% Y. G3 o; V: q" Z4 ?6 a8 u& ]4 F, V
3.        Staff and Supervisory Roles and Responsibilities' ^7 v& m  [  c; x

$ D9 K: ^, K) l0 ~9 U; Ba.   To ensure, at all times, that the venues are adequately and cost-
* m/ m8 H) ^- V! v; b: w: _. K' yeffectively staffed, and that the staff utilized by or within the  
1 v$ B; F. r+ l* S! y* cvenues meet the appropriate standards, requirements and needs, and  
+ J& R6 L8 x8 [7 _& H8 Rcontribute in a positive way to the smooth operation and success of  + @$ H$ h; a7 g: {+ u4 s
the renter´s events. This includes, but is not necessarily limited  
) V/ I- Q, A8 Z/ I  qto, the following:
" |6 k3 _# X9 B* k- w·     To be responsible, under the direction of the Manager of Venues  
8 F9 t2 e  D. i) O& Yand Programming, for all staff issues including hiring, disciplining,  
# i) S+ [$ S& h) d, i  H- A. u: bevaluating and terminating, as necessary.
: b4 {, [% c2 [4 u5 p/ L To ensure that the Horowitz Theatre is adequately supervised at  
: f2 @0 L" n& _4 [7 uall times, this includes the development and implementation of such  0 I  q, Z  A, @9 h0 u8 s3 L
schedules and rosters as may be necessary to ensure the effective and  5 I* C* s/ Z! w9 m; J% u
cost-effective supervision of the venues at all times during which it  
8 \6 C8 x5 y# Q/ {) N& p5 Y! ]) Yis in operation or needs to be in operation.
( W  i0 B$ e1 U3 T& m# o·     To work with the Technical Director, when necessary, to ensure  2 x; }6 N8 m! @5 z) X; }% Z
that an adequate and appropriate level of part-time staff exists to  ) g5 H- K( t- Z0 P% b8 ^
facilitate the smooth operation of the venues and to ensure all  
' E; o3 x% S/ qrenters needs are met.
( s1 e& S: w+ f' k  m5 J* U·     To work with the Technical Director to ensure that the skills  
0 G4 J! W9 A# p: r1 D# J# n8 @, cand attitudes of all subordinate staff are appropriate in light of  
$ _: l+ g) \# m& }$ D* q7 M1 t5 Zthe roles they must perform. This includes providing adequate and  
' e% y/ a3 W$ u7 Peffective training (and re-training) in all applicable and  
) \3 }* v2 R* H1 Happropriate areas, and ensuring that the Policy and Procedures manual  3 Z( l( E% P; ^1 P
is kep up-to-date at all times.$ g  s( w& x5 ~, l3 r8 c' r, X: b
·     To ensure all staff are trained in and committed to providing  1 C, X0 ^! [. [+ {) @$ U% X8 ~
excellent customer service to all renters.
3 @2 @6 K: v& ~5 b$ H9 P·     To work with the Technical Director to arrange staff  * V& ^6 a, s( L) m
scheduling.  To handle payroll related matters, under the guidance  . w0 r5 }( T1 }* K) P9 K
and direction of the Manager of Venues and Programming, concerning  # W" r( t# c7 m! w. p" u: K) O9 u" B
the staff of the venues.' j3 J! j  t" U
·     Working with the Manager of Facilities and Operations to ensure  
* W' s( ~! I# u2 T7 athe appropriate setup/tear down of each venue.
) o0 B1 d4 h8 ~2 v1 n" _* m, ^·     Working with the Manager of Programming and Venues to ensure  
5 q6 T' N& ^7 K& _9 m' h9 mthat additional requests such as licensed receptions are arranged.

