financial and operational success of the Horowitz Theatre as well as
2 o/ ~! e; [( c; Nthe logistical organization and smooth rental of the additional

breadth and complexity, it is not possible to fully define or

2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that
& c% |/ K1 n' t: S Kfocuses upon advertising and promoting the venue to faculty, 4 l: }& z! u$ q) L0 @
students, and internal and external clients on an on-going basis. 1 i2 x+ P# ~1 O$ `
This strategy will include implementing and/or delegating the following:5 U# X3 t4 y7 q5 e
· To develop and maintain promotional materials, the Horowitz ! Q. [( Z3 v# I8 v0 c% W& p
Theatre and SU Venues home page, newspaper and other advertising; to 7 s4 u8 V$ R% A7 @& H
take advantage of other internal and external advertising 3 ?1 d( o# G" V* H
opportunities; and to develop press releases and other promotional ; C( d+ d- Q" ^% f& z( ?
literature on an ongoing basis.! n9 X9 j2 H# J7 ~' U; h1 O
· To coordinate tours of the venues for potential renters.) [& j( y$ A2 p4 T4 S
· To promote upcoming events in the Horowitz Theatre through the , U' k% _4 [8 G) @5 {! T5 y
use of the Horowitz Theatre Home Page and the SU Events Calendar.

3. Staff and Supervisory Roles and Responsibilities

a. To ensure, at all times, that the venues are adequately and cost-
7 V6 ]0 R' c& s- e+ feffectively staffed, and that the staff utilized by or within the 0 ?, q/ j& I) T r$ j! o5 B! a
venues meet the appropriate standards, requirements and needs, and C. T- d8 T) R) c1 I; d7 A
contribute in a positive way to the smooth operation and success of
/ q" l$ r5 x! P3 qthe renter´s events. This includes, but is not necessarily limited - [; Q. x$ P- N- K/ ~! g
to, the following:
9 i+ m% z" @$ P% R" C· To be responsible, under the direction of the Manager of Venues : F9 r) `- A4 |* a( K' h
and Programming, for all staff issues including hiring, disciplining,
. L8 Y( I8 z- t; g3 v7 Cevaluating and terminating, as necessary.
% q8 R- a. Y6 | B2 n; O To ensure that the Horowitz Theatre is adequately supervised at
" R5 t6 v" J/ T# iall times, this includes the development and implementation of such ( B* m+ X7 g8 d% J
schedules and rosters as may be necessary to ensure the effective and 4 A w0 Z- q) ]; Y# l" t: D+ H Q7 j
cost-effective supervision of the venues at all times during which it
! H) R- `# ^* |2 D- t# qis in operation or needs to be in operation.

that an adequate and appropriate level of part-time staff exists to
# v6 ]- _7 a% ?1 i* _7 Sfacilitate the smooth operation of the venues and to ensure all ! Q8 r6 {4 }: L+ ~+ q
renters needs are met.; ~2 I/ F: y" m# F$ O2 C1 J
· To work with the Technical Director to ensure that the skills
" l5 I5 `% H3 X, [: k# U3 Xand attitudes of all subordinate staff are appropriate in light of
+ s5 J+ @6 R: c3 a# Nthe roles they must perform. This includes providing adequate and
' M# D& X- b+ \/ Y3 ~; C7 {) w3 Seffective training (and re-training) in all applicable and 8 Z8 i/ h; D6 j2 r4 \4 [
appropriate areas, and ensuring that the Policy and Procedures manual / Z5 s& o9 U0 W4 j8 o* r) a
is kep up-to-date at all times.

excellent customer service to all renters.5 ^5 W& O1 P" z
· To work with the Technical Director to arrange staff
6 }* E: H! y* F7 p2 q6 N! qscheduling. To handle payroll related matters, under the guidance
' |! Z! _* S1 v/ L5 Nand direction of the Manager of Venues and Programming, concerning

; F# f9 U6 Q# ?3 N5 M, Ythe appropriate setup/tear down of each venue.

that additional requests such as licensed receptions are arranged.

appropriate standards, requirements and needs, and contribute in a / I# @5 C) I" T. T
positive way to the smooth operation and success of the venues. This ' o6 f9 D. S3 ^

To provide input and expertise in the formulation of appropriate
! [5 u% m& h# h( C- C2 j! J- v. Noperating budgets covering the venues to the SU´s Manager of
/ C+ S) L ^! X5 W' qProgramming and Venues and to discuss and refine those budgets
" x0 q3 ^5 i$ J; N/ ?0 WManager of Programming and Venues, and Manager of Finance &
- n! z; a1 S$ GAdministration prior to their submission for final approval.5 g5 r; t9 U6 ^
· To manage the venues in a manner which adequately and effectively
- G! G! k' r$ u3 W( creflects the budgets approved for the venues and/or which reflects & Y" K% \) o" P, ~
the best interests of the venues and the Students´ Union.
4 M' E: e" K# O$ _; ]· To function as the key player in the submission of financial and
/ {) h! P7 [/ d; }, ]1 kadministrative documentation covering the venues to be used in the : b$ Q5 R3 I4 n% a1 _, {
compilation of monthly and annual financial statements, and such ! Q/ `$ \& w7 U: h# {% L+ K" t6 {& w

· To discuss those financial statements and other reports, together

costing systems to be used in connection with the determination and 6 N! e7 j+ {7 U6 ~
setting of appropriate prices for rental and staffing rates for u# v5 F) D8 Q) l
events held in the Horowitz Theatre.
; N6 F+ M/ \' @- A: ^: `· To develop accurate documentation to be used in connection with
" |8 i# h3 `4 q- Z- M+ N3 r, xthe billing clients, and to forward such documentation in a timely ( I! A. \3 \9 G; l, l
manner to the Accounting Department.

and administrative procedures and systems in a manner which reflects

· To recognize, develop and set in place such operational procedures ( p+ i/ x0 Y# G/ X) r& C
as may be necessary to ensure the smooth, efficient and cost-
( w9 A: x) T1 meffective operation of the venues.
0 j) Q) ?5 \+ e6 X· To negotiate rental lease agreements (contracts) relating to
( e$ n, V8 \0 i' h( I" S$ wdates, rates, staff and miscellaneous charges.
0 m# G3 Z, P. u4 ~ |1 |; I· To ensure that adequate inventory is available at all times and 8 W' v6 R( h) M; |. \8 M
that such inventory is stored and issued in effective and secure ways./ Z9 J% z3 A1 r( D3 `, k
· To consult with renters as to facility issues in producing their ; c0 ~5 x& L" ^2 n% E) ]. }
particular event in the venues.

roles they are to perform to ensure the success of the renter´s event.

· To ensure that all queries raised with the venues whether from the
* S0 f( h4 R- M" h' y0 _( X {; \+ oSU or renters, are promptly and effectively handled and adequately 0 f( [- g1 w' x: S
answered, and to ensure that such action as may be necessary in
- ~6 j+ P5 o! }: I2 P: bfollow-up to such queries is taken in a timely manner.% I1 Z; I7 A/ N6 Z; e7 R8 [
To ensure that the venues and its capabilities are adequately, * z6 ]8 ^" Z4 D: b* a
effectively and cost-effectively advertised and promoted, and that * y% G" _/ F+ B& u8 U
the cost of such endeavors does not exceed the budgetary provision

significant challenges and/or problems surrounding the tasks of