' c1 j  @; l5 M& `9 X0 m8 G0 U4.          Overall Financial Performance- N) u4 J$ y6 h, ?; ]

( y' }/ M  P4 P  pa. To ensure, at all times, that the Financial and Administrative  0 L& Z! }8 W7 d: o/ c
systems and processes utilized by or within the venues meet the  # }7 u/ l! z: e$ I3 U. h
appropriate standards, requirements and needs, and contribute in a  & s$ M5 U" h# [
positive way to the smooth operation and success of the venues. This  7 X* E" p# E9 k1 Y" P+ ?
includes, but is not necessarily limited to, the following:$ o+ f8 d8 [- V9 d
To provide input and expertise in the formulation of appropriate  " j# g9 Z2 q( w1 w4 `7 r7 L, d
operating budgets covering the venues to the SU´s Manager of  
5 Y8 `# l$ K3 TProgramming and Venues and to discuss and refine those budgets  7 ?. `/ k0 c" Z/ @9 L, T2 T
Manager of Programming and Venues, and Manager of Finance &  6 a1 F8 b7 s2 e2 {- e3 H5 X7 ~
Administration prior to their submission for final approval.
7 \2 P0 b5 v+ J* U' Y* D$ f·  To manage the venues in a manner which adequately and effectively  
4 U9 {- a5 ]2 A( Z6 J9 _reflects the budgets approved for the venues and/or which reflects  * ]/ T  |& v% {8 y
the best interests of the venues and the Students´ Union.
2 ^! w8 l6 P8 d·  To function as the key player in the submission of financial and  " i: W) b' m& d: ]- O+ m, V
administrative documentation covering the venues to be used in the  
/ V9 W" t& R8 f6 ^! m# R4 }7 a2 kcompilation of monthly and annual financial statements, and such  $ H6 o3 k! x% v. K
other reports as may be necessary.
, @* |' j" W/ m- @* t5 c" ?·  To discuss those financial statements and other reports, together  / H0 ^+ _9 j+ ~3 z  @6 h6 @
with all financial and administrative procedures, with the SU´s  2 ?3 d+ l9 j, N1 w3 a
Manager of Programming and Venues and Manager of Finance &  , G0 P6 T% b$ u
Administration with a view to determining and implementing action  
6 Z  r2 A: Z) R1 B1 Oaimed at improving the financial and/or functional effectiveness of  
% e" X1 a+ {3 H* Uthe Horowitz Theatre.
  G# t- E2 `: C) b2 k8 n·  To ensure the existence of adequate, effective and accurate job  
: V  {/ ~3 U4 xcosting systems to be used in connection with the determination and  9 j" j7 ?' \! Y" M3 z- s& B" C0 N( A
setting of appropriate prices for rental and staffing rates for  2 i: C& R! t* H' y
events held in the Horowitz Theatre.
% k- z7 T0 u) L4 }·  To develop accurate documentation to be used in connection with  ' n3 q6 b" u+ n: N0 y
the billing clients, and to forward such documentation in a timely  
1 h1 r8 T; o7 D& T4 Wmanner to the Accounting Department.2 h) ]6 ^* m: e" h8 i! b
·  To recognize, address and handle all matters relating to financial  4 B8 C$ x; I- N" ^& u* a2 d6 j& c
and administrative procedures and systems in a manner which reflects  
" L7 i5 U9 a+ a0 o' K1 D2 x" Dthe requirements of the SU´s Manager of Programming and Venues and  3 J5 o: @& U: A) ?
Manager of Finance and Administration, and in a manner which  + m3 u/ V0 W: U; l: _& K
contributes positively to the smooth operation and success of the  
6 ~8 J( d/ Q, F& v, ]venues.2 W' @( ~* f0 y( m# D
7 u2 f" a2 x# u/ F  I9 ]
5.          Overall Roles and Responsibilities
' n+ Z6 `! j4 l0 }a.   To ensure, at all times, that the systems and processes used in  
! t. |5 X* M% U4 G9 ~0 y  r" {renting the venues meet the appropriate standards, requirements and  
1 \0 l1 ~4 v- a: j8 c3 g- o" r; xneeds, and contribute to the smooth operation and success of the  3 t& z0 d- X: z, F, y- E4 x4 o
venues. This includes, but is not limited to, the following:
# I; p" a/ A5 v1 q) l7 e5 ?, O  y, J2 M* i
·  To recognize, develop and set in place such rental procedures as  
* @" s8 J5 Y9 c' t; E1 i# h. L! ~may be necessary to ensure the smooth operation of the venues, this  
: D1 D3 r4 P8 b9 ~is to include but not necessarily be limited to systems and processes  
6 q& Z/ e# ~: ^in the areas of contracts, inventory management, contract evaluation,  6 }4 }4 D2 J- ^7 B; C( K" t
pricing, costing, equipment usage, rental/contract invoicing,  % O. [' Q0 R+ \/ j
together with such other systems and procedures as may be necessary  & h# k  T+ S! U+ S
to ensure the smooth, secure, efficient, cost-effective and  
1 x( E1 V3 b) @% U0 H) T6 afunctionally-effective operation of the Horowitz Theatre.3 K, U2 D4 x+ {% ]& W; j6 C
·  To recognize, develop and set in place such operational procedures  
9 D4 Y( h  M( Y7 A& Xas may be necessary to ensure the smooth, efficient and cost- % U2 t2 R3 v7 r  i
effective operation of the venues.
; x* W* }8 {4 U2 v·  To negotiate rental lease agreements (contracts) relating to  / k0 V$ r6 x" D; t- K3 l- N- c$ l
dates, rates, staff and miscellaneous charges.
5 r6 J5 d( I& z$ v* s·  To ensure that adequate inventory is available at all times and  
# L* k' I  A9 p5 Hthat such inventory is stored and issued in effective and secure ways.
! \( I; k9 S- Z7 p4 V4 E! ~·  To consult with renters as to facility issues in producing their  2 y8 p, s0 U, R
particular event in the venues.
8 f. ~; b7 C% h6 A' C6 _7 p( o·  To provide the venues on-site staff with such documentation and  
3 D4 o3 e- V8 H! ?: v( v/ Ksupporting information as it may need to effectively fulfill the  5 Z5 }, l) V& I, k5 g, |
roles they are to perform to ensure the success of the renter´s event.- F+ q# x: K7 i; x* U% L
·  To produce quotes in respect to staffing costs for a particular  ; U. y& c( v  a
rental with consultation with the Technical Director.0 q; U* x' r) p$ H4 ]
·  To ensure that all queries raised with the venues whether from the  , p$ T- {  H* E; {" {
SU or renters, are promptly and effectively handled and adequately  6 L9 R0 U- [9 ?3 Y
answered, and to ensure that such action as may be necessary in  $ i3 d- J" K! F& E% L2 ]2 J
follow-up to such queries is taken in a timely manner.
' v0 O" U0 j* W" N To ensure that the venues and its capabilities are adequately,  
  _& j5 M0 s4 ceffectively and cost-effectively advertised and promoted, and that  
! \7 r  Y% r8 v+ r$ u: \; l5 d* Sthe cost of such endeavors does not exceed the budgetary provision  
& ~9 N5 [' B( \0 m9 [, k! _made for them unless prior approval is given by the Manager of  " K6 o! O) R+ v& T  ?
Programming and Venues.; D* Q1 o5 X. i; `
·  To act as an informed and knowledgeable resource in the case of  
+ d9 F3 q3 }# \5 v  F0 ?significant challenges and/or problems surrounding the tasks of  ' C# E- ~  I- H0 F5 G9 J
marketing, administration, operations, and any such other matters as  
+ r9 P  u6 w' l3 G2 G. D  Tmay provide such challenges and/or problems.1 @! U' F: E; K! O
·  To attend such meetings as may be required to support the smooth  
$ M! `$ g$ H$ B0 r$ Moperation of the venues or the Students´ Union as a whole.
. D% P/ E8 F+ [) D6 q·  To perform other job-related duties as may be required by the  # i% a$ z4 k& N
Manager of Programming and Venues in order to ensure the smooth and  . C! ^' p% N- J
secure operation of the venues.' y9 E0 f4 f* r+ I& q$ S
·  To recognize, address and handle all matters relating to overall  3 ?  ~+ Z) t4 }' {  f9 k  o7 ~" f
operations in a manner which reflects the requirements of the SU´s  5 L9 }; B) h" r* X5 J) q; E
Manager of Programming and Venues, and Manager of Finance and

QUALIFICATIONS:
+ k1 U& g2 W: ]4 m. A* B1 E1)             Minimum two years related post secondary education, or

8 G% v1 b7 p2 G3)             Ability to create new initiatives with little or no
